The answer depends on the exact service, account, settings, and workflow—especially whether audio or text is used to improve models, how long each is retained, who can access it, and what deletion and contractual controls apply. Audio and transcripts may both contain personal or sensitive information, as Microsoft cautions in its Speech-to-text data privacy and security documentation.
What makes AI transcription safe—or risky?
A transcription service receives or processes a recording and produces text. Depending on the product, the audio, transcript, or both may be stored, shared with authorized administrators, reviewed for service improvement, or covered by different retention rules. A voice recording can itself identify or reveal information about someone; the transcript may expose names, health details, business plans, or other sensitive content in a searchable form.

Do not treat a provider’s general security or compliance statement as proof that every feature and data flow is covered. Confirm that it applies to the specific product, account type, endpoint, configuration, and region you plan to use. For sensitive business or health information, involve your organization’s privacy, security, or compliance lead before recording or uploading.

Policies differ by service and account. OpenAI says business inputs and outputs are not used to train models by default. Its consumer dictation policy says audio may be used for training if a consumer user chose to share audio to improve models. Microsoft describes a separate speech-recognition improvement process in which users may contribute voice clips with permission.

- OpenAI business services: Business inputs and outputs are not used for model training by default, according to OpenAI’s business data privacy information.
- OpenAI consumer dictation: Audio may be used for training if the user opted to share it. Check the account’s current data controls and the consumer data usage FAQ.
- Microsoft speech recognition: Microsoft says contributed voice clips may be sampled and listened to for speech-recognition improvement. Its documentation describes automated de-identification and retention of contributed clips for up to two years; clips selected for sampling may be kept longer for continued model training. - Microsoft Teams intelligent recap: Microsoft says customer data for this feature is not logged or used for AI model training or testing. That statement is specific to Teams intelligent recap, not a blanket claim about all Microsoft speech products. See the Teams intelligent recap documentation.
Look for the exact setting or consent choice that governs your account. “Not used for training by default” does not answer how long data is stored, who can access it, or whether a different feature has different terms.
How long are audio and transcripts stored?
Retention is product- and endpoint-specific, and the recording and its transcript can follow different rules. OpenAI’s consumer voice dictation FAQ says audio is retained while the chat remains in chat history. After the chat is deleted, the associated audio clip is deleted within 30 days, except where retention is needed for security or legal reasons, or where audio was previously shared for model training and disassociated from the account. Consult the current OpenAI consumer dictation and data usage FAQ for the applicable details.

For API services, storage behavior and abuse-monitoring retention depend on the endpoint and eligibility. OpenAI’s API data controls documentation describes these differences. Do not assume that “zero data retention” removes every form of application state or applies to every feature; confirm eligibility and behavior for the endpoint you will actually call.

Who can access recordings and transcripts?
Access depends on the product’s permissions and your organization’s settings. Review who can view or download a recording, who can read or share the transcript, and what administrators can manage or audit. Also check whether meeting participants are notified when recording or transcription is enabled, and whether your organization’s policy requires consent or notice.
Microsoft’s Teams intelligent recap illustrates why a transcript’s storage locations matter: the feature requires meeting transcription and recording, and Microsoft says one transcript copy is stored in the organizer’s Exchange Online account while another is stored in OneDrive with the recording. The feature inherits the organization’s Teams security, compliance, and privacy policies, according to Microsoft’s product documentation.

What security and deployment controls should I check?
Encryption is important, but it does not by itself settle questions about training, retention, access, or data location. OpenAI describes AES-256 encryption at rest and TLS 1.2 or higher in transit for its business offerings. It also describes administrative and retention controls for qualifying organizations and applicable services. Confirm the scope in the current business data information and security documentation; controls may not apply identically to every product or configuration.

Data residency, subprocessors, administrative controls, audit information, and local-processing options may also matter. Microsoft says its Speech containers process audio inputs and transcription outputs in the customer-controlled environment rather than sending them to the cloud-based Speech service. Local processing can address a cloud-transfer requirement, but it shifts infrastructure security responsibilities to the organization. Verify the actual data flow and deployment requirements rather than assuming that “on-premises” means the entire workflow is automatically secure.
Is AI transcription HIPAA compliant?
There is no safe blanket answer based on a product label alone. OpenAI says it offers a Business Associate Agreement for ChatGPT for Healthcare and API healthcare customers; this describes available support, not a determination that a particular organization’s use meets its obligations. Otter’s help article, updated August 27, 2025, says the service is HIPAA compliant and describes encryption, access controls, team training, and security audits. It advises healthcare organizations to set retention according to their data-lifecycle policies and to contact Otter with HIPAA questions. Treat this as the provider’s description of its offering: verify the applicable plan, contract, configuration, and workflow directly before handling protected health information. For regulated or confidential information, have the appropriate organizational lead verify contract coverage, eligibility, configuration, and the complete data flow. A compliance statement alone does not establish that a specific recording workflow is appropriate.

Checklist before you record or upload
- Identify the exact service and account. Record the app, plan, feature, account type, endpoint, and region; consumer and business terms can differ.
- Check improvement settings. Find out whether audio, transcripts, or derived data may be used for model or speech-recognition improvement, and whether consent or an opt-out setting applies.
- Map retention and deletion. Check rules for recordings and transcripts separately, including backups, exceptions, endpoint differences, and what deletion actually removes.
- Review access and sharing. Confirm user permissions, administrator access, sharing defaults, audit options, and recording notifications.
- Verify security and location. Check encryption, data residency, subprocessors, and whether customer-controlled processing is available if required.
- Confirm coverage for sensitive data. Verify the applicable contract, plan, configuration, and organizational requirements with your privacy or security lead and the provider.
- Minimize what you collect. Record only what is needed, inform participants when recording or transcription is enabled, and delete records according to policy.
