A useful AI sales deal intelligence agent needs more than a long chat transcript. It should retrieve authorized CRM records and interaction evidence, preserve selected deal context across sessions, and use that context to answer a salesperson’s question with dated, traceable evidence. Keep the CRM authoritative for current opportunity state, and make memory a separate, reviewable layer.
How do I build an AI sales agent that remembers past deals?
Build the agent around a clear separation of responsibilities: the CRM holds operational truth; persistent memory carries selected context forward; retrieval assembles the evidence relevant to the current question; and the model synthesizes an answer. A conversation’s message history is not, by itself, a durable or well-governed memory system.

That distinction appears in the documented tools, too. The OpenAI Agents SDK distinguishes reusable memory artifacts from conversational Session history, while Salesforce documents Agent Memory for information used in future conversations. These are different implementation patterns, not a universal memory design. OpenAI Agents SDK: Agent memory; Salesforce: Agent Memory.

Start with a short set of jobs the agent must do, such as identifying what changed since the last deal review, surfacing decision-makers who have not been engaged, or explaining which evidence supports a close-date risk. For each job, list the CRM entities, interaction records, and playbook material the answer may require. Then establish which users may access each record before indexing, summarizing, or retrieving it.

Salesforce documents CRM-grounded templates and Data 360 patterns for combining structured data with conversation context, but the exact entities and permission rules must match the organization’s CRM and data model. Salesforce Developers: Models and Prompts; Salesforce Developers: Agentic Memory and Context in Data 360.
Keep durable memory distinct from current state
Use persistent memory for context that may help a later decision: a buyer’s explicitly stated priority, an unresolved question, a commitment, an objection, a stakeholder’s role, or the reason behind a prior decision. Do not let a remembered close date or forecast override the current CRM value. At answer time, retrieve current CRM state separately and show when interaction evidence was recorded.
Use a source-linked memory record
A practical implementation can represent each remembered item as a revisable record with fields such as:
Rank #2
- Scope: the user, account, opportunity, or team allowed to use the memory.
- Content and type: the concise fact or summary, labeled as a buyer statement, internal observation, or model-generated interpretation.
- Provenance: the source record or conversation reference, plus a link or identifier that an authorized user can open.
- Timing: when the source interaction occurred and when the memory was created or last updated.
- Verification: whether the item is explicit, inferred, disputed, or awaiting confirmation.
This is a design recommendation, not a schema prescribed by the cited vendor documentation. Its purpose is to let the agent distinguish what someone said from what the model inferred and to make stale or disputed context easier to correct.
How can an AI agent use CRM and call history to assess a deal?
Use an ingestion-and-retrieval flow that preserves the distinction between source evidence, durable context, and the agent’s conclusion. A call summary may add useful context, but it should not silently become a new CRM fact or erase an older statement.
Update memory selectively when new activity arrives
- Read the authorized activity: collect the new call summary, email activity, account note, or other permitted source along with its record reference and date.
- Extract candidate context: identify possible priorities, commitments, objections, stakeholder roles, open questions, and decisions. Keep explicit buyer statements separate from sales-team interpretation.
- Reconcile rather than accumulate: compare each candidate with existing memory. Update or mark a prior item as superseded when a newer source changes it; retain the supporting history needed to explain the change.
- Persist only useful items: store context likely to help a future deal decision, with its scope, provenance, timing, and verification status. Apply the organization’s retention and deletion rules.
Salesforce describes Data 360 as supporting persistent conversation memory and automated extraction of facts, preferences, and summaries. Its documentation does not prescribe a universal refresh cadence or conflict-resolution algorithm, so those behaviors need to be chosen and tested for the deployment. Salesforce Developers: Agentic Memory and Context in Data 360.
Retrieve evidence before asking the model to assess
- Resolve the requested account and opportunity, then check the user’s access to each relevant record.
- Fetch current structured CRM values, including the fields relevant to the question.
- Retrieve only memories and interaction evidence relevant to that opportunity and question.
- Give the model a compact evidence bundle containing source identifiers, dates, and excerpts or authorized links.
- Ask it to label observed evidence, inference, and missing information separately, and to flag evidence that may be stale.
Keyword search, structured queries, vector retrieval, or a hybrid can all be considered; choose among them using the data shape and evaluation results rather than assuming one method is best. The reviewed platform documentation does not establish a universal retrieval winner.
Return a usable assessment, not an unsupported score
A useful answer can include a short deal summary, recent changes, positive evidence, risks or unknowns, and suggested next steps. Attach a source and date to each material assertion. If a salesperson asks why the close date appears risky, for example, the agent should identify the current CRM close date and cite the dated interaction or record that supports the concern; it should not present an inference as a recorded fact.
Keep CRM writes behind explicit user confirmation or deterministic workflow conditions. Salesforce documents REST access and agent workflow patterns, as well as structured variables for controlling agent actions, but the approval rules should be designed around the organization’s permissions and the consequences of each action. Salesforce Developers: Chat with Agents Using Agent API; Salesforce Developers: Models and Prompts.

What should a sales agent remember about an opportunity?
Remember context that is both useful across sessions and safe for the intended users to access. The goal is not to retain every message; it is to preserve a small amount of decision-relevant context with enough provenance to revisit or correct it.
Usually useful
- Buyer-stated priorities, success criteria, and constraints.
- Open questions, promised follow-ups, and commitments with their owners and dates.
- Stakeholder roles and involvement in the decision, tied to the source that established them.
- Objections, unresolved risks, and prior decisions, including when newer evidence changes them.
Do not turn memory into an unverified account of record
- Do not store a model’s guess as though a buyer said it; label interpretations explicitly.
- Do not treat a remembered value as current when the CRM holds a newer value.
- Do not persist sensitive personal or commercial details without an access, retention, and deletion policy.
- Do not let retrieval use memory to bypass the underlying CRM record permissions.
How do I keep an AI deal summary grounded in CRM evidence?
Make evidence traceability part of the answer contract. For every conclusion that could affect a forecast or a salesperson’s next action, require the agent to show which current CRM field or dated interaction supports it. If support is absent, it should say what is unknown rather than fill the gap with plausible language.

Evaluate the failure cases, not just polished answers
Create representative questions with expected source records and test at least these cases:
- Correct retrieval of current opportunity values and relevant interactions.
- Stale or contradictory memory that should be flagged or reconciled.
- Permission boundaries where a user must not see a record or its derived memory.
- Ambiguous or adversarial notes that could lead to a confident but unsupported claim.
- Proposed actions that must be confirmed or rejected according to policy.

The options below document different pieces of the problem. They are not equivalent products: some focus on CRM-native memory or data context, some expose agents through an API, and one is a developer framework building block. Confirm the current edition, licensing, deployment, and controls for the configuration you plan to use.

| Salesforce Agent Memory | Memory is separated by user and agent; Salesforce documents memory controls and employee-agent opt-in behavior that varies by agent type and surface. | Salesforce says each agent can store up to 50 memories per user, removing the oldest item when the limit is reached. Salesforce also says this data stays within Salesforce and is not shared with the LLM. These are Salesforce-specific statements, not a general platform guarantee. OpenAI Agents SDK documentation. | The documentation cautions that retained artifacts need appropriate sensitivity and retention handling; CRM-specific record permissions and deal schemas remain an implementation responsibility. |
Compare options against your operating requirements
- CRM alignment: Can it work with the opportunity, account, and activity schema you already use?
- Memory semantics: Does it persist across sessions, how is it scoped, and can users inspect, correct, or delete it?
- Grounding: Can answers combine structured records and interaction evidence while exposing references?
- Integration: Does the solution support your needed API, headless, workflow, or in-product access path?
- Governance: What are the actual retention, opt-in, audit, deletion, permission, and model-data controls for your selected surface?
- Operations: Can your team manage licensing, deployment, observability, versioning, latency, and evaluation in its production process?
Do not infer one product’s memory limit, storage behavior, opt-in policy, or model-data handling from another product’s documentation. The implementation choice should follow your CRM permissions and governance requirements as much as its feature list.
