AI Agents in Group Chats vs. Chatbots: What’s the Difference?

A chatbot is an interface; an AI agent may also pursue tasks using connected capabilities. In group chats, permissions and context access matter more than the label.

A chatbot is a conversational interface; an AI agent may use that interface while also pursuing tasks through connected capabilities. In a group chat, the practical difference is not the label but what the system can do, which messages and information it can access, and what permissions it has. Those details depend on the platform and its configuration.

Chatbot vs. agent: the useful distinction

“Chatbot” and “AI agent” are not universally opposed categories. A chat interface can be how someone communicates with an agent. As a working distinction, a chatbot responds in conversation, while an agent may also work toward a task using connected capabilities. The boundary varies by product; platform documentation does not establish one formal definition for every system.

For a shared conversation, evaluate behavior rather than relying on the product’s name. Ask whether it can take actions or only reply, what information it can use, and how people control when it participates.

What changes when an agent joins a group chat?

Being present does not necessarily mean reading every message

Microsoft describes Teams agents as usable in one-to-one chats, group chats, and channels. In Teams, agents in group chats and channels receive only messages that directly @mention them by default. The product’s group-conversation documentation describes resource-specific consent (RSC) as an option that can let an installed agent receive all messages in a group chat or channel. That is a platform permission choice, not a default that should be assumed for other chat services.

Receiving messages is different from using chat history as knowledge

An agent may respond within a conversation without using that conversation’s history as a source for its answers. Microsoft says Channel Agent can answer questions in a group chat, but does not use the group chat’s messages as a knowledge source. In other words, conversational presence and access to shared context are separate capabilities. See Microsoft’s Channel Agent overview and Channel Agent FAQ.

How to evaluate an agent or chatbot for a shared conversation

  • Message access: Find out whether it sees only direct mentions, other messages, or the full conversation—and whether broader access requires explicit consent.
  • Participation: Check whether people must @mention it or whether it can respond without being called on.
  • Knowledge sources: Verify whether answers can draw on group-chat history, connected files, or another configured source. Do not infer history access from the fact that the agent is in the chat.
  • Capabilities: Establish whether it only provides replies or can take actions through connected tools. Check the product’s specific permissions rather than assuming all agents can act.
  • Conversation quality: Consider whether its replies are useful, concise, and appropriately restrained for a group setting.

Microsoft’s design guidance for Teams captures the last point: “In group chats and channels, design your agent for collaborative conversations with clear value, concise responses, and minimal noise.” See the Teams agent design guidance.

What the Teams example does—and does not—show

Teams illustrates why the distinction matters: mention behavior, consent for broader message access, and access to conversation history are separate questions. Its defaults and Channel Agent’s knowledge-source limits are specific to those Microsoft products. Other platforms may handle participation, permissions, and context differently, so check each product’s own documentation before deciding what an agent can see or do.
