Aged Care Dining Software: What It Can—and Can’t—Improve

Aged care dining software can connect meal orders with resident preferences and dietary information. Here’s what Australian deployments show—and what they don’t prove.

Aged care dining software can connect residents’ meal choices and dietary information with the kitchen’s ordering and preparation workflow. In Australian services, documented systems use tablets or mobile devices for orders, display menus and meal photographs, and share resident profiles with kitchen staff. But software is an operational tool—not a guarantee of better nutrition or a more satisfying meal. The quality of dining still depends on real choice, good food, capable staff and thoughtful implementation.

What does aged care dining software do?

At its most useful, a dining platform links information that might otherwise be split across paper menus, care records and kitchen processes. Depending on the system and its configuration, it can bring together menu options, meal orders, allergies, texture requirements and resident preferences so staff can act on them.

That link matters because an order is not just a selection from a menu: it needs to reach the people preparing and serving the meal, alongside relevant dietary information. Some systems also include recipes, food-safety records, reporting and staff training features. The exact functions vary, so providers should verify them rather than assume every platform handles every task.

How Australian services use digital meal ordering

Regis: resident profiles and kitchen updates

A 2026 Unilever Food Solutions case study describes Regis’s effort to digitise menus, meal orders and food-safety records across more than 8,000 residents. Residents place orders on iPads, while dining-room televisions show menus with photographs. Chefs use live resident profiles; the case study says allergies, likes and dislikes, and texture-modified food requirements shape the options displayed to each resident.

  • Compact & Travel-Friendly: The ultra-compact design allows the adapter to stay plugged into your device without blocking adjacent ports or adding bulk, reducing wear and tear on your original USB ports.
  • 12-Month Warranty: Backed by a 12-month manufacturer warranty for peace of mind. Designed to meet strict quality control standards for reliable everyday performance.

The supplier’s account also says the platform integrates with Regis clinical software, so updates from dietitians or speech pathologists reach the kitchen in real time. That is a description of the deployment by a supplier, not an independent evaluation of its accuracy, performance or effect on residents’ health.

Southern Cross Care NSW & ACT: tablets and menu displays

Southern Cross Care NSW & ACT says it piloted its Embrayse platform at four homes in late 2024 before rolling it out across its residential homes. Staff enter meal orders on tablets or mobile devices, and communal-area televisions display menus with meal images. The provider describes the system’s aims as supporting resident choice, dietary management and communication between care, kitchen and management teams, while reducing paper processes. Those are provider-reported purposes, not controlled measurements of outcomes.

Features to check, not assume

OSCAR Care Group describes OSCAR Plus as web-based food-service software for aged care. Its listed features include menus, recipes, meal ordering, dietary information, HACCP and food-safety management, resident data, reporting and staff training. This is a vendor feature description; it does not independently establish how well those functions work in practice or validate compliance.

Does software improve resident choice and dining quality?

It can make choices easier to record and communicate, but putting a menu on a screen does not by itself create meaningful choice. The Aged Care Quality and Safety Commission’s food and dining material treats resident preferences and a well-prepared, thoughtfully served meal as important parts of everyday life.

The Commission’s positive story about a New South Wales service shows how choice can extend beyond selecting from a fixed list: residents contributed ideas such as cultural food celebrations, barbecues, fresh cake, outings and takeaway-style meals. A useful system should help staff hear and act on that feedback, including when it calls for flexible menu decisions.

Dietitians Australia’s 2020 position statement on residential aged-care services and meal choice recommends choice at or close to service, flexible menus that offer real options—including for people on modified-texture diets—and menus residents or families can understand. It identifies meal photographs and written options as useful ways to present choices, and recommends multidisciplinary involvement in planning and monitoring food and nutrition services. This is a 2020 position statement, not a claim about the latest regulatory requirements.

What is established about outcomes—and what is not?

The Australian provider and vendor accounts describe workflows, features and intended benefits. They do not independently establish that a particular software platform improves nutrition, health or food-waste outcomes. Those results should not be attributed to software without evidence that isolates its effect from the broader dining service.

The Commission’s discussion paper on food and dining in aged care summarizes a study of the “Eat Right” food-delivery system in two aged-care services. It reports improved food-service satisfaction and increases in residents’ body weight and serum prealbumin; more positive dining perceptions were attributed in part to greater autonomy in meal choice and menu development. This was evidence about a food-delivery intervention, not proof that modern digital software produced those results.

A 2024 Australian Council on Healthcare Standards feature about Western Health’s Grant Lodge resident-led food initiative reports 30% more energy and protein and a 12% reduction in food waste. These figures describe that specific person-centred food and nutrition project, which combined resident involvement with broader service changes; they are not software-trial results.

What should providers check before choosing a platform?

There is no like-for-like independent assessment in the cited sources that supports ranking these products. Providers can instead test whether a platform fits their workflows and residents’ needs:

  • Choice at the right time: Can residents make or change choices close to mealtime? Can staff assist people who need support?
  • Dietary accuracy: How are allergies, texture-modified requirements and preferences recorded, displayed, updated and verified?
  • Accessible menus: Can residents see photographs and written descriptions, and is there a workable non-digital option for people who cannot or do not want to use a device?
  • Reliable hand-offs: How does information move between care teams and kitchen staff? What is the fallback if devices, software or the network are unavailable?
  • Scope and implementation: Which reporting, food-safety records, training, support and integrations are included, and what setup work falls to the provider?
  • Learning from orders: Can staff use ordering and preference information to review menus without treating recorded data as a substitute for resident feedback or dietetic advice?

Process design deserves attention before rollout. In the Regis supplier case study, National Food Safety Manager, Catering & Product Innovation Bryan Seeborun says: “If you don’t have a good process, it’s hard to digitise. Fix the process first, then digitise it.” Staff training, clear responsibility for checking dietary changes, and a defined fallback for device or network problems are practical parts of that process.

How can providers assess dining beyond the software?

Review the whole mealtime experience, not just whether orders appear in a system. Ask residents whether menus are understandable, choices feel genuine and meals meet their preferences. Include kitchen and care staff, and bring dietetic input into menu planning and monitoring.

In 2026–27, the Commission says up to 300 approved residential care homes are eligible for a free, confidential onsite Menu and Mealtime Review Program assessment and recommendations from an Accredited Practising Dietitian. The review covers menus, the dining environment and mealtime experience, and related documents; it is not a regulatory audit. The Commission page states that expressions of interest closed on 5 October 2026 and a waitlist is open, but joining it does not guarantee a review. Because this status can change, providers should check the Commission’s program page for current details.
