An office manager may take broader responsibility for office operations, such as procedures, supplies, staff, or facilities. But titles are not standardized: compare the duties and decision-making authority in each job description rather than assuming every office manager role is managerial.
What is the difference between an administrative assistant and an office manager?
The central difference is usually the scope of responsibility. Administrative assistants organize and carry out work that helps individuals, teams, or executives function smoothly. Office managers may coordinate or direct the services and processes that keep an office operating.

The U.S. Bureau of Labor Statistics (BLS) describes secretaries and administrative assistants as performing routine clerical and organizational tasks. Its profile for administrative services managers describes a broader remit, including supervising staff, setting goals and deadlines, and overseeing support services. In small organizations, the BLS says administrative services managers may direct all support services and may be called business office managers. That is a useful comparison, not a definition of every job titled “office manager.” BLS: Secretaries and Administrative Assistants; BLS: Administrative Services and Facilities Managers.
What does an administrative assistant do?
Administrative assistants commonly keep day-to-day work organized. Depending on the employer and specialty, duties may include:
#1 Best Overall
- Arranging files, maintaining records or databases, and preparing documents.
- Scheduling appointments and coordinating meetings or other activities.
- Answering calls, handling mail, and communicating with staff or visitors.
- Supporting colleagues or executives and, in some roles, doing basic bookkeeping or buying supplies.
The exact mix changes with experience, title, and industry. Legal and medical administrative roles may require additional terminology training; executive administrative assistants typically have several years of related experience. A bachelor’s degree is not typically required for the occupation, although some employers may prefer postsecondary study for executive-support positions.
What does an office manager do?
“Office manager” can describe jobs with quite different authority. One employer may use the title for a coordinator handling supplies and routines; another may expect the person to manage staff, set procedures, or oversee facilities. The BLS’s administrative services manager category is a broader management comparison: its duties can include supervising workers, setting departmental goals and deadlines, changing procedures, and coordinating office support services.
Rank #2
Facilities, maintenance, safety, security, and regulatory compliance may also fall within a management role, depending on the organization. Check the actual posting for the services and decisions the person owns; the title alone does not establish that these responsibilities are included.

For administrative assistant roles
The BLS highlights decision-making, interpersonal, organizational, and writing skills. Entry-level candidates typically qualify with a high school education and comfort using word-processing and spreadsheet programs. Workers commonly learn employer-specific procedures on the job over a few weeks. O*NET’s administrative assistant profile also identifies office procedures, file and record management, word processing, English, computer applications, and customer service as relevant knowledge areas. These are useful skill areas to look for in a vacancy, not a universal checklist for every employer. O*NET: Administrative Assistants.
For office management
For administrative services managers, the BLS says a bachelor’s degree and related work experience are typical, with requirements depending on the organization and duties. Relevant experience should show managerial or leadership ability. Analytical thinking, communication, attention to detail, and leadership are useful; facilities or compliance knowledge matters when those areas are part of the job.
How can an administrative assistant move toward office management?
There is no universal promotion ladder from assistant to office manager. A practical route is to build experience in administrative work and take on responsibilities that demonstrate coordination, sound judgment, process improvement, and leadership. This aligns with the BLS’s emphasis on related experience for management roles, but it is not a formal requirement for every employer.

- Coordinating across teams or managing vendor relationships and purchasing.
- Training or supervising colleagues, where appropriate.
- Maintaining records or tracking budgets and supplies.
- Handling facilities or safety responsibilities when these are relevant to your workplace.
Experienced assistants may also move into executive support; the BLS says executive secretaries and executive administrative assistants typically have several years of experience in other administrative positions. Other directions depend on the work performed and may include records, facilities, or business operations.

Pay and job outlook: compare the right categories
These are U.S. national occupational statistics, not guaranteed salaries or forecasts for specific job titles, employers, or locations. The categories also have different reference years, so they do not provide a direct office-manager-versus-assistant pay comparison.
| BLS occupational category | Median annual wage | Employment outlook |
|---|---|---|
| Secretaries and administrative assistants | $47,460, U.S. median for May 2024. | 0% projected change from 2024 to 2034; about 358,300 openings per year on average, mostly from replacement needs. |
| Administrative services managers | $114,130, U.S. median for May 2025. | Administrative services and facilities managers: 5% projected growth from 2025 to 2035; about 36,100 openings per year on average for the combined group. |
The figures refer to different occupational categories, and the manager outlook combines administrative services and facilities managers. Because “office manager” titles can cover varying duties, use local pay information and the responsibilities in the actual posting when evaluating a particular job.
