Want your email to look clean and readable? Line spacing is one of the quickest formatting tweaks in Outlook, and you can usually change it in under a minute—right inside the message you’re composing.
This guide covers the three main Outlook experiences—Outlook for Windows, Outlook on the web, and Outlook for Mac—plus the most common reasons line spacing options seem to disappear.

What Line Spacing Controls in Outlook
Line spacing changes how much vertical space appears between lines of text in an email. You’ll typically see options like Single, 1.5 lines, and Double, along with precise “Exactly” values in some editors.
Depending on your Outlook setup, you may also be able to adjust paragraph spacing (space before/after blocks of text), which can subtly affect the overall layout.

Before You Start: Pick the Correct Message Type
Most line-spacing controls appear when you’re editing in a rich-text environment (HTML). If your email is set to plain text, Outlook may reduce or remove formatting tools.
- Rich text (HTML): Usually supports line spacing, font styles, and paragraph formatting.
- Plain text: Often limits formatting. You may only get basic spacing behavior.
If you’re unsure, try opening a new email and look for a Format Text tab (Windows/Mac) or formatting toolbar (web). If formatting tools are missing, the message is likely in plain text mode.
Outlook for Windows (Microsoft 365, Outlook 2019/2021/2024)
In Outlook for Windows, line spacing is controlled through the message editor’s paragraph formatting tools (Word-style). You can change it for selected text or the whole message.

- Open Outlook and click New Email.
- Select the text you want to reformat (or place your cursor in the paragraph you want to affect).
- On the ribbon, go to Format Text.
- In the Paragraph group, click Line and Paragraph Spacing (it looks like lines with an up/down arrow).
- Choose 1.0 (Single), 1.5 (1.5 lines), or 2.0 (Double).
Use an exact line spacing value
- Select the text or position the cursor in the paragraph.
- Click Format Text → Line and Paragraph Spacing.
- Select Line Spacing Options…
- In the Paragraph dialog, set Spacing to one of these common choices:
- Single, 1.5 lines, or Double
- Exactly and enter a value (example: 12 pt) when available
- Confirm with OK.
If you don’t see “Exactly,” use Single/1.5/Double for reliable results.
Keyboard shortcut (fast formatting)
In many Outlook versions using the Word editor, these shortcuts work while composing:
- Ctrl + 1 for Single
- Ctrl + 5 for 1.5 lines
- Ctrl + 2 for Double
Shortcuts are editor-dependent, but they’re worth trying if you’re formatting repeatedly.
Outlook on the Web (OWA)
Outlook on the web is more consistent across browsers, but the exact wording in the toolbar can vary slightly between Microsoft 365 tenants.
Change line spacing in a new message
- Go to https://outlook.office.com and sign in.
- Select New message.
- Type your text, or select the portion you want to change.
- Use the formatting toolbar to find Line spacing or a paragraph icon.
- Choose Single, 1.5, or Double.
If you see a “More formatting options” link, open it to find “Line spacing” with additional values.
If OWA won’t format text
OWA can fall back to limited formatting when the message is plain text. If line spacing controls are unavailable, check whether you’re composing in HTML mode and try again in a new message (not a forwarded plain-text version).
Outlook for Mac
Outlook for Mac uses a similar paragraph formatting workflow, with formatting tools on the message editor toolbar. Depending on macOS and Outlook version, the controls may be in a Format menu or ribbon-like toolbar.
Change line spacing
- Open Outlook for Mac and click New Email.
- Select the text or place your cursor in the target paragraph.
- Click Format (or the formatting toolbar icon).
- Choose Paragraph settings and find Line spacing.
- Select Single, 1.5, or Double.
If you can’t find a line-spacing dropdown, look for a “Paragraph” dialog box that includes line spacing and paragraph spacing together.
When the Line Spacing Option Is Missing
This is the most common failure point. When Outlook refuses to show line spacing, it’s usually one of these issues: plain text mode, missing rich-text editor, or an embedded/forwarded content type.

1) Your message is plain text
Plain text editing usually removes line spacing controls. Try:
- Start a brand-new email instead of editing a forwarded message.
- Look for Format Text (Windows) or formatting/paragraph tools (Mac/web).
- If available in your Outlook settings, switch to HTML or “Format as HTML.”
If the app never offers rich-text formatting, your organization may enforce a plain text policy.
2) The editor is in a limited mode
Some Outlook configurations (or add-ins) can reduce formatting features. Quick test:
Recommended Free Tools
- Copy a short block of text into the message editor and try changing spacing on the copied text.
- Try composing with a different browser (for web) or create a new message (for desktop).
3) You’re formatting a table or pasted content with constraints
Pasted content can be carried in a way that locks formatting. If line spacing changes won’t apply:
- Paste using Keep Text Only (or an equivalent paste option) and then reapply formatting.
- If the content is in a table, adjust spacing per-cell or remove the table before formatting.
Change Spacing for New Messages (Default Behavior)
Want every email to start with the same spacing? Outlook can be set up so your composed message uses a default style. The exact path depends on platform.
Outlook for Windows: set default font/paragraph style via stationery and signatures
- In Outlook, go to File → Options.
- Select Mail.
- Look for Stationery and Fonts….
- Choose settings for New mail messages and Replying or forwarding messages.
- Set the desired font and formatting style, then OK to save.
Some spacing settings may only fully apply when composing in rich text.

- Mistake: Changing spacing after sending text from a different app.
Pasted text may preserve its original formatting. Fix by selecting all (Ctrl + A) inside the email body and reapplying line spacing from the Outlook editor.
- Mistake: Expecting “line spacing” to change the spacing before/after paragraphs.
Line spacing affects the distance between text lines; paragraph spacing is separate. Fix by checking both “Line spacing” and “Before/After” spacing in paragraph options.
- Mistake: Formatting only part of the email.
If you want consistent spacing, select the full message content. On Windows, Ctrl + A then apply line spacing.

Quick Comparisons: Line Spacing vs Paragraph Spacing
When someone says “the email looks too spaced out,” it’s often paragraph spacing, not line spacing. Here’s how they differ:
| Setting | What it changes | Typical symptoms |
|---|---|---|
| Line spacing (Single/1.5/Double) | Distance between lines within the same paragraph | Letters/lines feel spread out evenly |
| Paragraph spacing (Before/After) | Extra space around paragraphs (blank space between blocks) | Big gaps between paragraphs or quoted sections |
FAQs
Does line spacing affect how recipients see my email?
Usually yes—Outlook sends rich text formatting (when enabled), so recipients generally see your spacing. However, if someone switches to a different reading mode or uses a client that renders HTML differently, spacing can vary slightly.
Can I set line spacing to a custom value like 13 pt?
On Outlook for Windows, “Line Spacing Options…” may offer an Exactly value (e.g., 12 pt, 13 pt) depending on the editor. Outlook on the web and Outlook for Mac commonly provide Single/1.5/Double rather than fully custom “Exactly” values.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Why does Ctrl + 1 / Ctrl + 5 / Ctrl + 2 not work for me?
Shortcuts depend on the Outlook editor mode and focus. Click inside the message body first, confirm rich-text formatting is enabled, and try again. If it still doesn’t work, use the toolbar’s Line and Paragraph Spacing menu instead.
Will changing line spacing fix a spacing problem caused by quotes?
Not always. Quoted text is often treated as separate content. For the cleanest result, retype or paste the text you control, then apply line spacing to that new content block.
Can I control line spacing when composing replies?
Yes—select the text in the reply and apply spacing using the same toolbar option. If replies always revert, review your default reply formatting settings (desktop) or create a signature template that includes your preferred paragraph settings.
Bottom Line
On Outlook for Windows, the fastest path is Format Text → Line and Paragraph Spacing → choose Single/1.5/Double. On Outlook on the web, use the message toolbar’s Line spacing control.
