Accounts receivable (AR) automation helps a business collect and record money owed by customers; accounts payable (AP) automation helps it process and pay money owed to suppliers. AR typically supports the order-to-cash process, while AP typically supports procure-to-pay. The difference is not just which side of the ledger a tool handles: the workflows, counterparties, controls, and cash-flow goals differ.
AR automation vs. AP automation at a glance
| Comparison | Accounts receivable automation | Accounts payable automation |
|---|---|---|
| Money movement | Money coming in from customers | Money going out to suppliers |
| Main counterparties | Customers, customer-service teams, and collections teams | Suppliers, procurement teams, and invoice approvers |
| Typical work | Issue customer invoices, track amounts due, apply incoming payments to invoices, and manage collection follow-up | Capture supplier invoices, extract and validate details, match invoices to purchase or receipt records, route approvals, pay suppliers, and reconcile transactions |
| Broader process | Order-to-cash (O2C) | Procure-to-pay (P2P) |
| Primary business focus | Collect revenue and make receivables visible; O2C automation may also target days sales outstanding | Control spending, process invoices accurately, and manage supplier payment timing |
| Common exceptions | Unmatched remittance, short payment, dispute, or overdue account | Missing or mismatched purchase order or receipt, policy exception, approval delay, or invoice-data problem |
These are common workflow boundaries, not a rule that every organization uses identical processes or separate platforms. APQC describes O2C and P2P as cross-functional processes, and IBM notes that invoice-processing capabilities can overlap with broader AP offerings. APQC explains O2C and P2P; IBM distinguishes automated invoice processing from broader automation.

What accounts receivable automation does
AR automation supports the path from customer billing to collected and recorded payment. It can issue or manage invoices, track open receivables, match incoming payments to invoices, parse remittance details, and help organize collection follow-up. When a customer pays several invoices in one transfer, for example, cash application helps connect that payment to the relevant open items.

A short payment, unclear remittance, or contested charge may need a person to investigate and decide what to do. IBM describes both automated payment matching and the role of human handling for exceptions and judgment calls in its overview of accounting automation.

What accounts payable automation does
AP automation covers more than scanning or extracting invoice details. A typical workflow starts when a supplier invoice arrives and can continue through validation, matching, approval, payment, and reconciliation. The exact steps depend on the organization’s purchasing process and controls.
- Capture: Receive invoice information from documents or other input channels.
- Extract and validate: Identify details such as supplier, invoice number, date, and amount, then check them for completeness or consistency.
- Match: Compare invoice details with purchase orders and receipts when those records apply.
- Route and approve: Send invoices to the appropriate approver under the organization’s rules.
- Pay and reconcile: Schedule or initiate supplier payment and reconcile the transaction in the relevant records.
The Association for Financial Professionals describes AP processing across the invoice-to-payment span. JPMorgan’s AP automation overview likewise covers capture, validation, matching, workflow, payment, reconciliation, and reporting. Invoice processing is one part of this broader lifecycle, as IBM explains in its discussion of automated invoice processing.

Automation still needs approval controls
AP systems can apply configured matching rules and vendor policies to route invoices differently. In Microsoft Dynamics 365, for example, workflow can automatically approve invoices that meet specified criteria and flag others for authorized review. That is a product-specific capability, not a guarantee that all AP software or invoices can be safely processed without human oversight. See Microsoft’s Dynamics 365 accounts payable documentation.
How to choose between AR and AP software
Start with the process you need to improve: customer collections and cash application point to AR; supplier invoice-to-payment work points to AP. Then assess the workflow end to end rather than relying on the product label.

- What You Get: Anker USB-C Hub (7-in-1), welcome guide, 18-month warranty, and our friendly customer service.
- Integrations: Can the software connect to the accounting or ERP system and the records the workflow depends on?
- Capture and data quality: For AP, assess invoice intake, extraction, and validation. For AR, assess how customer payment and remittance information enters the process.
- Matching: For AR, check how incoming payments are applied to open invoices. For AP, check matching against purchase orders and receipts where applicable.
- Exceptions and review: Find out how disputes, short payments, mismatches, and policy exceptions are identified, assigned, and resolved.
- Controls: Check approval rules, permissions, and how the system handles transactions that do not meet configured criteria.
- Completion and visibility: Evaluate the relevant collection or payment steps, reconciliation, and reporting—not just invoice capture.
For AR, a useful evaluation question is whether customer invoices, remittance data, collections, and ledger records stay connected—and how the system handles unmatched cash or disputes. For AP, ask whether invoice capture, purchase and receipt records, approval rules, payment methods, and ERP reconciliation work together, and how exceptions are controlled. These checks follow from the documented workflows described by APQC, JPMorgan, Microsoft, and IBM.
