To make extracted details safe to check and useful to rely on, preserve each original input, attach evidence to every populated field, distinguish published facts from guesses, and send uncertain records to human review.
Why a domain list is not enough
A domain identifies a place to look; it does not establish who owns the site or which person or address belongs in a contact record. A company may publish its general contact details on one page, describe its leadership on another, or publish no relevant contact information at all. A populated spreadsheet can conceal those distinctions unless each value is traceable to a specific page and context.

The goal is therefore not simply to fill cells. It is to create records a reviewer can inspect, correct, and decide whether to use. That means retaining the source list alongside the evidence gathered from each website.

Keep the original row intact and link every result back to it. For each field, record the value and the evidence needed to check it. A practical schema can include:

- Input: the exact supplied domain or URL and the original row identifier.
- Field value: such as a company name, published email address, phone number, or contact-page URL.
- Source: the page URL that supports that particular value.
- Context: enough surrounding text or a short note to show what the page says and whom the detail refers to.
- Retrieval time: when the page was checked, so a reviewer can assess whether the evidence may have changed.
- Status: for example, published, inferred, absent, conflicting, or needs review.
- Review action: the decision, correction, or follow-up still required.
These status labels are workflow choices, not a guarantee of accuracy. A source URL and a confidence score can help a person evaluate a result, but neither proves that the detail is correct or appropriate for later use.
A workflow that keeps evidence attached
- Preserve the input. Retain the supplied URL or domain exactly as received, along with a stable row ID. Do not overwrite the original when normalizing a URL or resolving a redirect; store any normalized form separately.
- Find relevant public pages. Check pages that plausibly support the requested fields, such as contact, about, imprint, or team pages. CrawlHawk describes using these kinds of pages, but the appropriate pages depend on the site and the field being collected.
- Capture each field with its own evidence. Record the supporting page URL and context beside the field, not only in a general notes column. A company contact email on a contact page does not establish that an individual works there or that an address belongs to that person.
- Classify what you found. Mark whether a value was published on the cited page, inferred, absent, or in need of review. If two pages conflict or the site identity is unclear, preserve the conflict instead of silently choosing one answer.
- Route exceptions to a person. Put uncertain identity matches, conflicting details, personal contact information, and records intended for consequential use into a review queue. Save the reviewer’s decision and any correction or removal request with the record.
- Export the evidence with the data. CSV, XLSX, or another convenient format is useful only if the field-level sources and review status remain attached. Keep the original input and a way to trace every output row back to it.
Keep missing and generated information distinct
An empty field is an honest result when a site does not publish the requested information. CrawlHawk says its product leaves unpublished fields empty. Tomba’s documentation, by contrast, describes generating candidate email addresses from common company formats as well as using public sources. These are vendor descriptions, not independent findings about either service’s accuracy.

If a workflow generates a candidate, store it separately from an address observed on a cited page and label it as generated. A mail-server check or other verification signal is not the same as seeing the address published, and it does not replace human review. Never present an inference as a sourced fact.
Choose an approach by its review controls
Manual research, a custom extraction pipeline, and a domain-list enrichment service can all produce contact data. The useful comparison is whether each approach preserves evidence and supports decisions—not an assumed accuracy ranking. The available product descriptions do not establish a measured head-to-head accuracy advantage.

CrawlHawk describes batch extraction from supplied domains into CSV or XLSX, field source URLs, and empty values for unpublished details. ScoutLayer describes domain-list enrichment with source URLs and confidence information in dashboard, API, and MCP workflows. These examples illustrate features to evaluate; their descriptions do not establish that the results are accurate for a particular list or use.

Good provenance helps establish where a detail came from. It does not by itself establish that collecting, storing, or using the detail is lawful. Consider the nature of the information, the purpose of the work, the intended use, and the rules that apply to the people and organizations involved.

In UK guidance on directories of subscribers, the Information Commissioner’s Office says an organization compiling a telephone, fax, or email directory of subscribers must tell individuals and give them an opportunity to opt out; reverse searches require express opt-in consent, and entries must be corrected or withdrawn on request. The ICO distinguishes these directories from trade directories whose main purpose is detailed business information. The page is specific to UK PECR guidance and says it is under review following the Data (Use and Access) Act; it should not be generalized to every business-contact spreadsheet or other jurisdictions. Read the ICO’s guidance on directories.

What to check before relying on a record
- Can you trace the output to the original website-list row?
- Does each populated field have a source URL and context that actually support it?
- Are published details separated from generated or inferred candidates?
- Are unknowns left empty, and conflicts or uncertain matches visibly flagged?
- Can a reviewer record a correction, decision, or removal request?
- Does the exported file keep the evidence and review status with the contact data?
