It is an open-source documentation platform built around shelves, books, optional chapters, and pages. That clear structure can suit handbooks and reference material better than choosing a broad workspace simply because it resembles Notion.
First decide whether you need a wiki or a broad workspace
“Notion alternative” can mean two different things: a home for shared documentation, or a workspace that combines documents with databases and other connected workflows. BookStack addresses the first job. Its project describes it as an opinionated documentation platform designed to offer a simple out-of-the-box experience (BookStack project repository).
That focus is the reason to consider it—not proof that it matches Notion feature for feature. If your team mostly writes guides, procedures, handbooks, and reference pages, a focused wiki may be enough. If your work depends on databases or other workspace objects, verify that those workflows can be handled before moving content.
A September 27, 2026 comparison published by AppFlowy positions AppFlowy as a broad workspace and BookStack as an option for structured documentation. Because AppFlowy publishes the comparison and has a product in the discussion, treat it as vendor positioning rather than independent evidence of parity or superiority (AppFlowy’s comparison).

How BookStack organizes information
BookStack uses a deliberately legible hierarchy: bookshelves can group books, books contain pages, and chapters are optional groupings within books. The model is documented in the BookStack content overview.
- Bookshelves group related books.
- Books hold the main body of documentation.
- Chapters optionally organize pages within a book.
- Pages contain the actual content.
This makes the location of a page understandable to readers and maintainers. It also means the team needs to be comfortable giving information a place in a hierarchy. If content is better represented as records in a database with flexible relationships, books and chapters may not be the right model.

Writing and Markdown trade-offs
BookStack provides a WYSIWYG editor and an optional Markdown editor, according to its official overview. The Markdown editor documentation says it is available for people who prefer a simpler writing format (Markdown editor guide).
There is an important editing caveat: BookStack warns that changing editor modes can lose formatting or functionality on some content. Teams that mix rich formatting and Markdown should check representative pages before standardizing on a mode or converting existing material.

What “self-hosted” requires from you
BookStack is open source and MIT licensed, but running it is still an administrative responsibility. Its current installation guide lists PHP 8.2 or later, MySQL 8.0 or later or MariaDB 10.6 or later, and Git among the core requirements. The project also says installation requires some knowledge of hosting a PHP application and database (installation guide). Requirements can change, so check that guide when planning a deployment.
An approachable editing interface does not install, update, secure, back up, or monitor the service for you. Before choosing BookStack, decide who will operate the application and database and how your team will handle routine maintenance and recovery.

The project FAQ describes a “batteries-included” philosophy and says there is no intent to offer custom or enterprise versions. It also notes that advanced features can exist without disrupting the basic experience; simplicity here means a focused, opinionated product, not necessarily an absence of advanced functionality (BookStack project FAQ).

- Consider BookStack if the main need is shared documentation and a clear, browsable hierarchy.
- Look for a broader workspace if databases or other connected workspace workflows are central to the way your team works.
- Check the structure first if your team resists fixed organization or has a large body of content that may not map cleanly into shelves, books, chapters, and pages.
- Plan administration honestly if you want to self-host; someone needs to be able to maintain the PHP application and its database.
- Test representative content before migration, especially pages whose formatting may be affected by editor-mode changes.
If administering a deployment is not practical, the BookStack FAQ says independent third parties may offer hosting, but the project does not vet or endorse those providers. Treat hosting as a separate service choice and assess a provider independently rather than assuming it is an official recommendation.
