There is no evidence here that one free app matches every Microsoft Visio feature. But yEd is a well-documented, free desktop alternative for many diagramming jobs, especially when you need automatic layout or want to import Excel or XML data. Before switching, check whether your Microsoft 365 account already includes Visio for the web; that included app is intended for basic diagrams, not complex engineering or software-development diagrams.
Check whether your Microsoft 365 account already includes Visio
Some commercial, education, and nonprofit Microsoft 365 subscriptions include access to Visio in Microsoft 365 at no separate Visio charge. Eligibility depends on the subscription and organization, so confirm it with your account administrator or Microsoft’s current Visio in Microsoft 365 eligibility information. Microsoft says the lightweight web app is not included with consumer Microsoft 365 Family or Personal plans, and is unavailable in sovereign clouds such as GCC, GCC High, and China (21Vianet) under the page’s current description.
The included app is designed for basic diagrams. Microsoft explicitly says it does not support complex engineering diagrams or software-development plans. It supports .vsdx files, but not the older .vsd format. If you already have access and your diagrams are straightforward, it may be enough without migrating to another tool.
What a free Visio alternative needs to replace
“Visio” covers different workflows, so decide what you need before choosing a substitute. Microsoft’s plan comparison distinguishes basic diagramming from more specialized capabilities. Visio Plan 1 adds professional templates and shapes through the web app; Plan 2 adds desktop access, offline work, layers, containers, data linking, custom shapes and stencils, validation, and specialist diagram types. - Diagram depth: Are you making ordinary flowcharts, or do you need BPMN, UML, network, engineering, or software-development diagrams?
- File migration: Can the alternative open and edit your particular .vsd or .vsdx file? Do shapes, connectors, links, and layout survive? Do not assume compatibility from a product’s general diagramming support.
- Data workflow: Do you draw manually, import structured data, or need diagrams linked to live external data?
- Layout and environment: Is automatic arrangement important? Do you need an installed desktop app, offline work, browser access, collaboration, or a particular storage model?
- Licensing and privacy: “Free” does not necessarily mean open source. Check the license and how files are handled against your requirements.
Why yEd is a strong free option for many diagrams
yEd is a free desktop diagram editor from yWorks for Windows, Linux/Unix, and macOS. Its feature documentation lists flowcharts, BPMN, semantic and social networks, and UML class diagrams. It can import Excel spreadsheets and XML, automatically arrange diagrams, and export to PNG, JPG, SVG, PDF, and SWF. Those features make it a particularly practical candidate when your starting point is structured data or when arranging a large graph by hand would be tedious. yWorks says yEd is free to use, including for commercial use, subject to its software license agreement. That supports calling it free, not open source. Its documented features also do not establish full Visio parity: in particular, the cited information does not verify Visio-file import or export fidelity, live data linking, or equivalent coverage of every specialist Visio workflow.

Choose by workflow, not by the word “alternative”
Choose yEd when structured input or automatic layout matters
If you need to create supported diagram types from scratch, import Excel or XML, or automatically arrange a graph, yEd’s documented features map directly to those jobs. Test a representative diagram before moving a team workflow: the available documentation does not establish fidelity for your existing Visio files or every specialized stencil.
Stay with included Visio for basic web diagrams
If your organization provides the lightweight Visio app and your work is limited to basic diagrams, using that entitlement avoids unnecessary migration. It is not a substitute for the more advanced desktop and specialist capabilities Microsoft lists for Plan 2.

Verify file migration before committing
For any alternative, test copies of the actual files you depend on, including the oldest formats in your archive. Confirm that the diagram opens, connectors remain attached, text and shapes render correctly, and the result can be edited and exported as required. The documented support for .vsdx in Microsoft’s lightweight app does not establish that yEd or diagrams.net can import or preserve those files.
