To password-protect a PDF, use Acrobat’s protection tools on Windows or Mac, or Preview on a Mac. To remove a password or printing and editing restrictions, you generally need authorization and, for permission-locked files, the permissions password. A password needed to open a PDF is different from a permissions password that controls what someone can do after opening it.
Understand the two kinds of PDF protection
- Document-open password: required before the PDF can be viewed.
- Permissions password: controls actions such as printing, editing, or copying. A PDF can open normally while still restricting these actions.
Adobe’s Acrobat guidance distinguishes these settings, which can use separate credentials. Keep the password somewhere secure: Adobe notes that a forgotten password cannot be retrieved and recommends a password-management app (Adobe Experience League).
Password-protect a PDF in Acrobat
These desktop steps apply to Acrobat on Windows and Mac. Menu wording may vary by version. Adobe’s desktop instructions were updated September 23, 2025 (Adobe Help: Add passwords and restrict access to PDFs).
- Open the PDF in Acrobat.
- Select All tools > Protect a PDF.
- Under the advanced options, choose Encrypt with Password. Confirm the security change if prompted.
- To require a password before the PDF opens, select Require a password to open the document, enter the password, and enter it again to confirm.
- Acknowledge the security message, then save the PDF. The new setting does not take effect until you save.
Restrict printing, editing, or copying
In the same protection workflow, use the permissions settings to choose which printing quality and changes are allowed, and whether copying is allowed. You can also enable text access for screen-reader devices. Set and confirm a permissions password, then save the PDF. These controls govern actions after opening; they are not a substitute for an open password.

Remove a password or restrictions in Acrobat
Use this procedure only for a PDF you own or are authorized to modify. Adobe’s desktop instructions were updated September 23, 2025 (Adobe Help: Remove passwords from PDFs).
- Open the PDF in Acrobat and select All tools > Protect a PDF.
- Under advanced properties, open Set security properties, then select the Security tab and Change Settings.
- To remove the open password, deselect Require a password to open the document. To remove printing or editing restrictions, deselect Restrict editing and printing of the document.
- Enter the permissions password if Acrobat asks for it, confirm the change, and save the file.
Adobe also describes the route Tools > Protect > Encrypt > Remove Security; if the PDF has a permissions password, enter it and confirm (Adobe Acrobat: How to remove a PDF password). Labels can differ between versions, so use the equivalent security controls in your current desktop app.

When Acrobat cannot remove protection
Removing restrictions is not the same as bypassing them. Adobe says only people with permission can remove restrictions. A server-based policy may be changeable only by its author or a server administrator, and Adobe’s documented tools do not unlock PDFs protected by digital signatures or DRM. If you do not have the required password or authority, ask the document owner or administrator rather than trying to work around the protection.
Adobe’s product page, accessed October 3, 2026, says a subscription or free trial is required to permanently remove password protection; Reader and mobile versions are described as able to open password-protected files, not permanently remove protection. Check current plan terms and entitlements before relying on this distinction (Adobe Acrobat: How to remove a PDF password).

Password-protect or manage PDF permissions in Mac Preview
Preview, included with macOS, can make a protected copy and manage permissions on a PDF you can open and are authorized to modify. Apple’s instructions cover setting and managing protection, not defeating an unknown password (Apple: Password-protect a PDF in Preview on Mac).
Create a password-protected copy
- Open the PDF in Preview and choose File > Export.
- Give the exported file a new name if you want to preserve the original.
- In Permissions, select Require Password To Open Document, then enter and confirm the open password.
- Set the permission checkboxes for actions such as printing or making changes. Enter and confirm an owner password.
- Click Apply, then Save. Apple says the changes take effect the next time the PDF is opened.
Change permissions on an existing PDF
With the owner password, open the PDF in Preview and select File > Edit Permissions. You can change the open-password requirement, choose which actions require the owner password, or change that password. Click Apply to save the permission changes. Menu wording can vary by macOS release.

Which method should you use?

Adobe’s cited product guidance says permanent password removal in Acrobat requires a subscription or free trial; Preview is included with macOS. Confirm current Acrobat plan details and app capabilities if access or cost matters, since these can change.
