Set the capture area to the foreground window (or a screen), save the result to a file, provide a full path, and choose an image format such as PNG. For one control, use Take screenshot of UI element. For Excel for the web, use the browser automation action Take screenshot of web page.
These actions create an image. Excel actions that read or write worksheet cells create structured data instead; they do not export a picture of the sheet.
Choose the Excel surface you actually need to capture
The correct action depends on where Excel is running and how tightly you want to crop the result.

Decide first whether the recipient needs a visual record (use a screenshot) or data for a calculation, condition or export (use Excel actions). A screenshot records what is displayed, including formatting and scroll position; it does not preserve the workbook’s cell structure.

Capture an Excel desktop window to an image file
Before you add the action
- Open the workbook in Excel for Windows.
- Bring the worksheet, chart or dashboard into the exact view you want. Resize the window, set the zoom and scroll position, and close menus or dialogs that should not appear.
- If the flow will run unattended, make sure the desktop session has a usable display resolution and that Excel can open reliably in that session.
Configure Workstation > Take screenshot
- In Power Automate for desktop, create or open your desktop flow.
- Open the Workstation actions and drag Take screenshot into the flow.
- Choose the capture area. Use Foreground window for the active Excel window. Choose Primary screen, Selected screen or All screens when the content extends beyond the window or spans monitors.
- For Save screenshot to, select File.
- Enter a complete path and filename, for example
C:Automationcapturessales-dashboard.png. Create the directory first if your flow does not do so. - Select an available format. Microsoft’s action lists BMP, EMF, EXIF, GIF, JPG, PNG, TIFF and WMF; BMP is the documented default. PNG is usually a practical choice for text-heavy worksheets, while JPG generally produces smaller files for photographic content.
- Save the action and run the flow. Confirm that the file exists before handing its path to a later upload, email or approval step.
Make the filename safe for repeated runs
Do not overwrite an important capture unintentionally. Build a filename from a run identifier or timestamp, sanitize characters that Windows does not allow in filenames, and keep the extension consistent with the selected format. A simple pattern is C:AutomationcapturesExcel_%DateTime%.png, using Power Automate for desktop’s variable picker for the date-time value. If another action consumes the file immediately, add a file-exists check so a failed capture cannot be mistaken for a successful one.
Capture only one Excel control or region
When the whole foreground window contains toolbars, other applications or unrelated worksheets, use the separate UI automation action.
- Use the UI automation action group and add Take screenshot of UI element.
- Capture or select the target UI element when configuring the action. Depending on the Excel version and accessibility exposure, this might be a chart, grid, pane or other identifiable control.
- Set the output to a file, enter a full path and filename, and choose a supported image format.
- Run the flow and use the generated
ImageFilevariable when a later step needs the resulting path.
Element capture is more precise than foreground-window capture, but it depends on the element being discoverable and stable. A workbook redesign, changed window title or different Excel accessibility tree can invalidate a selector. If the element cannot be identified consistently, capture the foreground window and control the layout instead.
Capture Excel for the web in a browser
Excel for the web is a browser page, so use browser automation rather than the desktop Workstation action.

- Add the browser automation action Take screenshot of web page.
- Choose an entire-page screenshot when the complete rendered page is required, or target a specific page element for a tighter result.
- Choose file or clipboard output and provide the destination when saving to a file.
- Wait for the page and any required workbook data to finish rendering before the screenshot action runs. A page that is still loading can produce a partial or blank image.
This browser action is separate from Microsoft’s Excel flow integration. The integration can create and manage workflows from Excel but has its own authentication requirements and service limitations; it is not a screenshot exporter. Check the current Microsoft documentation for the tenant, browser and authentication conditions in your environment.
Screenshot versus Excel worksheet automation
Use a screenshot when the requirement is “show exactly what a person sees”: a dashboard for an approval, a visual audit trail, a chart in an email or evidence of a displayed error. Use Excel actions when the requirement is to filter rows, compare values, update cells, read a table or calculate a result.
- Screenshot: visual pixels, formatting and current view; not reliably searchable or recalculable.
- Excel action: rows, cells and values that downstream actions can evaluate; no visual representation of layout.
- Both: a useful pattern is to update or calculate with Excel actions, then bring the final view to the foreground and capture it.
Build a dependable capture sequence
Wait for the view, not just the application
Launching Excel does not guarantee that the workbook, formulas, charts or remote data are ready. Add waits based on a visible window, a known UI element or a deliberate delay appropriate to the workbook. Bring Excel to the foreground immediately before capture so another application cannot become the foreground window.
Control layout and display conditions
Window capture is sensitive to resolution, scaling, monitor arrangement, zoom and scroll position. Standardize those settings for unattended runs. Microsoft documents a display-resolution setting for unattended desktop flows: when enabled, child flows use the resolution configured on the parent flow, so choose a resolution that works across the flow hierarchy.

Keep evidence around failures
For an unreliable unattended flow, place one screenshot action immediately before and another immediately after the step that fails. Save them with unambiguous names such as before_step.png and after_step.png. Comparing the pair shows whether Excel was visible, whether a dialog appeared, and whether the UI changed as expected.
Separate reference images from output screenshots
The Power Automate for desktop Images pane stores captured reference images for image-based actions. It can use algorithm and tolerance settings to match what appears on screen. Those references are inputs to matching actions; they are not the image file produced by Take screenshot.
Use recording as a starting point
A recorded desktop flow is a backbone, not a finished automation. Review and edit recorded steps, adding waits, branching and loops yourself. Microsoft recommends UI Automation (UIA) where possible; Microsoft Active Accessibility (MSAA) can still matter for legacy applications that do not expose suitable UIA elements.
Common problems and fixes
The screenshot contains the wrong window
Cause: another window had focus, or the action was configured for a screen instead of the foreground window. Fix: activate Excel immediately before capture, verify the chosen capture area, and close overlays or dialogs that should not be included.

The output file is missing
Cause: the directory does not exist, the unattended account cannot write there, or the path contains invalid filename characters. Fix: create the directory, test write permissions under the same account, use a fully qualified path and generate a safe filename.
The image is blank or shows a partially rendered workbook
Cause: Excel or the browser page was still loading, a chart was still recalculating, or the target was not visible. Fix: wait for a reliable visual condition, allow time for rendering, scroll the target into view and capture again.
The UI-element action cannot find the target
Cause: the element’s accessibility properties or hierarchy changed, or the application exposes it only through a legacy framework. Fix: recapture the element, prefer UIA when available, consider MSAA for legacy controls, or fall back to a foreground-window screenshot with a controlled layout.
Unattended runs work on one machine but not another
Cause: different display resolution, scaling, monitor topology, Excel version, sign-in state or permissions. Fix: standardize the unattended display resolution and application state, then collect before-and-after diagnostic screenshots around the failing action.

The flow needs data, not a picture
Cause: a screenshot action was chosen for a data-processing requirement. Fix: use Excel actions against an Excel instance to read worksheet cells or tables and write values. Add a screenshot only if a visual record is also required.

Operational and cost considerations
- Desktop and browser captures consume the resources of the machine running the flow, so long-running workbooks and high-resolution multi-monitor captures can increase run time and storage.
- Choose PNG, JPG or another listed format according to downstream size and fidelity needs; do not assume every consumer accepts BMP or WMF.
- Keep diagnostic screenshots separate from business deliverables and apply your organization’s retention and access rules, because images can expose worksheet data.
- For unattended operation, test the exact workbook, account, display resolution and monitor configuration used in production rather than relying on an interactive developer desktop.
