Microsoft Outlook Features and Functionality: What Each App Can Do

Outlook combines email, calendars, contacts, search and tasks, but features vary across new and classic Windows apps, Mac, web and mobile.

Microsoft Outlook brings email, calendar, contacts, search and task workflows together, but its capabilities depend on whether you use new or classic Outlook for Windows, Outlook for Mac, Outlook on the web, or the iOS and Android apps. A feature described as “available in Outlook” may not be available in every client, account type or license.

What does Microsoft Outlook do?

Outlook is more than an email inbox. Its main workflows cover:

  • Email: Compose, send and organize messages; use search, signatures, rules, categories and other inbox tools where supported.
  • Calendar: Create events, schedule meetings and manage calendars. Sharing, views and scheduling options vary by client.
  • Contacts and People: Keep contact information and, in supported versions, manage contact lists.
  • Tasks: Access task workflows, including through My Day in new Outlook for Windows.
  • Search and shared work: Find messages and other information, and work with shared mailboxes or add-ins when the client and account support them.

These are broad categories, not a promise that every Outlook app includes every function. Microsoft’s client comparisons document differences in areas such as shared mailboxes, PST files, calendar tools and task management.

Which Outlook app or version should you use?

Microsoft describes Outlook for PC as its most full-featured email and calendar app, optimized for PCs and laptops. That broad description does not settle whether a particular feature is in new or classic Outlook for Windows, so identify the exact client before relying on a capability.

Client What it is suited to Important distinction
Outlook for PC Microsoft highlights scheduling, task management, rich formatting and mailbox rules for heavier users. “Outlook for PC” can mean new or classic Outlook for Windows; their feature sets differ. Microsoft’s PC, web and mobile comparison.
New Outlook for Windows A modern Windows Outlook experience with support for multiple account types and an evolving set of features. Microsoft’s comparison labels individual capabilities available, partially available, upcoming or unsupported. Check the current new-versus-classic feature matrix.
Classic Outlook for Windows Provides capabilities that Microsoft’s matrix says are not yet present in new Outlook. Do not assume every classic feature is included in every license or will remain unchanged; verify the relevant feature in the matrix.
Outlook on the web Browser access to core email, calendar and contacts workflows through Microsoft 365. Browser access does not mean that every desktop capability is available. Learn about Outlook on the web.
Outlook for iOS and Android Access to Outlook workflows on mobile devices. Some management functions are absent or differ from PC and web versions; check the relevant row in Microsoft’s client comparison.
Outlook for Mac A Mac app with its own feature set and version history. Microsoft’s comparison covers Microsoft 365 apps for Windows and Mac; legacy Outlook for Mac has a stated support endpoint in October 2026. Compare Windows and Mac and see Outlook for Mac features.

Outlook email and inbox features

Depending on the client and account, Outlook mail tools can include message search, rules, signatures, categories, Focused Inbox, schedule send, snooze, sweep and undo send. New Outlook and classic Outlook do not have identical support for these functions. For example, Microsoft’s matrix last updated September 23, 2026, marks rules as partially available in new Outlook and rule import/export as unsupported at that time. Check the matrix for the precise feature you need because statuses can change.

Focused Inbox

Focused Inbox separates incoming messages into Focused and Other tabs. Microsoft says it uses interaction patterns and filters noisy sources such as automated or bulk email. It is a sorting aid, not a guarantee that every important message will appear in Focused. Details are in Microsoft’s Focused Inbox guide.

Calendar, contacts and tasks

Outlook calendars support event and meeting workflows, but the available views, sharing options, meeting scheduling tools, working-hours settings, online meeting integrations and schedule views vary among clients. Microsoft’s comparisons distinguish these capabilities rather than treating the calendar as identical across platforms.

Contacts may appear as People, depending on the client. Task features and contact-list management also differ between Windows and Mac editions. Shared mailboxes, PST files and add-ins

Support for shared mailboxes, PST files and add-ins is client-specific. Microsoft’s PC, web and mobile comparison calls out differences in shared mailbox access and PST handling; its Windows-versus-Mac Microsoft 365 comparison also identifies differences such as PST export support. If your workflow depends on one of these, confirm the exact Outlook client, account and mailbox type before switching apps or devices.

New Outlook vs. classic Outlook for Windows

New Outlook is not simply a visual update to classic Outlook: Microsoft documents feature-by-feature differences. Its comparison matrix uses statuses including available, partially available, upcoming and unsupported. VBA macros, rule import/export, offline support and selected calendar tools are examples where the experiences may differ. The status of a specific item can change as new Outlook develops, so use the current comparison matrix rather than assuming parity.

Microsoft’s release notes show that new Outlook continues to change. If a feature is essential—especially for a work mailbox or an established process—check the matrix and the new Outlook release notes before changing your setup.

How to choose the right Outlook client

  1. Name your platform and version. Establish whether you use Windows, Mac, web, iOS or Android—and, on Windows, whether you are in new or classic Outlook.
  2. List the workflows you rely on. Include offline access, PST files, rule management, shared mailboxes, calendar sharing, tasks, add-ins and advanced mail handling as applicable.
  3. Check the relevant comparison. Use Microsoft’s Windows feature matrix, PC, web and mobile comparison or Windows and Mac comparison.
  4. Confirm account and license requirements. Some capabilities require a qualifying Microsoft 365 subscription, and account availability varies. Verify requirements for the specific feature and account you intend to use.
  5. Recheck time-sensitive details. Feature availability and support lifecycles can change. Microsoft’s new-versus-classic comparison was last updated September 23, 2026; its Mac information states an October 2026 support endpoint for legacy Outlook for Mac.
