They need practical controls that make phishing harder, limit account takeovers, protect business data, and support recovery when something goes wrong. AI can help attackers write more convincing phishing messages, according to NIST-hosted small-business phishing material; that does not establish that attack volume has risen or that an AI-labeled defense is the answer. The eight categories below are a control checklist, not a product ranking. Choose tools that fit your accounts, devices, data, and ability to maintain them.
What cybersecurity tools does a small business need?
Start with protections that address common failure points: deceptive messages, reused passwords, stolen credentials, unpatched devices, unavailable backups, and delayed incident response. NIST’s 2024 Cybersecurity Framework 2.0 Small Business Quick-Start Guide treats cybersecurity as ongoing risk management: business assets, technology, obligations, and threats change, so safeguards need review and upkeep.
Use this list to assess coverage. A category may be met by a service already included with your email, identity, or IT provider; do not buy a duplicate simply because it is marketed as AI-powered. CISA’s small-business resources, NIST’s cybersecurity basics, and the FTC’s small-business cybersecurity guidance offer practical starting points.
- Phishing awareness, reporting, and email filtering and authentication
- A password manager and distinct credentials
- Multifactor authentication, favoring phishing-resistant methods
- Maintained antivirus or endpoint protection and automatic updates
- Protected, tested backups, including disconnected recovery copies
- Encryption and secure device and network configuration
- Logging and monitoring
- An incident-response plan and qualified support
1. Phishing defenses: train, filter, and report
Phishing messages impersonate familiar organizations or people and try to pressure recipients into clicking links, opening files, or sharing information. AI can make deceptive wording more convincing, but it does not change the core response: pause and verify unusual requests through a known contact method, not the phone number or link in the message. The FTC advises businesses to train staff regularly and provide a way to report suspicious messages.

- Give employees a clear reporting route, such as a designated inbox or mail-client reporting button.
- Teach staff to confirm unexpected payment changes, credential requests, and urgent instructions by calling a known number or contacting a verified person through a separate channel.
- Use email filtering to flag or quarantine suspicious messages, while recognizing that filters do not eliminate phishing.
For mail sent from your company domain, authentication helps receiving systems assess whether a message is legitimate. SPF identifies authorized sending servers; DKIM adds a verifiable digital signature; DMARC tells receiving servers how to handle mail that fails authentication checks. These controls address domain spoofing, not every phishing message in an employee’s inbox. The FTC notes that configuration may require technical expertise.
2. Password manager: make credentials distinct
A password manager helps staff create and keep strong, different passwords for each account, reducing the risk that one exposed password opens several services. NIST recommends strong passwords and suggests considering a password manager. Select a business-appropriate service based on account administration, access recovery, and how it handles company data; do not assume any product is breach-proof.
Pair the manager with a process for onboarding and offboarding. Remove access when roles change or staff leave, and ensure recovery arrangements do not depend on one employee’s personal account.

3. Multifactor authentication: prioritize phishing resistance
Require multifactor authentication (MFA) wherever an account offers it, especially for email, financial services, remote access, and administrator accounts. MFA adds another proof of identity beyond a password, but methods differ in their resistance to phishing.
CISA’s MFA guidance recommends choosing the strongest available method and lists physical security keys, such as a YubiKey, as its strongest listed phishing-protection method. It then lists app-based number matching, app one-time codes, and text or email codes as weaker options. A FIDO2-compatible security key is a practical category to consider, not a universal fit: first confirm that your identity provider, devices, and account workflows support it. If a key is not supported, use the strongest alternative available and protect fallback methods.
4. Endpoint protection and automatic updates
Keep operating systems, applications, browsers, and router software updated, preferably with automatic updates where they will not disrupt critical work. NIST recommends installing and maintaining updated antivirus and applying software patches as they become available. Make sure every business device—including laptops used remotely—is covered by a maintained endpoint-protection approach.

The sources here do not compare endpoint products or verify claims that a particular product’s AI detection is superior. Evaluate coverage, update administration, alert handling, and compatibility with your systems rather than relying on an AI label.
5. Backups: protect the copies and test recovery
Back up important business data regularly, protect the backup copies, and test that you can restore them. For ransomware recovery, the FTC recommends including important files and a full environment backup on a drive or server that is not connected to the network. A disconnected external drive can serve as one copy, but buying a drive alone does not create a complete backup plan.
- Identify which files, systems, and business processes must be recoverable.
- Keep recovery copies isolated from routine network access so compromised accounts or ransomware cannot readily alter them.
- Set retention and access controls, and encrypt sensitive backup data where appropriate.
- Run restore tests and confirm that staff know how to use the recovered data.
Choose the backup method around your recovery needs and the data you hold. An external drive or SSD is only one possible destination; the appropriate design depends on retention, isolation, encryption, and restoration requirements.

6. Encryption and secure device and network settings
Encrypt sensitive information at rest and in transit, as the FTC recommends. Use device security features appropriate to your equipment, keep devices updated, and secure business wireless networks with WPA2 or WPA3. Review who can access devices and systems, and remove access that is no longer needed.
Implementation depends on the devices, network, and data involved. A consumer router purchase by itself does not secure a business network; router updates, wireless configuration, access practices, and the rest of the environment matter too.

Logging records activity that may help explain what happened during a security event; monitoring is the process of reviewing signals and acting on them. Identify which accounts and systems produce useful logs, who will review alerts, and how suspicious activity reaches someone able to respond. CISA’s small-business resources include logging and threat-detection resources, including no-cost options.

Keep this distinct from email authentication: SPF, DKIM, and DMARC help receiving servers assess messages claiming to come from your domain, while logging and monitoring help surface activity within your systems. A control that generates alerts without an owner or response process is not a complete detection plan.
8. Incident response and qualified help
Write down what staff should do when they suspect a compromised account, malware, data exposure, or ransomware. The FTC recommends an incident-response plan and says businesses responding to ransomware should use experienced IT or security staff, or contract with a cybersecurity company, to investigate.
- Set a clear internal reporting route and identify who can make decisions during an incident.
- Know how to reach your IT provider or qualified security support, including outside normal business hours if your operations require it.
- Document how to preserve relevant information and how to access backups and critical accounts without relying on a potentially compromised device.
- After an incident, review what failed and update the plan and safeguards.
Requirements vary by business and sector. The FTC Safeguards Rule applies to certain financial institutions, not automatically to every small business; check the FTC’s official guidance for your organization’s circumstances.
How to choose tools without buying on an AI label
Official guidance identifies useful control areas, not a tested winner among commercial products. Before adopting a tool, check the job it performs, how it fits your existing systems, and who will operate it.

- Coverage: Which threat or failure does it address, and what remains unprotected?
- Compatibility: Does it work with your existing email, identity provider, endpoints, and devices?
- Administration: Who will configure it, maintain it, review alerts, and manage access?
- Recovery and response: Can you report problems, restore data, and reach support when needed?
- Data handling: What company information does the service process, and how is it protected?
- Operating burden: Can your staff sustain the ongoing work the tool requires?
Review your safeguards when your business adds systems, changes how it works, or faces new requirements. The goal is a maintained set of protections and a workable recovery path—not the largest collection of products.
