6 Ways to Get Better Research from Microsoft Copilot

Improve Microsoft Copilot research by clarifying your goal, context, sources, and output needs—and verify important claims against cited material.

Better Copilot research starts with a specific question, a defined source scope, and a plan to check the answer. Use these six tips to shape prompts, choose between Copilot Chat and Researcher, and verify what matters. Features and access can vary by account, plan, administrator settings, and rollout.

1. State the goal before adding detail

Tell Copilot what you want done: answer a question, compare options, summarize material, or prepare a report. A broad request such as “Research electric cars” leaves the task unclear. A more useful starting point is “Compare the main advantages and disadvantages of electric cars for a household that drives mostly in the city.”

Microsoft’s prompt guidance organizes useful prompts around four elements: goal, context, source, and expectations. The goal is the essential first element; the others make the response more relevant. Microsoft’s prompt-writing guidance recommends plain, clear language and context suited to the task.

2. Add the context and format you need

Explain who the answer is for, why you need it, how much depth is appropriate, and what form the result should take. For example, ask for a short briefing for a nontechnical manager, a comparison table, or a report that separates established facts from open questions. Include constraints that change the answer, such as a date range, location, budget, or audience level.

A prompt might read: “Compare the main advantages and disadvantages of electric cars for a household that drives mostly in the city. Write for a first-time buyer, focus on ownership considerations rather than performance, and return a concise table followed by the key trade-offs.” These directions do not guarantee a perfect response, but they give Copilot a clearer target.

3. Name the sources and set boundaries

Do not assume Copilot can see every relevant document or that it will use the source you have in mind. Say whether the task should use web information, workplace content, material attached to the prompt, or a combination. Specify documents, dates, or topics to include or exclude when they matter.

Microsoft identifies work data, the web, and content attached to a prompt as possible information sources. What is available can depend on account type, and an administrator may disable web content or other capabilities. See Microsoft’s explanation of the information Copilot uses.

When working in a Copilot Notebook

Add the specific files, folders, or sites you want to use as references, then check that the intended material is present and that you have permission to access it. Microsoft says Copilot Notebooks use content from the references added to the notebook that the user can access; it does not automatically cover every file or site. Notebook instructions can also specify focus, format, and tone. Availability and interface details can roll out gradually.

See Microsoft’s pages on adding Notebook references and setting custom Notebook instructions.

4. Match the Copilot experience to the research task

Use standard Copilot Chat for quick answers, short summaries, brainstorming, and straightforward back-and-forth. For complex research that spans multiple sources and benefits from a structured report with citations, use Researcher if it is available to your account.

Experience Best fit Typical output Access note
Copilot Chat Quick questions, simple summaries, brainstorming, and ordinary conversational tasks A direct response or short exchange Available features and sources may vary by account and administrator settings.
Researcher Complex, multistep research across multiple sources A structured report with citations; it may ask clarifying questions Microsoft’s current support page lists Microsoft 365 Premium and Pro subscribers and Microsoft 365 business and enterprise users with a Microsoft 365 Copilot add-on license. Availability can vary.

Microsoft describes Researcher as its in-depth research experience and says Deep Research has been retired. Check Microsoft’s current Researcher overview for its stated eligibility and capabilities.

5. Improve the answer with focused follow-ups

Treat the first response as a draft to refine, not necessarily the finished result. Ask a targeted follow-up: narrow the date range, request support for a particular claim, ask for a distinction between two options, or focus on one cited source. If Researcher asks a clarifying question, answer it to help set the scope.

Keep essential context in the conversation. Microsoft notes that Copilot is limited to the current conversation, so do not assume it will retain instructions or details from a separate chat. Its prompt guidance recommends following up to add detail and gain insights from a file or other material.

6. Check citations and verify important claims

When Copilot provides citations, open the cited sources and confirm that they support the specific statements attached to them. Check whether the source is current and authoritative for the question, and look for important claims that are uncited or not supported by the linked material. A citation is a path to evidence, not proof that the answer is correct.

For consequential decisions, verify key facts against the underlying documents or reliable primary sources. If a source does not support a claim, ask Copilot to identify its basis or revise the answer using sources you specify. Microsoft describes grounding sources and citations, but their presence does not establish that every claim is accurate.
