The shortcuts below are labeled for Windows; key behavior can differ on other platforms and keyboard layouts.
1. Use Flash Fill to split or combine text
Flash Fill can infer a text pattern from an example you enter. If a column contains full names, type the first name in the adjacent column for one row, then invoke Flash Fill to fill the pattern down. You can also use it to combine names held in separate columns. Microsoft describes the feature this way: “Flash Fill automatically fills your data when it senses a pattern.” Microsoft’s Flash Fill guide explains the feature and its use.

- Enter an example of the result you want in a blank column beside your data.
- Start Flash Fill with Data > Flash Fill, or press Ctrl+E in Excel for Windows.
- Check the filled results for exceptions before using them elsewhere.
Flash Fill is useful for pattern-based text changes, not a substitute for checking irregular names or data. The cited Microsoft help lists Microsoft 365 and Excel 2024, 2021, 2019, and 2016. Shortcut behavior can vary by platform.
2. Keep headings visible with Freeze Panes
When a worksheet is larger than the screen, Freeze Panes keeps selected top rows and left columns visible while you scroll. The selection determines what stays in view: Excel freezes rows above the selected cell and columns to its left.
#1 Best Overall
- Select the cell immediately below the rows and immediately to the right of the columns you want to keep visible.
- Choose View > Freeze Panes > Freeze Panes.
For example, to retain a header row and the first column, select the cell just below and to the right of both. Microsoft’s Freeze Panes instructions cover Microsoft 365 and Excel 2024, 2021, 2019, and 2016.
3. Move quickly through a block of data
In Excel for Windows, Ctrl+Arrow moves to the edge of the current data region in that direction. It is a quick way to reach the top, bottom, or side of a contiguous block without scrolling cell by cell.

- Ctrl+Down Arrow moves toward the bottom edge of the current region.
- Ctrl+Right Arrow moves toward its right edge.
- Add Shift to select cells along the movement.
Blank cells and gaps affect where Excel stops, so the jump may end at the edge of a smaller region rather than the edge of the whole worksheet.

4. Go to the first or last used worksheet cell
For a fast jump across the worksheet, Excel for Windows uses two useful shortcuts:
Rank #3
- Ctrl+Home moves to the first worksheet cell.
- Ctrl+End moves to the last used worksheet cell, as recognized by Excel.
Microsoft lists these shortcuts in its Excel keyboard-shortcut guide. “Last used” refers to the worksheet’s used area, which may extend beyond the visible data you consider current.
5. Fill a selection down or across
To copy content and formatting through a selected range, put the source in its topmost or leftmost cell, select the destination range with that source, and use the matching command in Excel for Windows.
| Shortcut | Action | Source cell |
|---|---|---|
| Ctrl+D | Fill Down | Topmost cell in the selection |
| Ctrl+R | Fill Right | Leftmost cell in the selection |
These commands copy the source cell’s contents and formatting through the selected range. See Microsoft’s shortcut reference for the listed commands.

6. Convert a data range into a table
Excel tables give a data range a defined structure. In Excel for Windows, select a cell in the data and press Ctrl+T to open the Create Table dialog. Microsoft’s shortcut reference also lists Ctrl+L for creating a table.
