Use these five warning signs to find weaknesses in your organization’s file-exchange workflow and assign a concrete follow-up check. A sign is a reason to investigate—not proof that a breach has occurred.
1. A plaintext or weakly protected transfer route is still available
Inventory every way files enter or leave the organization, including legacy endpoints and routes used by partners or automated jobs. A secure portal does not protect files sent through a separate, less-protected path.

CISA recommends disabling unnecessary plaintext services such as FTP. For TLS-capable protocols, it recommends TLS 1.3 configured with strong cipher suites. The appropriate protection depends on the protocol and architecture, so verify the actual endpoint and configuration rather than relying on a product’s general security claims. CISA’s hardening guidance provides configuration recommendations.

- Check: Ask the system owner to document active transfer protocols, endpoints, and any exceptions.
- Act: Disable unused plaintext services. Where an exception is necessary, document its purpose, protection measures, owner, and review date.
2. Strong authentication is missing or poorly configured
Accounts that can upload, download, administer, or automate sensitive exchanges need authentication appropriate to their risk. Weak or misconfigured multifactor authentication (MFA) can undermine the protection an organization expects from a second factor.
#1 Best Overall
- Hardware encrypted drive
- Simple to use pin access. RPM-5400
- Administrator password feature
- Bus powered
- Utilizes Military Grade FIPS PUB 197 Validated Encryption Algorithm
CISA recommends phishing-resistant MFA for accounts accessing company systems and applications, citing FIDO authentication and hardware-based PKI as examples. Review both the authentication methods available and how they are enforced for employees, administrators, partners, and service accounts. CISA’s guidance and a joint CISA and NSA advisory on common misconfigurations discuss MFA risks.
- Check: Confirm MFA is required for sensitive access and identify exceptions, recovery routes, and accounts that bypass the standard sign-in flow.
- Act: Evaluate phishing-resistant MFA for higher-risk access. A security key can strengthen authentication, but it does not encrypt transfers, correct excessive permissions, or provide monitoring.
3. People or service accounts can access more than they need
Overbroad access increases the impact of a compromised account and makes accidental exposure easier. This applies to employees, external collaborators, administrators, and nonhuman accounts used by scripts or integrations.
CISA recommends role-based access, least privilege, removing unnecessary accounts, and periodically reviewing accounts. The CISA/NSA advisory also identifies insufficient access-control lists and bypassed access controls as recurring misconfiguration categories.
- Check: Compare each role’s actual permissions with its work requirements. Look for dormant accounts, old partner access, shared credentials, broad folder access, and service accounts that no longer have an active owner.
- Act: Remove unneeded accounts and permissions, assign an owner to each service account, and schedule recurring access reviews.
4. Patching and configuration review have fallen behind
File-transfer systems, their underlying components, and integrations need ongoing maintenance. A secure initial setup can become exposed as vulnerabilities emerge or configuration changes accumulate.
CISA recommends monitoring vendor vulnerability and patch announcements, applying patches in a timely manner, and tracking and auditing configurations. Poor patch management is also identified in the joint CISA/NSA advisory as a common misconfiguration.
Rank #2
- FIPS 197 with XTS-AES 256-bit Encryption: Provides business-grade security with hardware-based encryption to protect your sensitive data
- Brute Force and BadUSB Attack Protection: Safeguards against unauthorized access attempts and malicious USB attacks with digitally-signed firmware
- Multi-Password Option with Complex/Passphrase modes: Offers flexible password configuration options to meet various security requirements and user preferences
- New Passphrase Mode: Enhanced security feature allowing users to create longer, more memorable password phrases for easier access without compromising protection
- Dual Read-Only (Write-Protect) Settings: Enables write protection functionality to prevent accidental data modification or deletion when needed
- Check: Identify who monitors vendor notices, how patches are prioritized and tested, and whether the organization can show the current version and configuration of each transfer component.
- Act: Assign patch and configuration-review ownership, document exceptions, and set a review cadence appropriate to the system’s risk and change rate.
5. Transfer activity and security changes are not logged and reviewed
If authentication, authorization, file activity, and security-relevant changes are not recorded in a useful and protected way, responders may lack the evidence needed to spot suspicious behavior or investigate an incident.
CISA recommends securely sending authentication, authorization, and accounting logs to a centralized logging server. The joint CISA/NSA advisory describes SIEM capabilities for aggregating, querying, correlating, visualizing, and alerting on logs. Logs support detection and investigation; they do not, by themselves, prevent an incident.
- Check: Verify which events are captured, who can alter or access the records, whether logs reach centralized monitoring, and who reviews alerts.
- Act: Protect and centralize relevant logs, define alert ownership and escalation, and test that records can be queried when needed.
Assess the whole exchange, not just the transfer product
NIST treats internet file exchange as a workflow with multiple methods and recommends ways to reduce exposure of sensitive information and detect exchanges that are not properly protected. Its SP 800-47 Revision 1 frames information exchange around agreements, connections, protection requirements, and risk management. That means security review should include the service, identities, access, configuration, maintenance, monitoring, and the terms governing exchanges with partners.
When assessing or selecting a service, use vendor documentation and configuration review to answer these questions; they are evaluation criteria, not a product ranking:
- Which secure protocols are supported, and how are cryptographic settings configured?
- Can the service enforce MFA, including phishing-resistant options for sensitive access?
- Can permissions be limited by role, and are account lifecycle controls available?
- Which audit events are recorded, and can logs be exported to centralized monitoring?
- How are vulnerabilities, patches, and configuration changes handled?
- Does the service fit the organization’s exchange agreements and data-protection requirements?
For broader guidance on internet file exchanges, see NIST’s 2020 bulletin on secure file exchange. Product-specific features and settings should be checked against current vendor documentation.
