You can share a Google Doc with someone who does not use Gmail by sending an “Anyone with the link” URL, inviting them by email, using Google Workspace visitor sharing, publishing the document for broad viewing, or sending an exported PDF or Word file. The right choice depends on whether they need to view, comment, edit, or receive a separate copy—and whether they have a Google Account. For quick access to a non-sensitive document, use an “Anyone with the link” Viewer link; for private collaboration, use a named invitation or eligible Workspace visitor sharing.
A Google Account does not have to use a Gmail address: a recipient can associate an existing work, school, Outlook, Yahoo, or other email address with one. Someone with no Google Account may still access a link-shared or published document, or use Workspace visitor sharing if the organization has enabled it.

Choose the right way to share
| Goal | Recommended method | Google Account needed? | Main trade-off |
|---|---|---|---|
| Quick, broad viewing | Anyone with the link set to Viewer | No | The link can be forwarded to others. |
| Private sharing with a named person | Direct email invitation | Usually, if access is restricted to an account | The recipient must use the invited address; organization rules may block sharing. |
| Collaboration with someone who has no Google Account | Workspace visitor sharing | No; email PIN verification is required | An administrator must enable it; visitors reverify after seven days. |
| Public information | Publish to the web | No | The document may be broadly visible or discoverable. |
| A final copy or attachment | Export as PDF or Word | No | The copy is separate and does not update with the original. |
1. Share an “Anyone with the link” URL
This is a convenient choice for viewing a non-sensitive document without requiring recipients to sign in. Anyone who obtains the URL may be able to open it, so avoid this method for confidential files. Unsigned users may appear as anonymous animals rather than by their real names.

- Open the Google Doc or select the file in Google Drive.
- Click Share.
- Under General access, open the access menu and choose Anyone with the link, if available.
- Choose Viewer, Commenter, or Editor. Use Viewer as the default for broad access; Editor lets link recipients change the file.
- Click Copy link, then Done.
- Send the link using email or another channel.
If “Anyone with the link” is unavailable, a work or school administrator, shared-drive rule, or other organization setting may restrict sharing. Follow the organization’s policy rather than trying to bypass it.

2. Invite the recipient directly by email
A named invitation is usually the better choice when you want to limit access to a particular person. The recipient may need to use or create a Google Account associated with the invited email address. That account can use a non-Gmail address; it does not necessarily create a Gmail inbox.
- Open the file and click Share.
- Enter the recipient’s email address.
- Choose Viewer, Commenter, or Editor.
- Optionally add a message, then click Send or Share.
- Ask the recipient to open the invitation using the same email address that received access.
If the recipient has no Google Account and account-restricted sharing is required, they may be asked to create one using their existing email. Work and school policies can also block external sharing.
3. Use Google Workspace visitor sharing
Eligible Google Workspace organizations can allow external recipients with no Google Account to view, comment on, or edit shared files after verifying their email with a PIN. This is an option for organizations—not the usual sharing route for personal Gmail accounts—and an administrator must enable it.
- Sign in with the eligible work or school account and open the file.
- Click Share and enter the recipient’s non-Google email address.
- Choose the permission and send the invitation.
- The recipient opens the invitation and verifies their email address using the PIN.
Visitor access lasts seven days after email verification. To continue collaborating after that, the visitor must use the link in the original invitation and verify their identity again. Organization settings may limit external recipients or permissions.

4. Publish the document to the web
Publishing is for broad distribution of material intended for people to read, such as announcements or public instructions—not for private collaboration. Depending on account settings, the published document may be visible to everyone on the web, an organization, or a permitted group. Do not use this option for confidential information.
- Open the document in Google Docs.
- Select File → Share → Publish to web.
- Choose the publishing option and click Publish.
- Copy the generated URL and share it with readers.
Changes to the source document are reflected in the published version, although updates may take a few minutes. To remove the published version, stop publishing it. Work or school administrators may disable publishing.
5. Export a PDF or Word file
Export when the recipient needs a separate copy rather than live access to the Google Doc. PDF is suited to a view-oriented copy; Word (.docx) is useful when the recipient needs to edit in Word. Exported files do not stay synchronized with the original, and formatting or comments may not transfer perfectly.

Permissions and privacy to check
Google Docs sharing commonly offers Viewer, Commenter, and Editor. Use the least access that meets the recipient’s need. Editor access lets someone change the original, and link-based Editor access may expose that ability to anyone who gets the link. Link-accessible or published files may be copied, indexed, stored, or redistributed by other users or services.
| Access type | What it allows | Consider before using |
|---|---|---|
| Viewer | Read the live document | Good default for link sharing. |
| Commenter | Read and leave comments | Use when feedback is needed without editing the text. |
| Editor | Change the live document | Grant only when edits are intended. |
| PDF or Word export | Use a separate downloaded copy | Changes to the original do not update the copy. |
Troubleshooting sharing problems
“You need access” or “You don’t have access”
- Ask the recipient to open the link using the email address that received the invitation, or switch to that Google Account if they have more than one.
- Try opening the link in a private browser window to check whether the signed-in account is causing a mismatch.
- If available, the recipient can click Request access; the owner can also confirm the address and resend the invitation.
- If a work or school policy blocks external sharing, ask the administrator about permitted options. Use an export or a link-sharing method only if organizational policy allows it.
“Anyone with the link” is missing
The file owner may not be allowed to change access because of a work or school policy, shared-drive rules, or another organization restriction. Ask the Workspace administrator whether external sharing or visitor sharing is enabled. Do not use an unapproved public upload to get around company policy.
The recipient can view but not edit
Check whether the recipient has Viewer or Commenter access, is viewing a published version, or has an exported copy rather than the live document. Change the permission to Editor only if editing the original is genuinely needed.

Do non-Google users need Gmail to open a Google Doc?
No. A Google Account can use an existing non-Gmail email address. Depending on the sharing method, a person with no Google Account may also open an “Anyone with the link” or published document, or use Workspace visitor sharing if enabled.
Can someone without a Google Account edit a Google Doc?
Yes, in some cases. An eligible Workspace organization can enable visitor sharing so a recipient can edit after email PIN verification. An “Anyone with the link” file can also be set to Editor, but anyone who obtains the link may then be able to change the file.

Does an exported PDF or Word file update when I edit the Google Doc?
No. An export is a separate copy. Export and send it again when you need to share later changes.
Is publishing a document to the web the same as private sharing?
No. Publishing is intended for broad distribution, and visibility depends on account settings. Use it only for content you are comfortable making broadly accessible; stop publishing if you no longer want the published version available.
For a quick, non-sensitive read, share an “Anyone with the link” Viewer URL. For named access, invite the recipient directly; for account-free collaboration in an eligible organization, use Workspace visitor sharing.
