Apple Notes can do more than hold typed reminders: tags and Smart Folders help surface notes across folders, audio recordings can be transcribed and searched, and scanned documents can be signed without leaving the app. These five workflows are useful in different ways, and some depend on your device, software version, language, or region.
1. Organize notes across folders with tags and Smart Folders
Tags let you label notes by subject or purpose without moving them. Add a tag such as #work or #shopping in a note, then find tagged notes in the Tags browser or create a Smart Folder to collect notes matching criteria.

A Smart Folder is a filtered view, not a new storage location: matching notes stay in their original folders. Its filters can match all or any selected tags and can include dates such as when a note was created or last edited. This is useful when one note belongs to a project, a person, and a broader topic at the same time. On iPhone and iPad, tag names are continuous words; hyphens, numbers, and underscores are allowed. Locked notes cannot be tagged, and tagged notes cannot be locked. Apple’s guide to tags and Smart Folders explains the setup.
2. Record audio in Notes and search the transcript
For a meeting, lecture, or spoken reminder, you can record audio in a note and work with its transcript: search it, add the transcript to the note, or copy it elsewhere. Apple’s iPhone guide specifies iPhone 12 or later and a supported device language: English, Spanish, Portuguese, Italian, French, German, Japanese, Korean, Simplified Chinese, or Traditional Chinese. Transcription and AI summarization are separate capabilities. Apple Intelligence can summarize a recording transcript only on eligible hardware and subject to additional language and region requirements; standard transcription does not imply that a summary feature is available. Apple’s Apple Intelligence availability and requirements describes those limits.
3. Scan and sign paper documents in a note
Notes can use an iPhone or iPad camera to scan a receipt, form, or handout. From a note, open the attachment menu and choose the document-scanning option. Capture pages automatically or manually, adjust page boundaries, and add further pages before saving the scan to the note.

To sign the scan, open it in Markup and add a saved signature or create a new one. The workflow combines capture and signing in Notes, so a separate scanner is not required. See Apple’s document-scanning steps for iPhone and iPad.
4. Link related notes instead of treating folders as the only structure
Note-to-note links can connect a project overview to meeting notes, research, or task lists while each note remains independently accessible. Apple documents this feature for iOS 17 and later. While editing, use the editing menu’s Add Link command and search for the destination note by title. You can also type >> in the note body and select a matching note. The destination can be opened directly from the link. Apple’s Notes guide includes this linking workflow.

5. Capture an iPad Quick Note and add handwriting
On iPad, Quick Note gives you a way to jot something down while using another app. Apple documents creating one from an app’s Share menu or by swiping up from the bottom-right corner with Apple Pencil. Notes also supports handwriting and drawing with a finger or Pencil, which can be useful for diagrams or handwritten annotations. The Share-menu route does not require Pencil.
Apple Pencil is optional, and compatibility depends on the iPad and Pencil model. Check Apple’s iPad Quick Note instructions and handwriting and drawing guide for supported steps and device details.
