Current Outlook for Mac supports server-side rules only, while the account or action you selected may require a client-side rule. Try a server rule first; for unsupported third-party or IMAP/POP accounts, use the provider’s webmail filters or Legacy Outlook temporarily.
What the message means
A server-side rule is executed by the mailbox service, so it can continue while Outlook is closed. A client-side rule is executed by Outlook on a particular computer and requires a compatible desktop client. Microsoft documents that current Outlook for Mac creates server rules only: Create a rule in Outlook for Mac.
The account and Outlook mode determine what is possible:

Gmail, Yahoo, iCloud and other third-party accounts are commonly affected. Microsoft says New Outlook does not support managing rules for those third-party accounts; that does not mean the providers themselves lack filters. See Microsoft’s rule-management guidance.

Check the account before choosing a fix
- Open Outlook.
- Select Settings, then Accounts.
- Select the affected account.
- Look for its provider or protocol, such as Exchange, Microsoft 365, Google, IMAP or POP. Labels vary by Outlook build, so identify the account type rather than relying on one exact screen design.
An Outlook.com, Hotmail.com, Live.com or MSN.com address is Microsoft-hosted, but the available rule actions still depend on the connected account and interface. Confirm by checking the account and trying a server-compatible rule.
Fix 1: Create a server-side rule
Use this fix in current Outlook for Mac when the mailbox supports server rules.

- Open Outlook.
- Choose Outlook > Settings.
- Under Email, select Rules.
- Select + Add new Rule.
- Enter a name, choose the conditions, select an action, add exceptions if needed, and save.
- Test it with a newly received message. For supported rules, use Run rule now when available.
Use a destination folder that exists in the mailbox on the server, not a folder stored only on the Mac. Typical server-compatible actions include moving mail to a server folder, archiving, marking it read or applying a server-supported label or category.
Actions that normally require Outlook locally include playing a sound, showing a desktop alert, printing, assigning a local category, or moving mail to a Mac-only folder. Those actions can trigger the unsupported-account message in New Outlook. Microsoft explains these distinctions in Edit or fix a broken rule in Outlook.

For Microsoft 365 and Exchange
If the Mac interface will not save the rule, sign in to Outlook on the web and create it there. Use a server mailbox folder, keep the action server-compatible, and verify that the rule is enabled. Work or school accounts may be restricted by an administrator.
For Exchange on-premises
Microsoft documents stronger server-rule support for Exchange Server 2010 and later. Some Exchange 2007 operations may require Outlook on the web or Outlook for Windows instead of Outlook for Mac; see The rule I created does not work.

Fix 2: Switch to Legacy Outlook temporarily
Use Legacy Outlook only when you specifically need a client-side rule, particularly for an IMAP or POP account.
- Open Outlook and choose the Outlook menu in the macOS menu bar.
- Turn off or deselect New Outlook, if that option is shown, and allow Outlook to restart.
- Choose Tools > Rules.
- Select the relevant account under Client Rules, then create or edit the rule.
Legacy Outlook is a compatibility workaround, not a dependable long-term plan for Exchange Online. Microsoft says Legacy Outlook for Mac will stop working with Exchange Online mailboxes in October 2026. Support for certain on-premises Exchange scenarios is listed through October 9, 2029, subject to Microsoft’s licensing and server conditions. Check Microsoft’s Legacy Outlook retirement notice before relying on it.

Gmail, Yahoo and iCloud: use provider filters
For a third-party or IMAP-based account, create the filter in the provider’s own webmail service:
- Open the provider’s webmail site.
- Create a filter using the sender, subject or other supported condition.
- Choose a server action such as moving to a folder or label, marking as read, archiving or forwarding where permitted.
- Send a new test message and confirm the result in webmail and Outlook.
Provider filters run where the mailbox is hosted and do not require Outlook to be open. They are alternatives, not exact copies of Outlook rules: Mac-only sounds, desktop notifications, local folders and some Outlook-specific categories may not carry over. Microsoft recommends this approach for unsupported third-party accounts in Manage email messages by using rules in Outlook.
If a supported rule saves but does not run
- Confirm the rule is enabled and belongs to the intended account.
- Check that its destination folder exists on the server.
- Remove client-only actions and test a simple move-to-folder rule.
- Review rule order. Outlook applies rules in listed order; Stop processing more rules can prevent later rules from running.
- Test with a newly received message; many rules do not automatically process mail already in the inbox.
- Check whether the mailbox supports the selected condition or action.
- For a work or school mailbox, ask the Microsoft 365 or Exchange administrator to check policy and server restrictions.

What will not fix the underlying limitation
- Buying Microsoft 365 solely for Gmail, Yahoo or iCloud rules: licensing the Outlook app does not add server-rule management to an unsupported third-party mailbox. Licensing details are at How licensing and access works in Outlook for Mac.
- Changing IMAP to POP: this can alter synchronization, folder access and download behavior and is not a general rule fix.
- Reinstalling Outlook: reinstalling cannot add a rule engine that the account or Outlook mode does not support.
- Assuming every Outlook action is server-compatible: server rules have narrower capabilities than client rules.
Microsoft’s account-setup documentation also notes that Outlook can offer different connection paths for some providers: Add an email account to Outlook for Mac. Do not treat a particular Google integration or IMAP setup as a guaranteed workaround; Gmail’s own filters are the more stable option.
