10 Steps to Data Profiling for Successful Data Discovery, Part II

Prepare organizational data for discovery with five preflight steps covering regulatory use, sensitive access, source availability, file usability and a documented profiling plan.

Before profiling begins, make sure the data can be used lawfully, accessed safely, obtained on schedule, read reliably, and examined with a documented plan. These five preflight steps—Steps 6 through 10—turn a source inventory into a controlled profiling exercise. They complement the first five discovery steps rather than replacing them.

What Part II covers

Part I establishes the discovery context and identifies candidate data. Part II prepares those candidates for analysis:

Step Question to answer Evidence to keep
6. Regulatory requirements May this data be used for this purpose in each applicable jurisdiction? Documented decision and advice from legal or privacy specialists
7. Privacy and sensitive access Which fields need protection, and who actually needs to see them? Field classification, access list and handling controls
8. Availability Will every required source be accessible for the whole profiling window? Owner, access window, retention and change expectations
9. Usable formats Can the files and tables be read accurately by the planned tools? Format checks, repair records or an approved alternative source
10. Profiling plan What will be profiled first, how, and why? Prioritized scope, methods, owners, schedule and success criteria

Profiling produces evidence about structure and patterns; it is not, by itself, a quality verdict. A dataset can have plausible statistics and still be wrong for a business purpose.

Step 6: Check regulatory requirements before profiling

Establish the permitted use before an analyst opens the data. Requirements vary with jurisdiction, data type, purpose, contractual terms and the permissions originally collected. The general checklist below is not a legal interpretation for any particular country or sector.

Define the proposed use

  • Write down why profiling is needed and what decisions it will support.
  • List the jurisdictions connected to the people, systems and organization involved.
  • Record the categories of data, including any personal, confidential or regulated fields.
  • Specify who will receive profiles, extracts, reports or alerts and how long they will be retained.

Get a jurisdictionally informed decision

Ask qualified legal counsel, privacy staff or another person responsible for the relevant jurisdiction to review the proposed use. Capture the decision, conditions, retention limits and required approvals in the project record. Do not treat a generic article or a tool’s compliance marketing as a substitute for that review.

Step 7: Examine privacy and constrain sensitive access

Identify sensitive fields before choosing a scan scope. The safest profile is often the one that excludes columns and rows that are not needed to answer the discovery question.

Classify and minimize

  • Mark direct identifiers, quasi-identifiers, confidential business fields and other sensitive attributes in the inventory.
  • Ask whether each field is necessary for the specific statistic or comparison.
  • Prefer masked, tokenized or de-identified values where the analysis does not require the original value.
  • Keep raw values out of exported profile results unless there is a documented need.

Control people and systems

Use least-privilege permissions, separate production access from analysis access, and record who can run scans or download results. Review service accounts as well as human users. De-identification and access control reduce exposure, but the source guidance does not define a technical standard or establish that either measure alone satisfies a particular law; have the privacy function validate the design.

Step 8: Make sure sources will be available when required

A source that disappears halfway through profiling can invalidate comparisons and delay the schedule. Availability is part of readiness, not an operational detail to solve after the plan is approved.

Confirm ownership and timing

  • Name the system or data owner and the team that grants access.
  • Record when the source becomes available, its refresh cadence and the expected profiling window.
  • Find out whether maintenance, migration, archival or deletion is planned.
  • Agree how schema or content changes will be communicated.

Coordinate a stable working copy

Where policy permits, coordinate with data-management teams to preserve a governed snapshot or other reproducible input. Record its extraction time and version. If a source must remain live, schedule scans around refreshes and document the possibility that results will change between runs.

Step 9: Validate and repair usable formats

Do not let a file-format problem surface after analysis has started. Test readability with the actual toolchain and resolve failures before assigning dependent work.

Run a practical intake check

  • Open each file or table with the planned profiling software.
  • Check encoding, delimiters, quoting, header rows, date and numeric representations, compression and expected row counts.
  • Look for truncation, broken archives, malformed records, duplicate headers and inconsistent schemas across partitions.
  • Compare a sample read with the source owner’s expected columns and types.

Repair or replace deliberately

Repair a corrupt but necessary file only under a controlled process that preserves the original and records the transformation. If repair would alter meaning, obtain a suitable alternative source and document why it is equivalent enough for the profiling objective. A successful import does not prove that values are correct; it only establishes that the data is technically usable.

Step 10: Write the profiling plan from priorities and data-generation processes

Convert the inventory, approvals and readiness checks into a written plan. The plan should explain not only what will be scanned, but why that order and method fit the way the data was produced.

Set scope and priority

  1. Rank sources and fields by business importance, risk and the discovery questions they can answer.
  2. Define the population, time range, tables, columns, filters and exclusions for each run.
  3. Choose full-table or incremental coverage and state when sampling is acceptable.
  4. Assign an owner, reviewer, schedule, output destination and retention period.
  5. Define follow-up quality checks and the conditions that trigger escalation.

Account for how records were generated

Manually entered data often has different error patterns from data produced automatically. For manual processes, plan checks for missingness, inconsistent spelling, free-text variation, transposition and date-entry mistakes. For automated feeds, examine interface failures, mapping changes, late-arriving records, duplicate deliveries and transformation logic. Treat these as hypotheses to test, not assumptions about the dataset.

Choose measurements that answer the question

For each field, specify the statistics and interpretation needed. Google Cloud’s Knowledge Catalog documentation describes profile results such as null percentages, approximate distinct-value percentages, common values and numeric summaries including average, standard deviation, minimum, quartiles, median and maximum. The available detail depends on column type. Google notes that approximate values can differ from exact values by 1–2%; label them as approximate rather than presenting them as exact counts.

Use scan controls without losing context

Google documents configurable scope, row and column filters, sampling, full-table or incremental scans, scheduled runs and on-demand runs for its standard scans. Filters can exclude unnecessary or sensitive columns, while sampling can reduce runtime and query cost. These capabilities are product-specific: the documented standard scans support BigQuery, Google Cloud Lakehouse Iceberg REST Catalog, SAP BDC Delta Lake and Hive tables, with additional column-type limits for BigQuery. Check the current Knowledge Catalog documentation before committing to an implementation.

Whatever tool you use, retain the filter definition, sample method, run time, source version and permissions alongside the output. Without that context, two profiles may look different simply because they scanned different populations.

Turn a profile into an actionable discovery result

Review statistical findings with data owners and subject-matter experts. High null rates, unexpected distinct-value counts or unusual numeric ranges are signals for investigation, not automatic proof of defects. Define quality rules and compare them with the business meaning of each field. Google Cloud states that “Data profiling recommends data quality check rules to ensure your data stays reliable.” Those rules still require an owner, threshold, exception process and follow-up test.

Software can accelerate this work, but capability claims need attribution and verification. DQLabs describes its Prizm platform as profiling structural metadata, statistical patterns and semantic candidates and discovering candidate rules; those are the vendor’s descriptions, not independent test results. When evaluating any platform, compare source and format coverage, full versus incremental scans, sampling and approximation controls, sensitive-field filters, permissions and auditability, scheduling and history, outputs and integrations, cost, and whether the use case is a one-off discovery exercise or continuous monitoring.

Preflight checklist

  • Regulatory and purpose decisions are recorded for every jurisdiction in scope.
  • Sensitive fields are classified, unnecessary columns excluded and access limited.
  • Each source has an owner, availability window and change or retention plan.
  • Files and tables pass readability checks, with repairs or alternatives documented.
  • The profiling plan defines scope, priorities, methods, sampling, owners, schedule and follow-up quality checks.
  • Every result carries its source version, filters, sampling context and approximation label where applicable.

Conclusion

Steps 6 through 10 prevent avoidable failures before profiling consumes analyst time: unauthorized use, unnecessary exposure, disappearing sources, unreadable inputs and unfocused scans. Once those controls are in place, profile statistics become a defensible starting point for data discovery and for the quality checks that follow.
