Workday work intelligence, as Workday currently describes it, is an employee-approved process in which the Work Insights Agent uses Sana to infer the tasks people perform from their digital work systems, asks employees to validate those tasks, and creates a shareable profile. That profile can include tasks, estimated time, possible AI opportunities, goals, and prompts. Workday says validated task information is then used by its work intelligence team for role modernization, workforce insights, and capacity planning.
This is not the same thing as Workday People Analytics or Workday Prism Analytics. Those products have different inputs, configuration requirements, refresh behavior, and limits. Workday’s public account describes the Work Insights Agent in an internal company use case; it does not establish general availability for customers.

What Workday means by “work intelligence”
Workday uses “work intelligence” to describe a way of understanding work from the systems employees already use, rather than relying only on job descriptions, surveys, or manually maintained process documents. In the account published by Workday in 2026, its work intelligence team built the Work Insights Agent in Sana for Workday employees.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Repair Windows errors before they cause bigger problems3Scan for outdated or missing drivers - takes under a minuteThe agent examines employee-approved connections to work applications, identifies recurring activities, and turns those activities into a proposed task list. The employee then reviews that list in a short conversation and confirms or corrects it. The result is a Work Insights Profile that can be shared and that summarizes the employee’s tasks, time allocation, potential AI opportunities, goals, and ready-to-use prompts.

Workday says the validated task information also goes to its work intelligence team. The stated uses are modernizing roles, understanding workforce capability, and planning capacity. That is Workday’s description of its own internal workflow, not an independently tested product evaluation or a statement that every Workday customer can activate the same feature.
Carl Adams, Workday’s principal for business intelligence, described the approach this way: “Sana is the perfect tool for Workmates to filter their digital exhaust into accurate task profiles, validate those profiles, and collaborate in modernizing those tasks—all in one single agentic experience.”
How the Work Insights Agent works
1. Employees approve the connections
The process starts with connections that the employee has approved. Workday’s examples include email, meetings, documents, calendars, and workflow applications. The purpose is to observe work signals such as communications, scheduled activities, documents handled, and actions completed in business systems.

Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →Workday says Sana has prebuilt connectors to 21 systems. Examples named in the account include Outlook, Google, Slack, Zoom, and Workday. Other examples of workflow systems mentioned for task discovery include Salesforce, GitHub, and Jira. The account does not publish a complete, dated connector inventory, so connector names and availability should be confirmed with Workday for the edition and tenant being considered.
2. The agent infers activities and tasks
The agent turns activity signals into a proposed list of tasks. The published description does not disclose the full inference logic, weighting rules, model version, confidence thresholds, or how conflicting signals are resolved. It therefore should not be treated as a transparent rules engine that an administrator can fully audit from the available description.
“Digital exhaust” can reveal patterns that a formal job description misses, such as recurring coordination, analysis, approvals, status updates, or preparation work. It can also reflect unusual periods, temporary projects, shared accounts, or work that happens outside connected systems. Those possibilities make employee review an important part of the workflow.

3. Employees validate the proposed task list
Employees review the output through a conversational interaction. Workday reports that this review is intended to let a person confirm, correct, or refine what the agent inferred. Validation is not the same as independent proof that every task or time estimate is correct; it is the human checkpoint Workday places between automated discovery and organizational use.
Quick wins for a faster PC:
Scan for outdated or missing drivers - takes under a minuteDriver Scan →Clear out junk files and repair common Windows errorsFree Scan →4. A profile is created and shared
The resulting Work Insights Profile can summarize:
- Tasks the employee performs.
- How time is associated with those tasks.
- Potential opportunities for AI assistance.
- Goals connected with the work.
- Prompts that can be used to continue exploring or improving the tasks.
Workday says the profile is shareable. The published account does not specify a universal sharing model, administrator permissions, retention period, export controls, or whether access differs by role or geography.
What data sources can feed work intelligence?
The available description identifies categories of sources rather than a complete technical schema. The following table separates the examples Workday names from details it has not specified.
| Source category | Examples named by Workday | What the signals can represent | What is not established |
|---|---|---|---|
| Email and calendar | Outlook, Google, calendar and meeting records | Messages, meetings, scheduling patterns and coordination work | Exact fields collected, message-content handling, retention and exclusions |
| Documents and collaboration | Documents and Slack | Content production, review, collaboration and handoffs | Supported file types, indexing scope and administrator controls |
| Workflow and engineering systems | Salesforce, GitHub and Jira | Cases, development activity, issues, changes and workflow steps | Object-level permissions, connector coverage and inference rules |
| Core HR or work platform | Workday | Work-related records that may provide organizational context | Which Workday objects are used by the agent and how they are joined |
Because the connector list is described only as examples, an organization should not assume that a named application is supported in every region, tenant, release, or subscription. It should also ask whether a connector reads content, metadata, activity events, or some combination.
What Workday reported about accuracy
Workday’s 2026 account gives three employee-rating figures. They are company-reported results about Workday’s own employees, not independent research. The account does not state the sample size or survey method.

| Measure | Workday-reported result | How to interpret it |
|---|---|---|
| Task capture rated “extremely accurate” | 84% | An internal employee rating reported by Workday; population and methodology are not stated. |
| Conversational review rated “extremely accurate” | 93% | An internal rating of the review interaction; it is not an externally validated accuracy test. |
| Employees who believed the agent would significantly change daily work | 64% | A perception about expected impact, not a measured productivity gain. |
These numbers can indicate that Workday employees found the workflow promising, but they cannot establish performance for another employer, job family, language, data environment, or workforce size. A buyer would need its own pilot design, acceptance criteria, and privacy review before treating the figures as predictive.

How this differs from People Analytics
Workday People Analytics is a separate, configurable workforce analytics application. It analyzes configured worker data and metrics rather than inferring an individual’s daily task list from connected work applications.
Topics and subscriptions
Documented People Analytics topics include workforce composition, organization composition, retention and attrition, hiring, talent and performance, and skills. Employee sentiment is available for eligible customers using Workday Peakon Employee Voice and opting into the VIBE Index. Worker topics and skills require the HCM SKU, while hiring requires Workday Recruiting. Topic availability therefore depends on subscriptions, not simply on having a Workday tenant.
Configuration and history requirements
Customers configure fields, worker populations, fiscal schedules, and metrics. Workday warns that mapped field choices affect how insights are created and the quality of the resulting analysis.
- At least four months of transactional worker data are required.
- Customers can load between 4 and 36 months of history.
- Year-over-year analysis requires at least 14 months.
- The application analyzes up to 400,000 employees; Workday recommends contacting Support above that limit.
- High-cardinality fields can lengthen computation.
- Very small populations may produce less meaningful insights.
How Storyteller produces focus insights
People Analytics uses Storyteller to group data into views across dimensions. It filters out views with no data or insufficient statistical significance, links related views, assesses significance, and surfaces the most significant findings as focus insights.
Documented insight types include trend analysis, which compares the current month with historical performance, and gap analysis, which compares current performance with another organizational area or with the company. Insights are recalculated when Storyteller runs, so the displayed set can change when data, configuration, or algorithms change.
Workday says comparisons are weighted by population size to reduce the influence of very large percentage changes in small groups. Some workforce metrics do not have a universally expected direction, so trends can appear in neutral colors rather than being labeled simply good or bad.

How Prism Analytics differs
Workday Prism Analytics is described as a data hub for bringing external data into Workday and blending it with Workday transactional data. It can ingest data through APIs, SFTP, or browser-based file uploads, then process it through configurable transformation pipelines.
Free tools Windows power users keep installed
One-click scans. No signup required.
Prism refreshes can be run ad hoc or on a schedule, and Workday says one security framework governs access. Those capabilities address external-data integration and analytical preparation. The available Workday account does not say that Prism is the data pipeline used by the Work Insights Agent. Do not infer that relationship merely because both products involve analytics.
| Capability | Primary purpose | Typical input path | Key constraints documented by Workday |
|---|---|---|---|
| Work Insights Agent | Infer and validate employee task profiles | Employee-approved connections to work systems | Customer availability, retention, access controls and full inference logic are not established. |
| People Analytics | Analyze configured workforce metrics and surface focus insights | Configured Workday worker data and subscribed topics | Requires defined history, field mapping and population choices; supports up to 400,000 employees. |
| Prism Analytics | Ingest, transform and blend external and Workday data | APIs, SFTP and browser file uploads | Refresh cadence depends on ad hoc or scheduled runs and configured pipelines. |
Data freshness, refreshes and reporting performance
There is no published refresh schedule for the Work Insights Agent in the available account. A prospective customer should ask whether task signals are processed continuously, in batches, or only when an employee starts a review.
People Analytics insights are recalculated when Storyteller runs. A changed data load, field mapping, population definition, or algorithm can therefore change which findings appear. Prism refreshes can be scheduled or run on demand, making it more suitable when an organization needs an explicit ingestion timetable for external data.
Workday’s separate custom-reporting guidance says the selected data source determines the available fields and is the largest factor in report performance. It recommends choosing the smallest source that returns the required business-object instances, verifying that the audience can access the source and fields, and considering execution context. Dashboard worklets can time out after 30 seconds. Sources marked “Do Not Use” should be avoided because they may have been retired. These reporting rules should not be treated as documented limits of the Work Insights Agent.
Important limitations and unanswered governance questions
Customer availability
Workday’s account describes an internal Workday workflow. It does not establish that the Work Insights Agent is generally available, included in a particular SKU, or deployable in every country. Availability must be confirmed for the organization’s tenant and contract.
Best Value
Privacy, retention and access
The published description does not specify retention periods for source activity, inferred tasks, or profiles. It also does not provide detailed role-based access rules, administrator visibility, export behavior, deletion procedures, or regional data-processing terms. People Analytics and Prism security descriptions should not be used to fill those gaps because they are separate products.
Inference transparency
The full inference logic, confidence scoring, model controls, and correction history are not described. An organization evaluating the feature should request documentation on how the system handles ambiguous activity, shared work, temporary assignments, leave, multiple roles, and work performed outside connected systems.
Population and data-quality effects
People Analytics documentation explicitly warns that population cardinality affects which insights appear, their quality, actionability, and computation time. Similar questions matter for task inference: a sparse digital trail, inconsistent naming, or disconnected systems can leave important work invisible. A validated profile is a useful checkpoint, but it does not automatically correct missing source coverage for an entire team.

Connector change risk
Connectors can change as vendors alter APIs, permissions, or product editions. The 21-system figure is a Workday statement, not a permanent catalog. Confirm supported versions, scopes, authentication method, regional hosting, and change-notification procedures before relying on a connector for workforce planning.
How to evaluate work intelligence in your organization
- Confirm product status. Ask Workday whether the Work Insights Agent is available to your tenant, in which release and region, and under which commercial entitlement.
- Inventory actual work systems. List the email, calendar, document, collaboration, CRM, engineering and workflow tools used by the target population. Match each one to a currently supported connector rather than relying on an example list.
- Define employee consent. Document what employees approve, what administrators can see, how participation is communicated, and how someone withdraws or corrects data.
- Request data-flow details. Obtain the fields or event types collected, processing location, retention period, deletion process, encryption and access-control model.
- Design a representative pilot. Include different roles, work patterns, geographies and levels of digital activity. Do not evaluate only highly instrumented teams.
- Set validation criteria. Measure whether employees can correct task names, merge duplicates, flag missing work and distinguish temporary projects from recurring responsibilities.
- Separate products in architecture reviews. Document whether a requirement belongs to task inference, People Analytics metrics, Prism data integration, or ordinary reporting. Avoid assuming that data flows between them without explicit confirmation.
- Test operational limits. For People Analytics, check history length, population size, high-cardinality fields and Storyteller run behavior. For reporting, test source size, audience permissions and the 30-second dashboard timeout.
What readers should verify before relying on a profile or insight
- Whether the source systems represent the employee’s real work, including offline or unconnected activity.
- Whether the employee has reviewed and corrected the proposed tasks.
- Whether a time estimate is an observed measure, an inference, or a value supplied during validation.
- Whether a People Analytics finding is based on enough history and a sufficiently large population to be meaningful.
- Whether a Prism dataset has completed its latest scheduled or ad hoc refresh.
- Whether the intended audience is authorized to view the underlying source, fields and derived output.
