Choose WordPress collaboration only when simultaneous editing must happen inside a block-editor post or page and your team accepts an experimental Gutenberg setup. WordPress Core removed real-time collaboration from WordPress 7.0; the active path is the Gutenberg plugin experiment, not a generally shipped core feature.
The practical answer
These tools solve different workflow problems. Google Docs is a shared-document workspace with established comments, action items, suggested edits and version history. WordPress collaboration is aimed at the publishing object itself: a post or page made of blocks in the WordPress editor. That distinction determines whether collaboration ends with a document ready for another system or with content already located where it will be published.

For an editorial team that drafts, assigns review, records decisions and revisits earlier versions, Google Docs is the lower-uncertainty choice. For a team that must see multiple cursors in the final WordPress post and wants edits to remain in the block editor, the Gutenberg experiment can be appropriate, provided someone can maintain a plugin-based, changing implementation.

There is no universal winner. The decision is about where the authoritative copy should live, how formal the review must be, who needs access, and whether experimental behavior is acceptable.

What changed in WordPress
Real-time collaboration is not a WordPress 7.0 core feature
A September 18, 2026 Make WordPress Core update states that real-time collaboration was removed from WordPress 7.0. WordPress is pursuing a server-aware direction instead. The project’s roadmap still lists collaborative editing and workflows as a development focus, and it names WordPress 7.0 among 2026 core-development goals, but roadmap language is not evidence that a capability shipped. Treat the later Core update as the current status.
The project’s stated principle is that “Collaboration should be server-aware, with WordPress Core in control.” In practical terms, a future design is expected to account for changes that pass through WordPress’s server and APIs rather than synchronizing only what two browser tabs know about.
The current experiment is in Gutenberg
The Gutenberg plugin contains the active real-time-collaboration experiment. In the described design, each browser keeps a copy of the post in a CRDT document, and browsers exchange updates with one another. A CRDT can merge concurrent changes without requiring one person to lock the entire document, which is why participants can see one another’s edits and cursors.
Free tools Windows power users keep installed
One-click scans. No signup required.
That browser-to-browser model has an important boundary. Changes made through the server, including REST API or WP-CLI updates, are not shared with peers as collaborative edits. Such a change can arrive as an all-or-nothing update rather than as a sequence that other editors merge with their work. Automation, imports, scheduled jobs and editorial edits in the browser therefore need separate coordination.
Do not carry forward the old two-person limit
A March 2026 developer update described an earlier proposed implementation that used HTTP polling, persistent CRDT update storage and an initial client-side limit of two simultaneous collaborators. That was historical design context. Because Core later removed RTC from WordPress 7.0, the two-person figure is not a current general WordPress limit and should not be used to size a production workflow.
What the WordPress Docs plugin provides
The WordPress Docs plugin listing describes documents inside wp-admin, unique secret share URLs, access for anyone with a link or for selected invitees, and live editing with visible cursors when used with Gutenberg. Its release notes refer to real-time collaboration with Gutenberg or WordPress 7.0; since Core’s later update removed RTC from WordPress 7.0, the current route for that capability is the Gutenberg plugin experiment.

Sharing modes and upload rights
Different invite methods do not provide identical rights:
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitches- Anonymous link users: can edit text but cannot upload files.
- Email-invited users: can edit and upload files.
- Existing WordPress users: receive full editing and upload access.
That makes the plugin useful when outside contributors need a controlled link, but it also means the share method must be part of your content-security plan. A link that permits text editing is not equivalent to an authenticated WordPress account.
Where it fits
The plugin is most relevant when the document is already a WordPress post or page, when block structure matters during drafting, or when the publishing team cannot afford a copy-and-paste handoff. Its listing establishes shared editing and access controls; it does not establish parity with Google Docs’ complete review system, so do not assume that comments, action items, suggestions and version-history behavior will match.
How Google Docs collaboration works
Review without overwriting the draft
Google’s official help for Docs, Sheets and Slides documents comments and action items for assigning or tracking work. Docs’ suggestion mode lets a reviewer propose wording without changing the original text immediately. Version history records earlier states so an editor can inspect or restore a previous version.
A practical review sequence is to keep the writer’s text intact, use suggestions for wording changes, place rationale in comments, assign action items to named collaborators, and accept or reject suggestions after the responsible editor has resolved the comments. This gives a team a visible queue of decisions rather than relying on chat messages or an informal list of requested changes.
Conflict handling
Google’s help documentation also describes conflict notifications and options to refresh or compare unsaved changes. If a browser has stale content, the warning is a signal to stop typing, preserve any local text and compare it with the current document instead of blindly refreshing.

The encryption exception
Client-side encrypted files are a specific exception. Google says collaborators can work on the same encrypted file at different times, but cannot collaborate in real time on it. This limitation applies to client-side encrypted files, not to Google Docs files generally. Whether it affects your team depends on your Workspace configuration and which files your administrator places under client-side encryption.
Side-by-side comparison
| Decision point | WordPress with Gutenberg RTC experiment | Google Docs |
|---|---|---|
| Primary object | A WordPress block-editor post or page. | A shared document used for drafting and review. |
| Current product status | Experimental in the Gutenberg plugin; RTC was removed from WordPress 7.0 core. | Established shared-document workflow with documented collaboration tools. |
| Concurrent editing model | Browsers exchange CRDT updates and show live changes and cursors in the experiment. | Multiple collaborators edit a shared document, with comments, suggestions and conflict notices documented by Google. |
| Review features established by the cited documentation | Shared editing and access controls; feature parity with Docs is not established. | Comments, action items, suggestions and version history. |
| Publishing handoff | Work remains in the WordPress publishing environment. | Usually requires a later transfer or import into the WordPress editor when WordPress is the publishing system. This is a workflow inference, not a measured transfer result. |
| Server/API changes | REST API and WP-CLI changes are not incorporated as peer edits in the current browser experiment and can produce an all-or-nothing update. | Google documents conflict notifications and refresh/compare options for unsaved changes; behavior for a particular Workspace configuration can vary. |
| Client-side encrypted files | Not applicable to this WordPress comparison. | Cannot be edited collaboratively in real time, according to Google’s help page. |

Choose based on where the authoritative copy belongs
Keep the source in Google Docs when review is the hard part
Use Docs as the primary workspace when contributors include people who should not have WordPress accounts, when copy needs several rounds of editorial or legal review, or when action ownership and revision history matter more than seeing the final block layout. The documented review tools make it easier to distinguish a proposed edit from an accepted edit.
This approach introduces a publishing handoff. Someone must move approved copy, headings, links, media references and formatting into WordPress, then check that the result survives the block editor. Assign that handoff to a named role; otherwise the team can finish a document while no one owns the final publication step.
Keep the source in WordPress when block structure is part of authorship
Use the Gutenberg experiment when the content depends on WordPress blocks, reusable patterns, embedded content or a layout that is difficult to reproduce from plain document text. Simultaneous editors can work on the object that will ultimately be published, reducing the risk that a later transfer changes formatting.
Accept the operational trade-off: the experiment can change with Gutenberg releases, and server-side automation is outside the peer-editing model. Establish a backup and a rule for pausing automation while people are making coordinated edits.
Use a hybrid only with a clear handoff rule
A hybrid workflow can work for teams that need Docs’ review discipline and WordPress’s final layout control:

- Draft and collect comments in one Google document.
- Mark a specific version as approved; do not copy from a document that still contains unresolved suggestions.
- Transfer the approved text into a WordPress draft and rebuild blocks deliberately.
- Run a WordPress-only layout and link check before publication.
- Record the WordPress revision or publication identifier back in the project record so later editors know which copy became authoritative.
The hybrid model is not simultaneous editing across both systems. It is a controlled transfer between two systems with different strengths.
Set up a Google Docs review workflow
- Create one working document. Give it a title that includes the project and status, such as “Product update — draft,” and keep the document as the single review location rather than creating a new file for every round.
- Invite the right identities. Use your organization’s normal Google sharing controls and verify whether external collaborators are permitted. Do not assume that a link setting has the same effect in every Workspace configuration.
- Separate writing from review. Writers work in editing mode; reviewers switch the mode selector to Suggesting when they want proposed text to remain visibly pending.
- Attach decisions to text. Select the relevant words and use the comment action to explain the issue. Convert a comment into an action item when a named person must resolve it.
- Resolve in order. The lead editor accepts or rejects suggestions, closes comments only after the underlying issue is settled, and checks version history before a major rollback.
- Protect the handoff. Export or copy only after the document is approved. Keep the approved version identifiable so a later WordPress editor can tell which text was transferred.
Menu names can vary slightly by account or interface language. The important controls are the suggestion mode, comments and action items, and the version-history view documented by Google.

- Use a non-production environment first. The RTC path is experimental. Test it on a staging site or a disposable post before allowing it on a post that is being published under deadline.
- Install or update Gutenberg. In
wp-admin, use the Plugins area to install and activate the Gutenberg plugin, then confirm that the version you installed exposes the collaboration experiment. - Enable RTC in Gutenberg’s experimental settings. The exact label can change as the experiment evolves. Record the plugin version and setting so another administrator can reproduce the configuration.
- Create a test post. Open the block editor in two supported browsers or sessions, invite the intended collaborators and verify that cursors and text changes appear before using a real assignment.
- Choose the sharing method deliberately. For the Docs plugin’s sharing flow, decide whether a secret link, an email invitation or an existing WordPress account is appropriate. Remember that anonymous link users can edit text but cannot upload files, while email invitees and existing users have broader upload rights.
- Freeze automation during the test. Do not run REST API imports, WP-CLI updates or other server-side mutations on the same post while measuring peer editing. The current experiment does not merge those changes as ordinary collaborative edits.
- Back up before publication. Preserve a WordPress revision or export that can be restored if a plugin update, connection failure or server-side update leaves the post in an unexpected state.
Do not describe this setup to contributors as a permanent Core feature. Tell them which plugin is required, which browser sessions are supported by your test, and who will respond if collaboration stops working after an update.
Technical boundary: browser peers are not the whole WordPress system
The CRDT model explains why two browser sessions can merge keystrokes, but it does not make every WordPress data path collaborative. A REST API client, WP-CLI command, import process or other server-side actor can replace or update the post without producing the same peer-level operations. The result may look like a sudden complete change rather than a set of reviewable edits.
That boundary matters for publishing pipelines. If a scheduled job updates metadata, an SEO integration rewrites content, or a deployment script replaces the post, pause collaborative editing or define which side wins. Keep a named owner for server-side jobs and document their run times so editors are not surprised by an apparently lost change.

Sharing identity
The WordPress Docs listing’s three access patterns have different accountability. Existing WordPress users are identifiable accounts with full editing and upload access. Email invitees receive a narrower invitation path but can upload files. Anonymous link users are convenient for text contributions but cannot upload and may be harder to attribute to a person. Select the least permissive option that still lets the contributor work.
Best Value
Google permissions likewise depend on your Workspace administration. The cited Google help page is specific about client-side encrypted files and does not establish one universal visitor or permission model for every organization. Check your administrator’s sharing policy before promising that an outside reviewer can open or comment on a file.
Transport and encryption in the optional WordSocket path
WordSocket is an optional WebSocket-based Yjs sync provider described for Gutenberg RTC. It requires the Gutenberg plugin, RTC enabled in Gutenberg and a connection to WPSignal. Its listing says that collaboration updates, cursors, presence and notes travel over the WebSocket.
Its data handling is not uniform: the documentation distinguishes encrypted event payloads from collaborative editing updates, which it says are not encrypted while relayed. Do not present that transport as end-to-end encryption for all traffic. WPSignal is described as independent and not affiliated with or endorsed by the WordPress project. Treat this as an experimental technical option that requires your own security review, service verification and current terms check, not as a default recommendation for an ordinary content team.
Common failure modes and responses
Editors see different WordPress content
First check whether one person or an automation process changed the post through REST, WP-CLI or another server path. Save each browser’s visible text, stop further edits and identify the latest authoritative revision before reopening the session. The current experiment does not guarantee peer-level merging for those server changes.
A shared link works for text but not media
That behavior is consistent with the WordPress Docs permission distinctions: anonymous link users can edit text but cannot upload files. Invite the person by email or use an existing WordPress account if they legitimately need upload access.
Google reviewers overwrite one another’s intent
Ask reviewers to use Suggesting mode for proposed wording and comments for questions. Resolve suggestions and action items in the document rather than accepting edits from email or chat, then inspect version history if a large change needs to be reversed.
A Google encrypted file will not accept simultaneous edits
Confirm whether the file is client-side encrypted. Google documents that such files can be edited by collaborators at different times but not in real time. If policy permits, use a non-client-side-encrypted working copy for the live session and apply your organization’s retention and access rules; otherwise schedule sequential editing.

The Gutenberg experiment changes after an update
Record the Gutenberg version, keep staging separate from production and test the collaboration path after updates. If the experiment is unstable for a deadline-sensitive project, move that assignment to Google Docs rather than treating the plugin as a guaranteed Core service.
Decision checklist
- Choose Google Docs if comments, action items, suggestions and version history are central to approval.
- Choose WordPress with Gutenberg RTC if the post’s block structure must be edited collaboratively in its final publishing environment.
- Choose Google Docs first, then WordPress when outside reviewers need document access but the publishing team owns the final block-editor pass.
- Choose neither as a single answer until you identify how server-side automation, imports and scheduled updates will be coordinated.
- Check encryption policy before promising real-time Google collaboration, because client-side encrypted files are excluded.
- Check identity and upload requirements before sending a WordPress share link, because anonymous, invited and existing-user access differ.
- Reject the WordPress experiment for a critical deadline if your team cannot maintain staging, backups and a rollback plan.
Final verdict
Google Docs is the safer default for a mature, review-heavy collaboration process. WordPress’s Gutenberg experiment is the better fit only when keeping edits inside the block editor outweighs the uncertainty of an experimental feature and its server/API boundary. Decide first where the authoritative copy belongs; then select the tool whose permissions, review controls and failure recovery match that decision.
