Windows 11 Search uses several separate sources: an index of content on your PC, optional results from connected Microsoft accounts, and Bing-powered web results. You can adjust which folders and file contents are indexed, control cloud search and local history, and—on Copilot+ PCs—manage semantic indexing. The right settings depend on whether you value broader results, fewer system resources, or tighter control over what Search can access.
Why is Windows 11 Search not finding my files?
Windows Search uses a local index: a catalog of file names, paths, properties and, when enabled for supported file types, file contents. That lets Windows find results without starting from scratch for every query. Microsoft says the first indexing process can take up to a couple of hours; the index then updates in the background as files change. The time on an individual PC can vary. See Microsoft’s Search indexing in Windows.

A missing result may be outside the indexed locations, still waiting to be indexed, or in a file type set to index properties only. Check coverage first:

- Under Find my files, check whether Classic or Enhanced is selected.
- To add or exclude locations, use the available folder controls or select Customize search locations. Add a folder where the missing file is stored.
Classic indexes Documents, Pictures, Music and the desktop by default. Enhanced covers the entire PC, including user folders and files. Microsoft warns that Enhanced may use more system resources and that searching the entire PC can affect CPU use and battery life. If you only need files in a few additional places, adding those folders can broaden coverage without indexing the whole device.

Can Windows Search find text inside documents?
It can for supported file types when content indexing is enabled. In the Classic indexing controls, open Customize search locations, then Indexing Options > Advanced > File Types. Select a file type and choose whether to index properties only or properties and content. Properties-only indexing still supports filename searches, but not searches for text inside the file. Turning off content indexing can reduce index size while making some files harder to find. Microsoft documents the controls in its indexing guide.
How do I stop Windows Search from indexing a folder?
Open Settings > Privacy & security > Searching Windows and use the folder controls under Find my files to exclude the location. The exact controls shown depend on the indexing mode and Windows configuration. In Classic mode, Customize search locations opens the locations list, where you can change which folders are included. On Copilot+ PCs, also check Advanced indexing options for semantic-indexing location controls.
Excluding a folder affects local indexing; it does not turn off cloud account search or Bing web results. Conversely, disabling cloud content search does not remove a local folder from the index. Those are separate controls.

Does Windows Search send my files to Microsoft?
Local indexing and cloud search are different. Microsoft says the traditional search index is on the device. On Copilot+ PCs, Microsoft also says semantic-indexing data is stored locally and is not stored by Microsoft or used to train AI models. Search can also show cloud content from connected personal or work accounts, and Bing-powered web results when you search the web or use suggestions. Those sources should not be confused with the local index.
Control connected account results
To see which accounts are connected, open the Windows Search panel and select Options. You can manage account connections in Settings > Accounts > Email & accounts. Cloud content search settings for personal and work or school accounts determine whether results from those services appear. Personal account results may include OneDrive and Outlook; work or school results may include OneDrive for Business, Outlook, SharePoint and Microsoft Search. For Microsoft’s description of these sources and controls, see Windows Search and Privacy.
Why does Windows Search show web results?
Windows Search can combine device results, connected-account results and web results. Microsoft says web searches and search suggestions are powered by Bing. If you want to reduce web or account results, adjust the relevant cloud search or Search permissions settings; changing indexed folders only changes local results. Bing SafeSearch is also available at Settings > Privacy & security > Search permissions. Microsoft says Strict is shared with Bing in the browser and takes precedence on the device; Moderate or Off follows the Bing.com SafeSearch setting.

How do I clear search history in Windows 11?
Clear history saved on this device
- Open Settings > Privacy & security > Search permissions.
- Under the device search history control, select Clear device search history.
Microsoft says Windows Search saves device search history locally to help find things faster. This control clears that local history; it does not change which folders are indexed.

Delete Bing search history associated with your Microsoft account
Review or delete account-associated search history through the Microsoft privacy dashboard. Microsoft says Bing searches can involve collection of search terms, IP address and location, cookie identifiers, date and time, and browser configuration. This describes Bing search activity; it does not mean every local file query is sent to Bing. Microsoft says deleting history removes it from the account, while searches made when not signed in do not appear on the dashboard. Its page notes that some copies may remain in backup systems for a limited time, so consult the live history page for current details.
Review personalization settings separately
App-launch tracking and personalized offers are not indexing controls or search-history controls. Find them under Settings > Privacy & security > Recommendations & offers. Microsoft says app-launch tracking can personalize Start and search results; personalized offers may use Windows diagnostic data and activity, as well as account and other Microsoft product data, for tips, ads and recommendations. Details are in Microsoft’s Windows 11 recommendations and offers guidance.

What changes on Copilot+ PCs?
Copilot+ PCs add semantic indexing alongside traditional indexing. It can match related concepts rather than only exact terms—for example, a search for “pasta” may surface lasagna or relevant images. Microsoft lists supported formats including .txt, .pdf, .docx, .doc, .rtf, .pptx, .ppt, .xls, .xlsx and common image formats such as .jpg/.jpeg, .png, .gif, .bmp and .ico. Microsoft says semantic indexing is enabled by default on Copilot+ PCs and that its data stays on the PC. You can limit locations and file types at Settings > Privacy & security > Searching Windows > Advanced indexing options.
Microsoft recommends keeping a Copilot+ PC plugged in while initial indexing completes. Improved semantic search is optimized for English (US, Canada, Australia and UK), French (France and Canada), German, Spanish (Spain and Mexico), Japanese, and Simplified Chinese. Traditional lexical search remains available beyond those language combinations. See Microsoft’s indexing guide and privacy guide for current details.
Which indexing settings should you choose?
| Setting | Coverage | Trade-off |
|---|---|---|
| Classic | Documents, Pictures, Music and desktop by default; locations can be customized. | Less comprehensive than indexing the entire PC; useful when files are mainly in the default locations. |
| Enhanced | The entire PC, including user folders and files. | Broader results, but potentially greater CPU and battery use. |
| Properties only | File names and other indexed properties. | Does not make text inside files searchable; can reduce index size. |
| Properties and content | Properties plus text in supported file types. | Allows searches inside documents but can increase index size. |
Cloud account search and Bing web results are controlled separately from these local indexing choices. For Microsoft’s explanations of coverage and resource impact, see Search indexing in Windows and Windows Search and Privacy.
