What you can customize
Live Captions is a built-in Windows 11 accessibility feature that transcribes spoken audio on your device. Its controls fall into two separate areas:
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
- Position: Controls where the caption window sits and whether it reserves space in your desktop layout.
- Caption style: Controls the visual design. You can select a preset or edit a custom style using the preview in Windows accessibility settings.
Changing one does not change the other. You can keep a preferred style while moving the window for a particular app, meeting, or video.

Position choices at a glance
| Position | How it behaves | When it is useful |
|---|---|---|
| Top dock | Places captions along the top of the display and reserves desktop space so other windows are not covered. | Useful when subtitles at the bottom would cover video controls or lower-screen content. |
| Bottom dock | Places captions along the bottom and reserves desktop space for the caption area. | A familiar subtitle location for most videos and presentations. |
| Floating overlay | Creates a movable window over the desktop. It can be dragged away from important content but may cover an app until you reposition it. | Useful when you need captions near a speaker, document, or specific part of an app. |
The names and order of these choices can vary slightly between Windows builds, but Microsoft documents the same three behaviors: docked captions above or below the screen, or a floating window that you can move. See Microsoft’s Live Captions instructions for the current interface.
Check requirements before changing settings
Windows edition and version
Microsoft says Live Captions is available in Windows 11 version 22H2 and later. To check your version, open Settings > System > About and look under Windows specifications. If your PC is on an earlier release, install available Windows updates before looking for the feature.
How to open Live Captions
Use whichever method is fastest for you:
- Press Windows key + Ctrl + L.
- Open Quick Settings from the network, volume, or battery area on the taskbar and select Live captions. If the tile is missing, use the edit control in Quick Settings to add it.
- Open Start > All apps > Accessibility > Live captions.
- Go to Settings > Accessibility > Captions and start Live Captions from that page.
First launch and language files
The first time you use Live Captions, Windows asks for permission to process voice data on the device and prompts you to download language files. Complete that download before testing captions. The language package is needed for local speech recognition, so a first run may take longer than later launches.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errorsTranslation is a separate feature
Live transcription and translation are not the same capability. Microsoft identifies translated captions for Copilot+ PCs running Windows 11 version 24H2 and later. If your computer does not meet both conditions, you can still use Live Captions for supported speech-to-text scenarios, but the translation controls may not appear.
Change the Live Captions window position
- Start Live Captions. Press Windows key + Ctrl + L, or use one of the launch paths above.
- Open the window menu. In the Live Captions window, select its Settings button.
- Choose Position. Select Position from the Settings menu.
- Select a layout. Choose the top dock, bottom dock, or floating/overlay option shown on your Windows build.
- Test it with your content. Play speech or join a call and check whether the caption area blocks controls, faces, slides, or text. Switch layouts from the same menu whenever the content changes.
A docked position changes the desktop layout by reserving space for captions. Other application windows are moved or resized instead of being covered. The floating option behaves like an overlay: it is more flexible, but you must drag it when it obscures something.

Resize the caption area
If the text is correct but too few lines are visible, increase the size of the Live Captions window. Microsoft supports resizing with a mouse, touch, or keyboard input. Enlarge it until the number of visible lines suits your reading speed, then move or dock it again if the larger area affects your workspace.
Choosing a position for common situations
- Video with controls at the bottom: Use the top dock so captions do not cover the timeline, buttons, or lower-third graphics.
- Document or slide presentation: Try the bottom dock if the speaker’s content is concentrated near the top, or use a floating window beside the document.
- Small laptop display: A docked window keeps captions from covering content but reduces usable vertical space. A smaller floating window can preserve more room if you are willing to move it.
- Multiple monitors: Place the floating window on the monitor where you are reading, or dock captions on the display used for the audio source. Windows does not turn Live Captions into a separate caption stream for each monitor; the window itself is what you position.
Change the caption style
There are two equivalent ways to reach the style editor. You can start from the Live Captions window or open the Captions page directly.
From the Live Captions window
- Start Live Captions.
- Select the window’s Settings button.
- Open Preferences.
- Select Caption style.
- On the Accessibility settings page, choose a built-in style, or select Edit to create or modify a custom style.
- Use the preview to check readability while you adjust the available controls, then leave the page when the result is suitable.
This route is documented in Microsoft’s Live Captions support article.
From Windows Settings
- Open Settings.
- Select Accessibility.
- Select Captions.
- Under Caption style, select a predefined style to preview it.
- Select Edit when you want a custom style, make your changes, and review the preview before closing Settings.
The standalone path and its preview are described in Microsoft’s caption-settings documentation.
Built-in styles versus a custom style
A built-in style is the quickest choice when you want a readable design without managing individual settings. The default built-in style adapts caption colors to your device’s light or dark mode, according to Microsoft. If that contrast is not comfortable, use Edit to make a custom style and judge each change in the live preview.

When editing, change one visual property at a time and watch the preview. A style that looks clear on a bright desktop may need different contrast in dark mode, and a style that works on a large monitor may be harder to read on a laptop. Keep the caption text and its background visually distinct, and avoid choosing colors that blend into the video or app behind the window.

Build a readable setup
Start with the environment, not a favorite color
Caption readability depends on the background behind the window, ambient light, viewing distance, and the amount of text visible at once. First choose the top or bottom dock when you want a stable, unobstructed area. Use floating mode when you need to place captions beside a particular piece of content. Then select a style and adjust it while looking at the preview in the same light conditions in which you normally work.
Use the preview before accepting a style
The Captions page previews each predefined style and displays the result of a custom edit. Use that preview to compare styles rather than relying on the style name. If you change Windows between light and dark mode, revisit the preview: the default style is designed to adapt, while a custom style may need your own adjustments.
Give yourself enough lines
Short caption windows can make you lose the beginning of a sentence while the next line is being generated. Resize the window to show more lines if you frequently read from a distance or pause video often. This changes the window’s dimensions, not the transcription language or audio source.
Microphone captions and privacy
Include microphone audio only when needed
Live Captions can optionally caption audio picked up by your microphone. In the Live Captions window, open Settings > Preferences and turn on Include microphone audio. Microsoft says this option is off by default, so microphone speech is not automatically added just because Live Captions is running.

Allow microphone access in Windows
If you enable microphone audio but see no words from the microphone, check Windows privacy permissions:
- Open Settings.
- Go to Privacy & security > Microphone.
- Turn on Let apps access your microphone.
- Turn on Let desktop apps access your microphone.
- Restart Live Captions and test again.
These permissions affect access to the microphone; they do not turn microphone captioning on by themselves. The separate Include microphone audio preference must also be enabled.
What happens to the audio and captions
Microsoft states that “Audio, voice data, and captions never leave your device and are not shared to the cloud or with Microsoft.” Microsoft also says generated captions are not stored on the device or in the cloud. This on-device behavior applies to the Live Captions processing described in its support guidance; it does not change the privacy policies of another app or service whose audio you are hearing.

Live Captions is missing
- Confirm that the PC is running Windows 11 version 22H2 or later.
- Install pending Windows updates and restart.
- Try the keyboard shortcut Windows key + Ctrl + L instead of relying on a Quick Settings tile.
- Open Settings > Accessibility > Captions. If the Captions page itself is unavailable, the Windows version or organization policy may not support the feature.
The first launch does not produce text
Allow the on-device voice-processing permission and finish downloading the requested language files. Without the language package, Windows may open the window but have nothing available for speech recognition. After the download, close and reopen Live Captions, then test with clear speech.
Captions cover the app you are using
Open Settings > Position in the Live Captions window and switch to the top or bottom dock. Docked captions reserve screen space rather than sitting on top of application content. If you prefer floating mode, drag the window to an empty area and resize it so it does not cover controls.

The style did not change
Make sure you selected Caption style under Settings > Preferences, rather than a different Preferences item. You can verify the saved choice by opening Settings > Accessibility > Captions directly and checking the selected style and preview. If the window was already open while you edited the style, close and reopen Live Captions to refresh its display.
Microphone speech is absent
Check both layers of control: Include microphone audio must be enabled in Live Captions, and Windows must allow desktop apps to access the microphone under Settings > Privacy & security > Microphone. Also confirm that the intended microphone is selected and working in Windows sound settings. If you do not need microphone transcription, leave the Live Captions preference off.
Translation is unavailable
Translation has stricter requirements than ordinary Live Captions. Microsoft identifies the feature for Copilot+ PCs running Windows 11 version 24H2 and later. On other hardware or earlier Windows versions, use the available speech-to-text captions instead of expecting a translation option.

What to expect after customization
Your selected style remains the visual format for Live Captions, while Position controls where the window appears. You can therefore keep a high-contrast custom style and switch between a docked layout for focused work and a floating overlay for a particular video or call. If a new Windows update changes a label or moves a control, the authoritative locations remain the Live Captions window’s Settings menu and the system page at Settings > Accessibility > Captions.
