An applicant tracking system (ATS) can collect applications, extract resume details into structured fields, and help recruiters search candidate records. Parsing errors or hard-to-read formatting can make information less accessible—but that does not mean every ATS automatically rejects a resume before a person sees it. A quick, practical fix is to use a clear reading order, describe relevant engineering experience accurately, and check the fields populated by the application system.
What an ATS does—and what it does not prove
Recruiters may use ATS software to manage applications and search structured candidate profiles. Workday describes resume parsing as a way to populate prospect or application fields, while its ATS overview discusses recruiter searches. Roche says recruiters or managers may search parsed data and review applicants and their attached CVs. These workflows vary by employer and system; they do not establish that an ATS universally hides or rejects applications before human review.

The practical concern is narrower: a parser may transfer information incorrectly or incompletely. Workday notes that results can vary with resume format and word order. Greenhouse documents formatting and file issues that can cause unsuccessful or partial parsing. That is why it is worth checking whether the information in an application form matches the resume you uploaded.

- Minutes 0–5: simplify the layout. Use a straightforward, single-column reading order. Put your name and contact details in the document body, not in a header, footer, or text box. Remove photos, logos, graphics, tables, and decorative elements if they contain information the system needs to read. Use familiar headings such as “Experience,” “Education,” and “Skills.”
- Minutes 5–12: tailor the engineering content truthfully. Compare the posting’s duties and requirements with the languages, frameworks, platforms, tools, and methods you have actually used. Include relevant terms from the posting only when they accurately describe your experience. Add context so a recruiter can tell how you applied a skill; do not stuff in keywords or claim skills you do not have.
- Minutes 12–17: make evidence easy to scan. Place the most relevant experience and accomplishments where a reader can find them quickly. Use concise bullets that state what you did and the outcome, with real details rather than invented metrics. Clear, contextualized evidence helps a human assess your experience; the cited guidance does not prescribe a bullet formula or promise a ranking boost.
- Minutes 17–20: check the application fields. Follow the employer’s file instructions. If the application fills fields from your uploaded resume, inspect them and correct any missing or misread information before submitting. Some systems may require manual entry when parsing fails.
Which resume formats and file types are safest?
There is no supported universal winner between PDF and DOCX. Roche’s candidate FAQ recommends DOCX for parsing accuracy while noting that PDFs preserve layout. Greenhouse lists DOCX and PDF as document examples and distinguishes documents from resumes uploaded as images. Follow the specific employer portal’s instructions; whichever format you use, an image-based or scanned resume may be harder for a parser to read than text.
Greenhouse Support states that its system cannot parse resumes larger than 2.5 MB. That is a Greenhouse-specific limit, not a threshold for every ATS. If your resume contains high-resolution images, remove any that are unnecessary and check the application portal for its own file-size limit.

Why formatting can interfere with parsing
Documented trouble spots include columns, tables, graphics, photos, word art, image uploads, unclear section labels, and contact details placed in headers, footers, or text boxes. These elements can make the reading order ambiguous or keep information from being transferred into the right application fields. A plain, text-forward layout trades some visual flair for a more predictable reading order across the parser examples cited by Workday, Greenhouse, and Roche.
Even a clean layout is not a guarantee of error-free extraction: Workday says parsing can vary with format and word order. The useful safeguard is to inspect what the system actually populated rather than assuming that a successful upload means every field is correct.

How to tailor an engineering resume without keyword stuffing
Use the employer’s terminology when it truthfully matches your background, then connect it to work a recruiter can evaluate. For example, naming a language or cloud platform is more informative when the surrounding experience explains where you used it and what you built or maintained. Roche advises placing keywords in context so recruiters can understand how you used them. Nothing in the cited guidance supports false claims, keyword stuffing, or a guaranteed ATS score.
If your resume is getting few responses, an ATS-friendly edit can reduce avoidable parsing problems, but it cannot establish why any particular employer did not respond. Hiring workflows differ, and the available evidence cannot predict the outcome of an individual application.
