First check whether the OneDrive sync app is running and signed in. A gray cloud icon with a line through it means you are signed out; if the app is signed in but cannot connect, check Microsoft’s service status and whether your network is blocking access. If OneDrive is connected but files are not updating, that may be a sync delay rather than an offline connection.
What “offline” means in OneDrive
“Offline” is a symptom, not a diagnosis. The icon and app state help narrow it down: a gray cloud with a line through it indicates that you are not signed in, while an icon that is missing may mean the sync app is not running. If the app is open and signed in, connection trouble, a service incident, or a sync backlog are other possibilities.

Windows 11 includes the OneDrive sync app. It is the component that syncs files; the separate Microsoft Store app is for viewing OneDrive and does not back up and sync files. See Microsoft’s explanation of which OneDrive app to use.

- Check the notification area at the right side of the taskbar. Select the arrow for hidden icons if the OneDrive cloud is not visible.
- If the cloud is still missing, open Start, search for OneDrive, and launch the sync app. Microsoft says the app may simply not be running. See Microsoft’s OneDrive sync troubleshooting guidance.
- If the cloud is gray with a line through it, select it and sign in. Microsoft identifies that icon as a signed-out state.
- Sign in with the account that owns the files: your personal Microsoft account for personal files, or your organization account for work or school files.
Check your account and Microsoft service status
Make sure you are using the right account type. A personal Microsoft account cannot be used for some work or school OneDrive sign-in flows; use the identity provided by your organization. If an organization-managed account remains blocked, ask its IT administrator to check access.

If your credentials work but OneDrive still cannot connect, check the Office Online Services Service Health portal. Microsoft recommends checking service health when users have trouble accessing OneDrive. The related OneDrive known-issues page is time-sensitive; an issue listed there may no longer be current.
Test whether your network is blocking OneDrive
If OneDrive is signed in but cannot reach the service, a firewall, VPN configuration, or internet provider restriction could be interfering. Microsoft suggests testing with a mobile hotspot or contacting your internet provider. If OneDrive works on the hotspot but not on your usual connection, that points toward the usual network, though it does not identify the exact block.

Do not turn off security protections indiscriminately. One specific Microsoft-documented case involves BT Web Protect: when enabled, it can block OneDrive at the network level. Microsoft’s listed workaround is to disable BT Web Protect in BT account settings. That applies to this named service, not as a general fix for firewall or VPN problems. If OneDrive connects but files are not updating
A connected app may still be processing changes. Select the OneDrive cloud icon and inspect its activity and any displayed sync error before unlinking the account or resetting the app. Microsoft lists several reasons that “Processing changes” can take a while:

- Many files were recently added, or a very large file is syncing.
- A file is open while OneDrive is trying to sync it.
- You recently signed in, changed your password, or updated the computer.
- Temporary or hidden files are interfering with sync.
Sync time depends in part on the amount of data and connection speed. A processing message alone does not mean the files are lost. If the activity list shows a specific error, use that message to guide the next step rather than treating every delay as a connection failure. Microsoft describes these causes in its sync troubleshooting article.
Unlink and relink OneDrive if basic checks fail
If the app is running, you have the correct account, service access is available, and network restrictions are unlikely, unlinking and relinking the computer can address some sync issues. Microsoft says unlinking disconnects local folders from the cloud temporarily; changes made while unlinked sync after you relink, and files sync again over time. Follow Microsoft’s unlink and relink instructions.

Reset or reinstall only if relinking does not help
Resetting OneDrive is another step Microsoft recommends for unresolved sync problems. If you consider reinstalling, know that it resets OneDrive settings and triggers a full sync, which can take time; you may also need to select your synced folders again. Microsoft says files remain available online when you sign in at OneDrive.com. Use its OneDrive troubleshooting and reinstall guidance rather than deleting local files as a workaround.
When a work or school device needs IT support
An organization can configure a policy that prevents OneDrive from starting. If the app will not launch on a managed device, or your work or school account remains inaccessible after confirming the correct identity, contact your organization’s IT administrator. Do not change managed policy or registry settings yourself. Microsoft lists administrator policy as one possible cause in its OneDrive sync troubleshooting guidance.
