Why Does an External Drive Show Less Space, and Can You Recover It?

Usually, nothing is missing. Drive makers advertise decimal capacity, while operating systems and older utilities may display the same bytes in binary units; formatting and file-system overhead then reduce the space available for files. A decimal 1 TB drive therefore appears as about 0.91 TiB, or roughly 931 GiB, before other overhead is counted.

A much larger shortfall, or a capacity that suddenly changes, can indicate an invisible or unsupported partition, unallocated space, file-system corruption, drive errors, or a falsely labeled device. The apparent unit difference is not lost data, and changing partitions or formatting is not a file-recovery method. Protect existing files before attempting any repair.

What the number on an external drive actually means

Manufacturers market storage in decimal (base-10) units. In that system, 1 GB is 1,000,000,000 bytes and 1 TB is 1,000,000,000,000 bytes. Seagate describes this as the standard way hard-drive manufacturers state capacity.

Some operating systems and older tools use binary units, even when their interface labels the values as GB or TB. Binary units are based on powers of 1,024: 1 GiB is 1,073,741,824 bytes and 1 TiB is 1,099,511,627,776 bytes. Apple Support documents both systems and distinguishes the decimal labels used by manufacturers from binary measurements used by some software.

Manufacturer label Bytes represented Approximate binary display What it means
1 GB 1,000,000,000 bytes About 0.93 GiB Unit conversion, not a defective drive
1 TB 1,000,000,000,000 bytes About 0.91 TiB, or roughly 931 GiB Same physical capacity expressed with a different unit
16 TB 16,000,000,000,000 bytes About 14.55 TiB before formatting Illustrative conversion; the displayed value varies by software

The exact figure shown can differ slightly because operating systems round values, use different labels, and report either raw or usable capacity. Do not treat the conversion as a measured failure rate or expect every 1 TB device to show exactly the same number.

Why formatted space is lower than raw capacity

A new drive does not present every advertised byte as file space. Formatting creates a file system, allocation structures, indexes, journals, and other metadata. The operating system also reserves space for the partition structure and may report capacity after those structures are in place. Apple’s published explanation summarizes this with “actual formatted capacity less.”

Allocation size affects how efficiently files use the available space. A file occupies one or more allocation units; many very small files can therefore consume more allocated space than their byte totals suggest. This effect is normally modest compared with the decimal-to-binary conversion, so formatting alone should not be used to explain an exceptionally large discrepancy.

When a shortfall is larger than normal

If the difference is substantially greater than the expected unit conversion and ordinary formatting overhead, treat it as a diagnostic question rather than assuming the drive is bad. Support guidance identifies several possible causes. These are possibilities, not a diagnosis of your particular device.

Possible cause What may appear on the computer Why it matters
Unallocated space The disk is present, but part of it has no usable volume Capacity exists physically but is not assigned to a volume
Unsupported partition or file system The host sees the device but cannot open one partition, or shows only part of the disk The space may belong to a file system the host does not understand
Partition visibility limits A second partition or the full disk is absent from the normal file browser The file browser is not a complete view of disk layout
Allocation-size effects Reported free space does not match the sum of visible file sizes File-system allocation can consume additional blocks
Corruption or drive errors Capacity changes, the volume becomes unreadable, or errors appear during copying Further use can make file access and recovery harder
Falsely labeled or under-capacity product Testing or sustained use reveals less real capacity than the label promises The device may not contain the advertised amount of storage

A capacity that was normal and then changed is more concerning than a stable number that has always reflected decimal-to-binary conversion. Likewise, a disk that appears in a system utility but not in the file browser may have a partition or file-system visibility issue rather than missing hardware.

Capacity display and file recovery are different problems

“Recover the space” can mean two different things. If you are seeing the normal decimal-versus-binary difference, there is no missing region to recover: the same bytes are being counted differently. No partition change or recovery program will turn 931 GiB into 1,000 GiB of binary space.

If a partition is hidden, unallocated, unsupported, corrupted, or affected by hardware errors, the question changes to whether the existing files remain readable. The available support material does not establish recovery odds for a specific drive, and a capacity symptom by itself cannot tell you whether files can be recovered.

A conservative decision path before changing anything

Use this sequence to separate a normal display difference from a potentially risky storage problem. It is intentionally platform-neutral because the correct labels and controls differ between operating systems.

  1. Record the baseline. Write down the capacity printed on the enclosure, the value shown by the operating system, the file system name, and whether the drive has always shown that value or changed recently. Take screenshots if the capacity or error message is intermittent.
  2. Check the disk layout, not only the file browser. Open the operating system’s built-in disk or storage utility and look for the total device size, each partition, and any area marked unallocated or unknown. Do not create, delete, initialize, or format a volume while wanted files remain on the drive.
  3. Look for file-system visibility. If a partition is present but cannot be opened, note its file-system type and the exact error. A host may not be able to read every file system; that does not prove that the data is gone.
  4. Watch for integrity symptoms. Repeated disconnects, read errors, very slow transfers, files that become unreadable, or a capacity that changes between connections raise the risk of drive failure or corruption. Stop unnecessary use rather than repeatedly retrying large copies.
  5. Decide whether data preservation comes first. If the drive contains irreplaceable files, obtain platform-specific, data-preserving recovery guidance before attempting a repair. Capacity reclamation can wait; overwriting a damaged or misidentified volume may not be reversible.

Why formatting is not a recovery technique

Support instructions sometimes list formatting or reclaiming capacity as a resolution for a drive that reports less space. That advice addresses reuse of the device; it is not evidence that formatting preserves existing files. Formatting can create a new file system and overwrite structures needed to locate old data.

Do not format, initialize, repartition, or run an unfamiliar repair utility merely because the displayed number is lower than the label. If files are still visible, copy them to a different, healthy device first. If the volume is inaccessible, avoid writing new data to it and seek recovery instructions specific to the operating system and file system. No source here establishes a universally safe sequence for corrupted or inaccessible drives.

What can and cannot be recovered in each scenario

Normal decimal/binary difference

There is no recoverable capacity. The drive already contains the bytes represented by its decimal label; the operating system is expressing them in a larger binary unit.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Unallocated or unsupported space

The space may be made usable by creating or repairing a volume, but doing so can overwrite partition information or existing files. Whether data can be recovered depends on the prior layout and the condition of the metadata. Do not assume that reclaiming the space is safe while data remains.

Corruption or hardware errors

Some files may remain recoverable, but the cited guidance does not provide a probability, a recovery method, or a guarantee. Continued writes, repeated repair attempts, and reformatting can reduce the chance of preserving what is still readable.

Falsely labeled product

No software change can create physical storage that the device does not contain. A replacement external drive may solve the capacity problem, but it will not recover files from the original device. Preserve the original drive until its data has been copied or professionally assessed.

How to judge whether the difference is reasonable

  • Convert the label using the byte definitions: divide decimal bytes by 1,073,741,824 for GiB or by 1,099,511,627,776 for TiB.
  • Allow for the file system and partition metadata that appear after formatting.
  • Compare the operating system’s total device size with the sum of its visible partitions; a missing remainder suggests unallocated or hidden space.
  • Check whether the host recognizes the file system used by every partition.
  • Investigate further if the gap is far beyond the expected conversion and formatting effects, or if the number changes over time.

These checks can indicate which category you are dealing with, but they do not authenticate a drive or establish that damaged files are recoverable. The support material available for this topic does not specify a universal true-capacity test or a data-safe repair workflow.

When replacing the drive makes sense

Consider a replacement external drive only after separating hardware reliability from the files stored on the old one. A device that repeatedly disconnects, reports read errors, or proves to be under-capacity should not be trusted as the sole copy of important data. Copy recoverable files to a known-good device, keep the original unchanged for possible recovery, and then decide whether the old drive should be returned or retired.

If the only issue is that a decimal label is displayed as a smaller binary number, replacement will not produce a larger usable figure in that operating system. The difference is expected behavior, not a manufacturing fault.

Key takeaways

  • A decimal 1 TB label commonly appears as about 0.91 TiB or roughly 931 GiB because the units use different byte definitions.
  • Formatting and allocation metadata reduce file space further, but they should not automatically explain a very large gap.
  • Unallocated space, unsupported partitions, corruption, drive errors, and fraudulent labeling are additional possibilities when the discrepancy is unusual or new.
  • Unit conversion does not represent lost files. Formatting or reclaiming a volume is not established as a safe first step when wanted data remains.
  • Preserve data before making partition or file-system changes, and obtain authoritative, platform-specific recovery guidance for an inaccessible or damaged drive.
