If a message deleted in New Outlook keeps appearing or downloading on an iPhone, first check the mailbox in your email provider’s webmail. That server-side view tells you whether the deletion failed to reach the mailbox or whether one of the phone apps is showing an out-of-date or different folder.
The correct fix depends on four facts the symptom does not reveal: whether the iPhone uses Apple Mail or Outlook for iOS, which address and mailbox are signed in, whether the account is Exchange, IMAP, or POP, and whether the message is still present in webmail. Do not remove the account or change protocol settings until those facts are checked.

Start with the mailbox, not the phone display
New Outlook and an iPhone mail app are clients connected to a provider’s mailbox. A delete made in one client normally changes that shared mailbox, and the other client should learn about the change during synchronization. Microsoft describes this for Exchange accounts as follows: “When you use a Microsoft Exchange account in Outlook, your e-mail messages, contacts, calendar events, and any other Microsoft Exchange folders are synchronized automatically.” Exchange is only one possible account type, however; IMAP and POP have different behavior.
Open the provider’s webmail in a browser and sign in with the exact address used in New Outlook and on the iPhone. Find the message by subject, sender, or date, then inspect the Inbox, Deleted or Trash folder, Archive, and any other folder where a rule could have moved it. This comparison is the most useful first test:

- This phone is unlocked and compatible with any carrier of choice on GSM and CDMA networks (e.g. AT&T, T-Mobile, Sprint, Verizon, US Cellular, Cricket, Metro, Tracfone, Mint Mobile, etc.).
- Please check with your carrier to verify compatibility.
- The device does not come with headphones or a SIM card. It does include a generic (Mfi certified) charging cable.
- Tested for battery health and guaranteed to have a minimum battery capacity of 80%.
| What webmail shows | What it usually means | Next action |
|---|---|---|
| The message is still in the Inbox | The delete may not have reached the server, or New Outlook may be connected to a different mailbox or folder. | Confirm the account address and folder in New Outlook, then delete one test message and refresh webmail. |
| The message is in Deleted/Trash | The deletion reached the mailbox; the iPhone may be displaying that folder or has not refreshed. | Refresh the affected iPhone app and inspect its Deleted/Trash mailbox. |
| The message is in Archive or another folder | The action may have been Archive rather than Delete, or a server rule may have moved it. | Check the command used in New Outlook and review provider-side rules. |
| The message is absent from webmail but visible on the iPhone | The phone app may be showing cached data, a second account, or a different folder. | Verify the account identity, force a refresh, and only then consider resetting the account connection. |
Webmail is a diagnostic reference, not proof that a particular app is defective. If the provider’s server view and both clients disagree, record the exact folder and time shown on each screen before changing settings.
Identify which iPhone app is displaying the messages
Apple Mail
Apple Mail can show several accounts together, so a message that appears to be from the Outlook account may actually belong to a Gmail, ISP, or other account. In Mail, open the Mailboxes view and select the individual account rather than the combined Inbox. Check that account’s Inbox, Deleted Messages or Trash, Archive, and Sent folders. Pull down on the message list to refresh it, then revisit the folder after a minute.
When you delete a message in Apple Mail, the provider determines how the deleted copy is handled. Apple documents that a mail service can override the retention choice configured on the device. Consequently, an iPhone setting does not guarantee permanent removal from the server, nor does it guarantee that every provider calls the destination folder “Trash.”

Outlook for iOS
Outlook for iOS is a separate client from Apple Mail. Open the account’s own folder list, not an “All Accounts” view, and check Inbox, Deleted, Archive, and any focused or filtered view that could hide the message. Confirm that the address shown in the account settings exactly matches the address used in New Outlook. A similar display in both apps does not prove they are connected to the same mailbox.
If Outlook for iOS continues to show a message that webmail no longer contains, use the app’s account settings to refresh or reset that account connection. The wording and location of a reset command can vary by app version. Do not delete the account until you have verified the password and confirmed that important mail is present in webmail.
Account type changes the synchronization rules
Microsoft’s guidance distinguishes Exchange, IMAP, and POP accounts. The account type is therefore a key diagnostic fact, not a technical detail you can safely ignore.

| Account setup | What synchronizes | Why deletion can look different |
|---|---|---|
| Exchange | Email, contacts, calendar events, and other Exchange folders synchronize automatically in Outlook. | A stale client view, wrong mailbox, or folder-specific display can make a completed server change look unfinished. |
| IMAP | Email folders synchronize with the server; Microsoft’s guidance discusses IMAP IDLE and folder schedules. | Refresh timing and folder subscriptions can affect when a client notices a move between Inbox, Deleted, and other folders. |
| POP | Email is downloaded according to the account’s server and client options. | POP options can leave copies on the server or delete them under configured conditions, so one device may not mirror another device’s folders. |
Do not assume that an Outlook account is Exchange. A Gmail or ISP address can be configured through IMAP or POP, and the same address can be added differently in New Outlook and on an iPhone. Microsoft also notes that its phone and tablet troubleshooting steps cover common account setups and that provider support is appropriate for accounts outside those service-specific instructions.

- Write down the exact account. Copy the full email address shown in New Outlook and in the iPhone app. If the addresses differ by an alias, personal domain, or ISP domain, treat them as separate mailboxes until proven otherwise.
- Check webmail before changing anything. Search for the message and inspect Inbox, Deleted or Trash, Archive, and other relevant folders. Note whether the server copy is present and where.
- Confirm the iPhone client. Decide whether the message is appearing in Apple Mail, Outlook for iOS, or both. If both are installed, check each app separately; they maintain separate local account connections.
- Refresh the same folder. In the affected app, open the account-specific folder and perform its refresh gesture or refresh command. Wait for the app to finish syncing, then compare the message with webmail again.
- Check for a folder misunderstanding. A message in Deleted/Trash is not in the Inbox, and an archived message is not deleted. Search results can also display a message without making its current folder obvious. Open the message details or folder location where the app provides that information.
- Check the account type. In New Outlook, inspect the account information or setup details; on the iPhone, inspect the account settings. Record whether each connection is Exchange, IMAP, or POP. If the setups are different, their folder and server-copy behavior may differ.
- Test with one unimportant message. Delete a low-value message in New Outlook, refresh webmail, then refresh the iPhone app. This controlled test shows whether the server changes and whether the phone learns the change without risking important mail.
- Reset only after the server state is safe. If webmail is correct but the phone remains wrong, use the affected app’s account reset option. If that fails, remove and re-add the account using verified credentials. Microsoft discusses reset and re-add steps for synchronization problems, but neither Microsoft nor Apple promises that they resolve this exact symptom.
How to read the result of the test
| Webmail | Apple Mail | Outlook for iOS | Most useful focus |
|---|---|---|---|
| Inbox | Inbox | Inbox | Verify that every client is connected to the intended address and that the delete action was actually used. |
| Deleted/Trash | Inbox or download notification | Inbox or download notification | Refresh the affected client and inspect account-specific folders; the server has already recorded the deletion. |
| Absent | Present | Not checked | Investigate Apple Mail’s cached account state or a second account before touching New Outlook. |
| Absent | Absent | Present | Investigate Outlook for iOS’s account connection, filters, and local cache. |
| Different folder in each view | Any | Compare folder names and account type; archive, Deleted/Trash, and Inbox are distinct states. | |
Why a message can appear to “download” after deletion
The phrase “still downloading” can describe several different displays. The app may be synchronizing a copy that was already queued, refreshing a folder that still contains the message, or showing a server-side Deleted/Trash copy. A notification about new mail does not by itself prove that the message returned to the Inbox. Open the message and identify its folder before concluding that the delete was reversed.
A provider may also apply retention rules after deletion. Apple specifically cautions that the mail service can override the deleted-message setting selected on an iPhone. The service may retain the item in Trash for a period, move it to a provider-specific folder, or apply a rule that changes its location. Those are server policies; changing an iPhone display setting cannot necessarily override them.

Resetting or re-adding the account without losing mail
Resetting a connection removes local account state, not the mailbox stored by the provider, but you should still prepare first. Confirm that you can sign in to webmail, verify that important messages are visible there, and make a note of any account-specific folders. If the provider uses an app password or multifactor sign-in, have that method available.
- Use the app’s account settings to reset synchronization if that option is offered.
- Allow the reset to finish, then refresh only the affected account and compare it with webmail.
- If you must remove and add the account, remove the account from the one app showing the error rather than deleting the mailbox at the provider.
- After re-adding it, check Inbox, Deleted/Trash, Archive, and Sent before deciding whether the problem is resolved.
Do not change an IMAP account to POP, or vice versa, as a blind fix. Microsoft documents different server-copy and synchronization behavior for those protocols, and switching can create a new problem without correcting the original one.
When to contact Microsoft, Apple, or the mail provider
Contact a Microsoft 365 administrator
For a work or school Exchange account, involve the organization’s Microsoft 365 administrator when webmail shows one state but clients repeatedly show another, or when multiple users see the same folder problem. The administrator can verify the mailbox, retention policies, server rules, and account configuration that an individual phone user cannot inspect.

Contact the non-Microsoft provider
For Gmail, an ISP mailbox, or another provider, contact that provider when its webmail does not match the documented account behavior, when deleted-message retention is unexpected, or when server-side folders are missing. Microsoft’s general troubleshooting guidance directs users to the provider for accounts outside the service-specific steps it covers.
Contact Apple
Apple support is appropriate when the provider’s webmail is correct, the same account works in another client, and Apple Mail alone continues to show stale messages after a refresh and account re-add. Provide the account type, iOS version, affected folder, and the exact comparison between webmail and the phone.
A short checklist for future incidents
- Identify Apple Mail versus Outlook for iOS.
- Confirm the full email address in every client.
- Check provider webmail before deleting an account.
- Record whether the message is in Inbox, Deleted/Trash, Archive, or absent.
- Determine whether the setup is Exchange, IMAP, or POP.
- Refresh the specific account and folder, not only a combined Inbox.
- Use a harmless test message before changing settings.
- Escalate with the recorded server and client states instead of reporting only that the message is “downloading.”
A single forum report describes messages deleted in New Outlook continuing to download to an iPhone hours later, but that anecdote does not establish a universal New Outlook failure or a guaranteed fix. The reliable path is to compare the provider mailbox with each client, identify the account type, and then reset only the connection that is demonstrably out of sync.
