Windows Search can miss a file because it is searching the wrong place, the file’s folder is not indexed, or indexing has not finished. If Windows finds the filename but not words inside the document, check content indexing separately. Start with the checks below before running a troubleshooter or rebuilding the index; a missing result by itself does not mean the file was deleted.
1. Search the right location and confirm the file is there
In File Explorer, open the folder or drive where you expect the file and search there. To search more widely, select This PC and enter a distinctive part of the filename. Microsoft notes that searching This PC is slower and more thorough than searching Home. You can also try a file extension, such as *.doc or *.mp3. See Microsoft’s Windows file-search guidance.

- Browse to the expected folder rather than relying only on search results.
- If the file is not visible, check whether hidden items are being shown in File Explorer.
- If you find it, use Open file location to confirm its actual path. It may have been moved or saved somewhere unexpected.
A search that returns nothing cannot establish whether a file still exists. If it is stored in OneDrive, use Microsoft’s missing-file guidance for cloud-backed files, which may require checking OneDrive rather than relying on a local search.

2. Check whether Windows indexes the file’s location
Windows Search uses an index to find files quickly. A folder outside the indexed locations may not appear in results, even when the file is present.

Windows 11: check Classic or Enhanced mode
Go to Settings > Privacy & security > Searching Windows. Under Find my files, check the selected mode:
| Mode | Default coverage | When it fits |
|---|---|---|
| Classic | Documents, Pictures, Music, and Desktop | Your files are mainly in those folders; add other locations as needed. |
| Enhanced | The entire PC, including user folders and files | Your files are spread across different locations; broader indexing may use more system resources. |
With Classic, add the folder containing the file: select Customize search locations > Modify, then include the relevant location. Enhanced covers more locations automatically; advanced indexing settings let you exclude locations or file types. Microsoft describes the modes and controls in Search indexing in Windows.

3. If filenames work but searches inside files do not, check content indexing
Windows can index a file’s properties, such as its name, or its properties and contents. If a filename search succeeds but a phrase inside the file does not, the file type may be set to properties-only indexing.
In Windows 11 Classic mode, open Settings > Privacy & security > Searching Windows > Customize search locations > Advanced > File Types. Find the file extension and check whether it is set to index properties only or properties and contents. Choose the latter if you want Windows Search to find text within supported files. Microsoft’s indexing instructions cover this distinction.

4. Give indexing time to catch up
Check indexing status on the Searching Windows settings page. Microsoft says a first-time indexing pass can take up to a couple of hours; later changes are handled in the background. Allow the initial pass to finish before concluding that results are stuck. For a Copilot+ PC, Microsoft recommends plugging it in during initial indexing. Copilot+ PCs also have semantic indexing for supported document and image formats, but it is not required for ordinary filename search. See Microsoft’s indexing overview.
5. Run the Search and Indexing troubleshooter
If the file is in scope, the relevant indexing settings are correct, and indexing has had time to complete, run the built-in troubleshooter before rebuilding the index.

7. If the problem started after an upgrade, check for moved files
Look in the folder where the file was originally stored and search This PC for its name. Check hidden items and other likely folders, and use Open file location if a result appears. For OneDrive-backed files, follow Microsoft’s OneDrive-specific missing-file steps rather than treating a failed local search as proof of deletion. Microsoft’s file-finding guidance covers these checks.
Windows 10 support ended on October 14, 2025. Its search settings and troubleshooting paths above may still be useful, but Windows 10 no longer receives standard support from Microsoft. The end-of-support date is noted in Microsoft’s Windows guidance.
