An ATS can say a keyword is missing even when you can see it on your resume because the system may not extract the text, put it in the expected field, or use the same matching method you expect. Resume parsing and keyword matching are separate steps, and the exact workflow depends on the employer’s platform and settings. A missing-keyword notice by itself does not prove you lack the skill or were automatically rejected.
How resume parsing and keyword matching differ
Parsing is the extraction step: software reads an uploaded resume and may use its contents to populate structured application fields. Workday describes resume parsing this way and notes that results can vary with document format and word order. Greenhouse says a parse may fail, leaving the resume attached without filling candidate fields, or may be incomplete and need correction. Greenhouse’s resume-parse guidance and Workday’s resume-parsing documentation describe these platform-specific behaviors.

Matching happens later, if the employer’s workflow uses search, filters, or a matching feature. For example, Greenhouse’s optional Talent Matching feature compares applications with configured job requirements and can surface matched skills and terms; it depends on calibration and resume parsing. It is not a description of every ATS. Greenhouse’s Talent Matching documentation explains that feature’s prerequisites.
So the word may be visible to you but absent from the text the system extracted, stored in a different field than expected, or not recognized by a particular configured matching signal. The employer’s specific platform and configuration determine which of these possibilities applies.

Why a visible keyword may not register
The document’s text may not be extractable
A resume that looks readable on screen can contain text as an image rather than selectable text. Greenhouse identifies image uploads and text in graphics as potential parsing problems. Other format issues it flags include spaced-out lettering, tables, headers, footers, text boxes, columns, inconsistent section structures, and incomplete job titles. These are documented potential issues, not proof that every system will mishandle every such document.
The parser may extract text but map it incorrectly
Parsing is also about placing information into fields, not simply finding words. A job title, skill, or qualification may be present in the file yet not appear as expected in a populated field. Workday notes that format and word order can affect results, while Greenhouse advises that partial parses may need manual correction.

The matching signal may be narrower than expected
A configured search or matching feature may look for terms or skills in particular ways. Greenhouse Talent Matching, for instance, is an optional, calibrated feature that compares applications with job requirements and highlights matched skills and terms. That behavior should not be generalized to other vendors or employer setups.

The wording or spelling may differ
Roche’s candidate-facing resume-parsing FAQ recommends using keywords in context and checking spelling. That is practical advice, but it does not establish that every ATS requires an exact-string match. A phrase can also be relevant to a person while failing to align with a particular employer’s configured terminology.

How to check what the application read
- Check whether the words are real text. Open the submitted file and try to select or search for a key term. If it is part of a scanned page or image, the system may not be able to extract it as text.
- Keep essential information in the document body. Put contact details, skills, qualifications, and job titles in the main body rather than relying on headers, footers, text boxes, graphics, or complex columns.
- Use a straightforward, consistent structure. Label sections clearly, write complete job titles, spell terms correctly, and use relevant wording in truthful context. Do not add keywords for skills or experience you do not have.
- Review populated application fields. If the employer’s form shows information imported from your resume, check it for omissions and errors and correct it where the form allows. Workday describes recruiters reviewing parsed data; Greenhouse notes that partial parsing can require manual correction.
- Keep a clean application copy. Use a readable version with uncomplicated text and layout. Neither a particular file type nor a file extension alone guarantees identical parsing in every employer’s system: Workday documents variation by format and word order, and configurations differ.
What a missing-keyword message does—and does not—tell you
It can indicate that a term was not surfaced by the system’s extraction or matching process. It does not, on its own, establish why the term was missed, whether the employer’s ATS rejected the application, or whether you lack the qualification. The official materials cited here do not establish a universal ATS scoring formula, keyword-density rule, or automatic rejection threshold. If you can review application fields, use them to identify a parsing issue; otherwise, the employer is the only source that can clarify its specific workflow.
