When an AI appears to remember an old conversation, document, or preference, three different mechanisms may be responsible: the service retained data, a retrieval feature looked up a separately stored object, or eligible content was used to improve a model. Those pathways have different controls and risks. Turning off model training does not automatically delete stored chats or files, and retrieving a file later does not prove that the file became part of model training.
What people mean when they say an AI “remembered”
The word remember hides an important technical distinction. A service can keep information so it can operate a feature, search an attached knowledge base when answering a new question, or use eligible content in a later model-improvement process. The visible result may look similar—a response that reflects something you supplied weeks ago—but the data path is different in each case.

OpenAI’s documentation treats these as separate areas. Its API data-controls guide distinguishes abuse-monitoring logs from application state, while its consumer and business materials describe different model-improvement defaults and controls. Read the policy for the exact product, account type, endpoint, and feature rather than assuming one rule applies to every AI service.

Retention: the service keeps data after your request
Abuse-monitoring logs are not the same as application state
For the OpenAI API, the data-controls documentation says abuse-monitoring logs may contain prompts and responses and are retained for up to 30 days by default. The same documentation says a longer period may apply when required by law or reasonably necessary to protect the service or another party. “Up to 30 days” is therefore a provider policy period for this category of logs, not an industry-wide statistic or a guarantee that every object disappears after 30 days.

The guide separately describes application state created by particular API features. In specified Responses API cases, stored response data can follow a 30-day period. Other objects have different behavior: Assistants API-related files, threads, and other objects that are not deleted through the API or dashboard may be retained indefinitely. These examples show why asking only “How long does the service keep my chats?” can produce an incomplete answer. The endpoint and object type matter.
Deletion is a separate control
A retention period tells you what the provider says it keeps and for how long; a deletion control is an action that removes a particular record or resource. Deleting a chat may not delete a file uploaded to a knowledge base, a thread, a vector-store entry, or an organization-level record. Conversely, an endpoint with a short default log period may still create application objects that persist until you remove them. Make an inventory of the objects your workflow creates instead of treating “the conversation” as one indivisible record.
Zero Data Retention has boundaries
Approved API customers may be eligible for Modified Abuse Monitoring or Zero Data Retention (ZDR), according to the same OpenAI guide. ZDR changes how customer content is handled for abuse-monitoring logs as described in the documentation and changes the handling of the store parameter for certain endpoints. Approval, eligibility requirements, and feature limitations apply.

Retrieval: an AI can consult an old file without training on it
How retrieval works conceptually
Retrieval-augmented features keep source material outside the model and look up relevant portions when a new request arrives. A typical flow is:
- You upload a file or create another knowledge resource.
- The application stores the resource and may index it for search, often by dividing text into passages and creating searchable representations.
- A later question triggers a search over that resource.
- Selected passages are supplied to the model as context for that response.
- The stored resource remains available for future searches until the product’s retention or deletion rules remove it.
OpenAI’s API documentation describes files, threads, and vector stores as application objects with their own persistence and deletion behavior. A response that quotes an old uploaded document can therefore result from a lookup against one of those objects. The event demonstrates access to a stored source; it does not, by itself, demonstrate that the source was used to train the underlying model.
Why retrieval can still expose sensitive information
Retrieval creates a different security question from training. If a file remains in a vector store, a user or automated process with access to that store may be able to retrieve it later. Permissions, workspace membership, tool configuration, and the query itself determine who can receive the resulting passages. Removing model-improvement permission does not automatically remove the indexed source.
Retrieval can also surface information that a user has forgotten was uploaded. Old customer records, internal notes, credentials embedded in a document, or personal details may become relevant to a new question even when the current prompt does not contain them. Treat every persistent file, thread, and vector-store resource as a live data asset with an owner, access policy, and deletion date.

Training and model improvement answer a different question
Business products and the API
OpenAI says data from its named business products and API platform is not used to train or improve models by default. API customers can explicitly opt in to share data for that purpose. The current business policy and security overview explain that organizations can also configure retention and other controls, but the exact options depend on the product and contract. See OpenAI’s business data privacy, security, and compliance page and the security and privacy overview for the applicable service descriptions.
“Not used for training by default” does not mean “never stored.” An API request can still be subject to abuse-monitoring rules or create application state for a feature. Likewise, an organization may retain a file or thread for operational reasons while prohibiting model-improvement use.
Individual services and settings
For individual services, OpenAI says eligible content may be used to improve models when the relevant data-use setting permits it. Its help article on model performance explains controls for new conversations and tasks and distinguishes those controls from deletion. Settings can change, so consult the current model-improvement guidance for the service you are using.

The consumer-service explanation also describes temporary chats. OpenAI says temporary chats do not appear in chat history, do not create or update memories, and are not used to improve models while they remain temporary. That description is scoped to the temporary-chat feature as documented; it should not be expanded into a claim that every possible downstream record, legal exception, or provider system is covered. This table is a comparison of the documented OpenAI contexts, not a universal description of all providers. Another service may use different names, defaults, retention periods, or controls.

1. Identify the exact product and endpoint
Write down whether you are using a consumer app, a business workspace, or an API project. For an API workflow, record the endpoint, model, parameters, file tools, assistants or agents, and vector-store features. Policies are often attached to those details rather than to the provider as a whole.
2. Separate the purpose of each data path
- Operations and abuse prevention: Could prompts and responses enter monitoring logs?
- Application state: Does the feature create a response, thread, file, assistant, or other object?
- Retrieval: Is an uploaded resource indexed and searched later?
- Model improvement: Is content eligible for training, and is sharing enabled?
Ask these questions independently. A “no” to training does not answer the storage question, and a short log period does not answer the question of how long a file or thread persists.
3. Inspect settings and eligibility
Use the service’s current privacy or data-controls settings to confirm whether model improvement is enabled. For organizations, ask an administrator which retention and sharing controls are active. For API users, check the provider’s endpoint eligibility documentation before relying on ZDR, Modified Abuse Monitoring, or a store parameter.
4. Find every deletion path
List the controls for deleting conversations, files, threads, vector stores, assistant resources, and organization records. If a dashboard and API can both create objects, verify that deletion through one interface removes the object created through the other. Record who is responsible for deletion and whether a policy or legal hold can extend retention.
5. Minimize what you send
- Remove credentials, access tokens, government identifiers, and unnecessary personal details before upload.
- Use synthetic or redacted examples for testing retrieval and prompts.
- Set an expiration or review date for files and indexes.
- Limit retrieval permissions to the people and tools that need them.
- Do not place a secret in a prompt merely because training is disabled; retention and access can still apply.
6. Recheck after a policy or feature change
Provider documentation and product settings can change. Revisit the current data-controls, business, consumer, and model-improvement pages whenever you add an endpoint, enable memory or retrieval, change account type, or move from testing to production.
Common misunderstandings and the accurate replacement

A practical decision rule for sensitive information
Before sending sensitive material, require a clear answer to four questions: What object is created? Where is it stored? Who can retrieve it? and How is it deleted? Then ask separately whether the content is eligible for model improvement. If any answer is unclear, redact the material, use a lower-sensitivity test sample, or choose a workflow whose retention and deletion behavior you can verify.
For a one-off question containing personal information, avoid assuming that a temporary mode or training opt-out covers every record. For a long-running knowledge base, document the files and indexes as production data, apply access controls, and schedule deletion. For an API integration, map each endpoint and object to the provider’s current retention and ZDR eligibility descriptions before launch.
The bottom line on AI “memory”
An old answer can come from retained conversation data, a separately stored retrieval source, or model-improvement processing. Those mechanisms can coexist, but one does not prove the others. OpenAI’s published policies illustrate the distinction: API abuse-monitoring logs can have a default period of up to 30 days with exceptions; application objects can follow different periods or persist until deleted; retrieval resources have their own lifecycle; and training defaults vary by consumer, business, and API context. Check the exact product and feature, treat deletion and training as separate decisions, and never send sensitive data until you understand the storage, retrieval, and improvement paths.
