Why a DOCX Converter Drops Word List Numbers—and How to Troubleshoot It

If your DOCX converter outputs numbered clauses as plain paragraphs, it may be extracting paragraph text without reconstructing Word’s list numbering. In a Word document, a number you see beside a paragraph can come from linked formatting data rather than from characters stored in the paragraph itself. The exact cause depends on the document and converter, but checking how numbering is represented is a useful place to start.

Why Word’s list numbers may be missing from converted text

A DOCX file stores document content and formatting information in related parts. For a numbered list, WordprocessingML uses numbering definitions to describe list behavior, while paragraph properties associate a paragraph with a numbering instance and level. The paragraph’s text can therefore contain only the clause wording, even though Word displays a number beside it.

Microsoft’s documentation describes the distinction between an abstract numbering definition and a numbering instance, and the paragraph-level numbering reference that connects a paragraph to an instance: AbstractNum, NumberingId and Numbering. A converter that reads the paragraph’s literal text but does not resolve those relationships may omit the displayed label.

What to check before changing the document

  1. Compare against Word’s rendering. Keep an untouched copy of the DOCX, note the converter and its version, and compare the converted output with the same document opened in Word. This confirms whether the label is absent from the conversion or absent from the document’s intended rendering.
  2. Inspect numbering properties and definitions. A DOCX is a package of related XML parts. For an affected paragraph, check for a numbering reference and level in its paragraph properties, then follow that reference to the numbering instance and its definition. The definition supplies details such as the number format and level display; the paragraph reference identifies the applicable list association.
  3. Check the paragraph style as well as direct properties. List behavior may be connected to a paragraph style, so inspecting only direct numbering properties can miss part of the setup. The python-docx numbering-part notes and its guidance on understanding styles describe these related structures.
  4. Find out what the converter actually extracts. A text-only extraction may return paragraph content without displaying list labels. Reproducing labels can require resolving numbering definitions and tracking list level and state, including restarts. Do not assume that an output containing the clause wording also contains the full visible list.
  5. Test a small representative copy. Include the same nesting, numbering restart or style-linked behavior that appears in the problem file, then compare the output with Word’s intended rendering. Avoid manually typing numbers into the original until you know whether you need an automatically maintained list or fixed text labels.

Why list styles and nesting can complicate the result

Direct paragraph properties are not the only place to look: styles can contribute to list behavior. Nested levels and restarts also mean that a converter may need to interpret more than a single paragraph’s text and numbering reference to determine the displayed label. LibreOffice’s help likewise describes numbering as a formatting and paragraph-style feature in Writer, but that does not show that opening or resaving a particular DOCX in LibreOffice will fix an unspecified converter: LibreOffice Help: Numbering and Paragraph Styles.

Choose a remedy based on how the document is used

  • For a one-off conversion: identify the converter and version, then test a copy that preserves the affected list structure. If its output is intended for reading or publication, verify that clause labels and their sequence match the source rendering.
  • For recurring or business-critical conversions: check whether the conversion workflow supports the document features in use, including nested lists, restarts and style-linked numbering. Validate representative files before relying on batch output. A specialist DOCX/OOXML repair or conversion service may be an option, but verify its capabilities against your files before entrusting it with important documents.
  • If you control the source document: decide whether the numbers need to remain dynamic list labels or become literal text. Fixed text may suit a final export in some workflows, but it gives up automatic list behavior and should not be applied to the original without considering later edits.

The available format documentation explains how numbering is represented, but it cannot identify the cause in a specific file or establish a universal converter fix. The converter, its version and the DOCX’s list structure are needed for a precise diagnosis.
