Start with a copy of the output, identify the actual format and exact error, and test it in software that supports that format. Then use the recovery method that matches the failure.
Do not keep changing extensions or repeatedly saving over the only copy. Conversion can also succeed technically while losing layout, graphics, fonts, or editability. The steps below separate those cases so you can choose between repair, another app, or a fresh export.

Start with the symptom, not a random repair
The wording of the error and what happens when you double-click the file narrow the cause quickly. Use this triage table before changing anything.

These symptoms can overlap. For example, a mislabeled file can trigger a format warning, while a partially written file can produce an apparently unsupported-format message. Follow the checks in order rather than assuming the first error identifies the root cause.

Protect the original and capture the details
Make a duplicate of the converted output before attempting repair, and keep the original source file untouched. Repair tools can alter metadata or remove recoverable content; an untouched copy gives you another chance to try a different method or export.
Record the conversion tool, source format, intended target format, receiving application and version, device and operating system, and the exact error text. A screenshot is useful when the message disappears. These details matter because support is format- and version-specific: a file that fails in one application may open normally in another that implements the same standard more completely.
- Work on a local copy rather than a file still synchronizing or downloading.
- Check the file size against the converter’s output or the original transfer. A zero-byte or unexpectedly tiny file is incomplete, not merely mislabeled.
- Do not install an unknown “repair” utility or upload confidential documents to a service before checking who operates it and what happens to your data.
- If the source can be regenerated, keep it available until the replacement output has been opened and checked.
Check the real format behind the filename
An extension is a clue, not proof of a file’s contents. Excel can warn that a filename extension does not match the actual format. Its guidance covers Excel 2016 through Microsoft 365 and later named releases; the warning means you should verify the file’s origin and intended format before opening it. Compare the extension with the converter’s selected output. A document intended to be a modern Office file should not emerge with a media, archive, or plain-text suffix. If the converter produced a format your target app does not claim to support, the extension may be accurate even though the app cannot read it.
Why renaming rarely fixes conversion
Renaming report.bin to report.docx changes only the label. It does not rewrite the bytes into a Word document. The same applies to changing an image, audio, video, or archive suffix by hand. Rename only when you have independently established that the contents already are the target format and the converter or download gave the file the wrong label.
Treat a mismatch warning as a safety check
A deliberately misleading extension can disguise a harmful file. Confirm who supplied the file, why it was converted, and whether the conversion took place in a trusted workflow. If the source is unexpected, ask the sender for a new export instead of bypassing the warning. Even a file that eventually opens may contain active content or macros that you did not intend to run.

Confirm that the receiving app and device support the format
Conversion is not complete until the next application can read the output. Check the receiving program’s supported-format list, including edition and version notes, rather than relying on the extension alone. Microsoft maintains an Office file-format reference that distinguishes formats handled by different Office applications.

Apple’s advice for media that will not open or play notes that older or specialist formats may require different software or may not work on a particular device or app. Follow Apple’s media troubleshooting guidance: install available operating-system and app updates, then try an application that explicitly supports the format. This advice is specific to Apple devices; other platforms have their own support matrices.
Choose the test application carefully
Open a copy in a current application known to support the target format. If it opens there, the file is probably valid and the original application lacks support or has a version limitation. If every compatible application rejects it, damage or an incomplete export becomes more likely.
Do not infer support from a program’s ability to import a similar format. For example, an app that opens one kind of compressed audio may not decode another codec inside the same-looking container. The format documentation should identify both the container and, where relevant, the codec or encoding.
Repair a damaged Word, Excel, or PowerPoint file
When an Office document is plausibly damaged, use the built-in recovery command before trying third-party tools. Microsoft’s official procedure applies to Word, Excel, and PowerPoint in supported Microsoft 365 and Office versions. Microsoft cautions that recovery is possible only in some cases; its wording is that The Open and Repair command might be able to recover your file.

- Close the document and make a working duplicate so the converted output remains available.
- Open Word, Excel, or PowerPoint without opening the damaged file directly.
- Choose File > Open > Browse and navigate to the duplicate.
- Select the file once. Do not double-click it to open.
- Select the arrow beside the Open button, then choose Open and Repair.
- Allow the application to attempt recovery, then save any recovered content under a new filename.
- Inspect the recovered document for missing pages, sheets, slides, images, formulas, comments, or formatting before treating it as complete.
If the command fails, that result does not prove the source is permanently lost, but it does mean this built-in method could not reconstruct the file. Return to the original source and create a fresh export in a format the target application supports. Avoid repeatedly opening and saving the only copy.

Fix text that opens as symbols or scrambled characters
A file can open successfully yet display question marks, empty boxes, dots, or nonsensical characters. That is usually a text-encoding or font problem rather than a failed conversion. Encoding determines how bytes map to characters; choosing the wrong encoding can make ordinary text look corrupt without changing the underlying file.
Use Word’s encoding preview
In Word, enable the conversion prompt, close the document, and reopen it as encoded text. Select a candidate encoding and inspect the preview before accepting it. The preview lets you compare alternatives without immediately saving over the file. Microsoft documents this workflow in Choose text encoding when you open and save files.
- Open Word’s options and enable the setting that asks you to confirm file-format conversion when opening.
- Close the garbled document, then use File > Open to select it again.
- When Word asks how to convert the file, choose Encoded Text.
- Try the encoding expected from the source system and compare the preview. Keep the option that renders the greatest amount of text correctly.
- Save the result as a new file only after checking punctuation, accented characters, symbols, and line breaks.
Check fonts separately
If most characters remain boxes or dots after the encoding is correct, the required font may not be installed. A missing font affects display even when the text data is intact. Install the legitimate font from its owner or ask the sender to embed or substitute it, then reopen the document. Do not assume that changing encoding can restore glyphs that the device has no font to draw.
Understand why PDF-to-Word conversion looks wrong
PDF is designed primarily to preserve a page’s appearance. A Word document is structured for editing: paragraphs, tables, headings, footnotes, and graphics are separate objects. During conversion, the software must infer that structure from positioned text and images, so a file can open normally while its layout changes.
Microsoft explains that PDF-to-Word conversion may not reproduce the original layout exactly. Graphics-heavy pages can arrive as images, and structural elements such as diagrams, tables, footnotes, and complex columns may not become editable Word objects. Choose the outcome before choosing another export
- Faithful viewing: Keep the PDF or export another PDF. This preserves page appearance better than forcing an editable document.
- Editable text: Accept that tables, line breaks, graphics, and footnotes may need manual reconstruction. Verify every page against the PDF.
- Reusable graphics: Extract or recreate diagrams separately instead of expecting them to become native Word shapes.
- Accessible, structured content: Prefer a source file with real headings and tables when available; a visual PDF may not contain enough semantic structure for a clean conversion.
If the converted Word file looks wrong but opens, that is a fidelity limitation, not necessarily corruption. Preserve the PDF as the visual reference and edit only the portions that meet your requirements.

Decide between repair, another app, and a fresh export
Use the following comparison when the first attempt fails. The correct option depends on the file’s actual format and what you need to do with it.

Before selecting an option, answer four questions: What are the input and output formats? Is the goal viewing, editing, or preserving layout? Which content can be lost, such as formatting, graphics, or structure? Is the file trusted enough to open safely? Those answers prevent a technically successful conversion from becoming a practical failure.
When a media conversion still will not play
For audio and video, a filename can identify a container while hiding the codec inside it. A device may accept the container but not the codec, resolution, audio channel layout, or profile used by the converted file. If an Apple device or app refuses playback, first install available updates, then try a compatible player as Apple recommends. If another supported player works, the file is usable and the original player is the limitation.
If no compatible player can open the output, regenerate it from the source using a format listed by the target device or application. Keep the source so you can change one setting at a time. Do not repeatedly transcode a failed output; each generation can reduce quality while leaving the underlying incompatibility unresolved.
What to do when every fix fails
Stop experimenting on the only copy. Compare the duplicate’s size and timestamp with the source, ask the sender or conversion service for a new export, and specify the receiving application and required purpose. Request a format that the target app documents as supported rather than merely changing the extension.

Recovery depends on how much of the output was written, which structures were damaged, and whether the original data still exists elsewhere.

No. Renaming changes the filename label, not the internal format. Confirm the contents and create a genuine conversion from the original source.
Why does the file open on one computer but not another?
The computers may have different application versions, installed fonts, codecs, operating systems, or security policies. Compare those environments and test the file in software that explicitly supports its format.
Is an extension warning proof that the file is malicious?
No, but it is a reason to verify the source before opening. A mismatch can result from an honest export mistake or from intentional disguise; trust determines whether it is safe to proceed.
