Who Can Access Google Meet Meeting Summaries and Shared Notes?

The host or a co-host controls who can open a Google Meet “Take notes for me” document. The available scopes are all invited guests (including people outside the organization), invited guests inside the organization, or hosts and co-hosts only. The notes file is created in the meeting organizer’s Google Drive. Seeing that file attached to a Calendar event does not, by itself, grant permission to open it.

What Google Meet creates when you use “Take notes for me”

“Take notes for me” produces a Google Docs notes document after the meeting. Google places that document in the meeting organizer’s Google Drive and associates it with the Google Calendar event. The document is a separate file with its own sharing permissions; it is not simply a transcript that every attendee automatically owns.

Meet can notify people who receive access by email. The notification and the Calendar attachment are two different things: an invitee may be told that notes exist, yet still receive an access-denied message when opening the document if the file’s sharing scope excludes that person.

Feature availability is not universal. Google says “Take notes for me” requires an eligible Google Workspace edition or Google AI plan, and an administrator or account policy can control whether it is available. If the control is missing, check the current Workspace plan documentation and ask your administrator whether the feature is enabled for your account.

The three sharing choices and exactly who they cover

The host or co-host selects the recipient scope in Meet’s “Send notes to” settings. Google documents three choices:

“Send notes to” choice Who can receive access External invitees People who did not attend
All invited guests, including those outside of my organization Everyone listed on the Calendar invitation Included Included if they remain on the invitation
Invited guests in my organization Invitees whose accounts are in the host’s organization Excluded Included when they are internal invitees
Hosts and co-hosts only The meeting host and designated co-hosts Not included unless an external person is also a host or co-host Role-based access, not attendance-based access

“Invited guests” means people on the Calendar invitation, not only people who joined the call. Someone who declined, never responded, or missed the meeting can still fall within the selected invited-guest scope. Conversely, a person who happened to obtain the meeting link but was never placed on the invitation is not automatically covered by an “all invited guests” setting.

All invited guests, including external guests

This broadest setting shares the generated notes with every person on the invitation, including guests whose accounts are outside the organizer’s organization. It is appropriate when the notes are intended for the full invitee list, but it also means that a person who did not attend can receive the document if they were invited.

Invited guests in the organization

This setting limits automatic sharing to invitees who belong to the host’s organization. External clients, vendors, or other outside participants may see that a notes document is attached to the event, but they are not included in this automatic recipient group.

Hosts and co-hosts only

This is the narrowest documented scope. The generated file is shared with the meeting host and co-hosts rather than with the wider invitee list. Use it when notes contain planning details, personnel information, or draft material that should be reviewed internally before any wider distribution.

Why seeing the Calendar attachment does not prove file access

Google Meet Help explicitly separates event visibility from document permission: “The ability to see the document attached to the calendar invitation does not mean that they have access to the document.” The Calendar event can reveal that a notes file exists while Google Docs still applies a different sharing rule to the file itself.

This distinction explains a common pattern. An external invitee opens the event, sees a linked notes document, and then receives a request for access or an authorization error. The event is visible because the person is an invitee; the document is unavailable because the host selected internal invitees or hosts and co-hosts only, or because the person was not individually granted access.

Do not treat the attachment icon, a link copied from the event, or an email announcing the notes as proof that the recipient can read the contents. The file owner’s sharing permissions remain decisive.

Invitation status matters more than attendance

Automatic sharing follows the Calendar invitation. It does not recalculate the recipient list based on the attendance report. A person who joined for five minutes and a person who never joined can both receive the notes when they are covered by the chosen invited-guest scope.

  • Invited and attended: receives access when covered by the selected scope.
  • Invited but absent: can still receive access because the invitation remains the relevant list.
  • Attended without being individually invited: is not automatically entitled under an invited-guest setting merely because they entered the call.
  • Removed from the invitation: should not be assumed to retain access; the document’s current permissions determine whether access remains.

These rules are especially important for recurring meetings and events whose guest lists change. Check the specific Calendar event associated with the generated notes rather than relying on who appeared in the participant panel.

Group invitations do not automatically cover every member

If a group email address is placed on the Calendar invitation, membership in that group does not automatically give every member individual access to the notes document. Google’s guidance says members need individual access.

For example, inviting [email protected] does not establish that every person who can receive mail through that group can open the Google Doc. A member who cannot open the file should ask the owner or an authorized host or co-host to add that person individually, subject to the organization’s sharing policy.

This also prevents an easy-to-miss mismatch between mail delivery and file authorization. A group member may receive an email about the event or notes while lacking a direct Google Docs permission.

How the host or co-host chooses recipients

The person configuring notes should make the sharing decision before or during the meeting, using the “Send notes to” choices documented by Google. The same kind of setting can be configured in Google Calendar.

  1. Start or open the eligible Google Meet meeting with the account that has permission to configure notes.
  2. Open the “Take notes for me” control and locate the “Send notes to” setting.
  3. Choose one scope: all invited guests including external guests, invited guests in the organization, or hosts and co-hosts only.
  4. Check the Calendar invitation for the people who should be covered. Add people individually when access is required; do not rely on a group address alone.
  5. After the notes document is generated, verify that the intended recipients received the access email and can open the file.

Google also documents configuration through Calendar. The exact labels and placement can change as Workspace interfaces are updated, so use the current Calendar and Meet controls shown for your account. A host or co-host must make any change that the organization’s policy permits; an ordinary invitee cannot expand the file’s audience simply by seeing the attachment.

Troubleshooting when someone cannot open the notes

Use this sequence to identify whether the problem is the selected scope, the invitation, or the document permission:

  1. Identify the selected scope. Ask the host or co-host whether the meeting used all invited guests, internal invitees, or hosts and co-hosts only.
  2. Check the individual Calendar invitation. Confirm that the person’s account is listed directly on the event. Being copied on an email, receiving a forwarded invitation, or having access through a group does not establish the same permission.
  3. Check organization status. If the setting was “Invited guests in my organization,” an external account will not be included automatically.
  4. Check group membership. A group address on the invitation does not grant every member direct access. Request individual sharing for the affected account.
  5. Use the file’s access request. If Google Docs offers a request-access button, submit it with the account that needs to read the notes.
  6. Ask the owner or authorized host/co-host to adjust access. They can review the document’s sharing settings and apply a permitted change. Company policy may restrict external sharing or prevent a host from changing the audience.
  7. Retry with the correct account. A user signed into a personal or alternate work account can appear unauthorized even when another account on the invitation is allowed.

The practical authority is the document owner and any administrator policy governing sharing. An attendee cannot override a host’s “hosts and co-hosts only” choice from inside the meeting.

“Ask Gemini” is private and is not the shared notes file

Google describes “Ask Gemini” in Meet as a separate experience. Each user can ask questions during the meeting, and that user’s prompts and responses are visible only to that individual. Google also says the feature’s temporary access to live captions does not persist after the meeting ends.

“Take notes for me,” by contrast, creates the post-meeting Google Docs document described above. That document can be shared with invitees according to the host’s configured scope. A private Ask Gemini interaction therefore does not become visible to the meeting’s guests merely because shared notes were enabled, and opening the shared notes does not expose another participant’s private Ask Gemini conversation.

Privacy and access decisions for organizers

Choose the narrowest audience that matches the purpose of the notes. A broad invitee scope is convenient for project recaps, but it can include absent participants and external guests. Internal-only sharing keeps automatic distribution within the organization while still covering people who did not attend. Hosts-and-co-hosts-only is suitable for a draft that requires review before circulation.

  • Review the Calendar guest list before enabling notes.
  • Remove obsolete invitees when the event changes purpose.
  • Use individual invitations when a specific person must have access.
  • Do not infer document access from the presence of an attachment on the event.
  • Check administrator rules before promising an external recipient that access can be expanded.

These choices affect the generated document, not the private contents of each user’s Ask Gemini interaction.

Quick decision guide

If you need a simple rule, match the desired audience to the setting:

  • Everyone on the invitation, including outsiders: choose “All invited guests, including those outside of my organization.”
  • Only colleagues in the host’s organization: choose “Invited guests in my organization.”
  • Only the people running the meeting: choose “Hosts and co-hosts only.”
  • A person added through a group email: add or share with that person individually.
  • A person who sees the attachment but cannot open it: treat it as a file-permission issue and have the owner or authorized host/co-host review access.
