Which Monitor Settings Should You Change for Comfortable Office Work?

For comfortable office work, first reduce screen glare and harsh room lighting, then adjust brightness and contrast until the display is easy to read. Enlarge text rather than leaning closer, and set the monitor at a comfortable distance and height. There is no universal brightness percentage, contrast value, or color temperature that suits every monitor and room.

1. Reduce glare before changing display settings

Look at the screen from your normal seated position. If you see a window, ceiling light, or lamp reflected in it, change the light or monitor position before trying to compensate with brightness. The U.S. Occupational Safety and Health Administration (OSHA) recommends positioning the screen at right angles to windows and light sources where practical, using blinds or drapes, and choosing indirect or shielded lighting. Dust on the screen can also contribute to glare.

If repositioning and lighting changes do not resolve the reflection, a monitor glare filter is an option. OSHA cautions that a filter should not significantly reduce screen visibility.

2. Adjust brightness and contrast for comfortable reading

With reflections under control, adjust brightness and contrast in the lighting you normally use for work. Aim for text and images that are comfortable and clear to view; a setting that seems suitable in a bright room may not feel right in a dim one. OSHA’s workstation evaluation checklist asks whether “Monitor brightness and contrast is adjusted for comfort.” It does not prescribe a universal brightness percentage or contrast ratio.

3. Make text readable without leaning closer

If you squint, lean forward, or move your laptop unusually close to read, enlarge the text or adjust display scaling, then check your posture again. CDC/NIOSH recommends increasing font size to avoid squinting, leaning forward, or bringing a laptop closer. Text size is an operating-system or app setting rather than a monitor control, but changing it can make the display easier to use without compromising a comfortable viewing position.

4. Set monitor height, distance, and angle together

Place the monitor directly in front of you, with the top of the screen at or slightly below eye level. OSHA gives a general preferred eye-to-screen distance of 20 to 40 inches (50 to 100 cm), and describes the center of the screen as normally viewed 15 to 20 degrees below horizontal eye level. These are ergonomic guidelines, not a requirement to force one posture: readable text, comfortable neck position, screen size, and vision needs all matter. Bifocal users may need a lower monitor.

Keep the screen generally perpendicular to your line of sight; OSHA says tilt is often no more than 10 to 20 degrees. Its monitor guidance also notes that a riser or swivel stand can help adjust height, distance, tilt, or rotation if the existing stand does not allow a comfortable position.

5. Take breaks from near work

Settings and positioning do not replace breaks. CDC/NIOSH’s 2020 work-from-home guidance suggests the 20/20/20 practice: every 20 minutes, look at an object 20 feet away for 20 seconds. OSHA also recommends periodically looking at a distant object, blinking, and alternating computer work with other duties.

The same CDC/NIOSH bulletin reports that a NIOSH study found overall musculoskeletal discomfort and eyestrain were significantly reduced when hourly five-minute breaks were added to conventional breaks taken twice daily. The bulletin excerpt does not report an effect size, and the finding should not be read as a guaranteed result for every person or workplace.

Do blue-light settings prevent eye damage?

Do not treat a blue-light filter or warm color-temperature mode as medically necessary protection. The American Academy of Ophthalmology says the small amount of blue light from computer screens has not been shown to harm eyes; it links common screen discomfort more to device misuse or overuse. A warmer display may be a personal comfort preference, but the sources cited here do not establish a universally needed color-temperature setting or blue-light-filter schedule. See the AAO’s guidance on digital devices and eyes.
