The right Copilot settings depend first on which account and app you use. A personal Microsoft account in the updated Copilot app has different controls from the older personal app, while a work or school account uses Microsoft 365 Copilot Chat with organizational data protections. Identify that context before changing anything.
There is no single “privacy” switch. Memory, shared experiences, web search, advertising, chat history, browser-data import and response customization are separate choices. For most people, review them in this order: saved memories and shared experiences, ad personalization, web search, browser-data import, training and logging expectations, then custom instructions for more usable answers.

First identify your Copilot account and app version
Microsoft’s updated personal Copilot app became available for web, desktop and mobile on August 18, 2026. Its privacy controls are documented separately from the older personal-app controls. Labels and availability can still vary during rollout.

If you cannot find a setting described below, check that you are signed into the intended account, update the app, and look for a gradual-rollout difference. Do not assume that a control documented for one version exists in another.

How to turn off Copilot memory and clear what is saved
Updated personal Copilot app
- Open Copilot and select Settings.
- Open Personalization.
- Find Saved memories and switch it off if you do not want Copilot to continue using saved personal details.
- Select Manage to inspect individual memories. Delete specific entries or choose the option to delete all memories.
- Review Shared experiences separately. Turn it off if you do not want personalization carried across Copilot and other Microsoft products.
The important distinction is between stopping future use and deleting existing data: switching Saved memories off does not itself remove memories that were already stored. Use Manage for deletion. Microsoft notes that exact labels can change as the updated app rolls out.
Work or school Copilot Chat
Microsoft 365 Copilot Chat is a different service from personal Copilot. Personalization can use your chat history and custom instructions and, where your organization enables it, work insights based on work content. Your administrator may control whether those capabilities are available, so a missing toggle can be an organizational policy rather than an error.
Should you leave web search on?
Web search is the setting most directly tied to answer usefulness. Microsoft Support says, “Copilot can search the web to improve the quality of its responses by referencing the latest publicly available information.” That makes it useful for current events, changing product specifications, policies, travel conditions, software releases and other facts that may have changed since a model was trained.

- Your question depends on recent public information.
- You want Copilot to find current sources before drafting a response.
- You are comparing present policies, availability or schedules.
Consider disabling it when
- You are working with a self-contained document and do not want external information introduced.
- You prefer a response based only on the conversation and files you provide.
- Your personal settings expose a Web search toggle and you have a specific reason not to send search queries.
Turning web search off controls the search function; it does not make Copilot private in every other respect. Memory, advertising, chat history and account-level logging remain separate. Search grounding also is not a promise of correctness, so verify citations, dates and high-stakes claims.

Review personalized advertising separately
In the current personal settings, Allow ads personalization is independent of Saved memories. Microsoft says personalized ads may use chat history, saved memories and other Microsoft data you have chosen to share.
- Open Copilot Settings.
- Locate Allow ads personalization.
- Turn it off if you do not want Microsoft to tailor advertising using those data sources.
Disabling ad personalization does not delete saved memories, erase chat history or disable web search. If your goal is less targeted advertising, inspect this control even when memory is already off.
Decide whether to import Edge browser data
The updated personal Copilot app documents browser-data import under Settings > Web browsing. Imported Microsoft Edge data can give Copilot additional context, but browser history and related data may reveal sensitive searches, health concerns, financial activity, work projects or other private behavior.

Before enabling browser-data import
- Confirm which Microsoft account and Edge profile are connected.
- Read the in-product description of the data scope before accepting.
- Do not enable it on a shared computer or profile containing another person’s activity.
- Recheck the setting after an app update because rollout and eligibility can change.
If you do not need browser context, leaving this feature disabled is the simplest way to avoid adding browsing data to Copilot interactions.
Understand chat history, training and logging
Updated personal Copilot
Microsoft’s current activity-history description for the Microsoft Copilot app says that prompts, responses and file contents are not used to train foundation models. This is the current personal-app statement and should not be confused with the older app’s controls.
Older personal Copilot
The legacy privacy-controls page describes an option to opt out of using conversation activity for model training. It also describes conversation history as retained for 18 months. Microsoft labels that page for the older product version. Do not look for, or rely on, that old training toggle when using the updated app unless current instructions for your account show it.

Work or school account
When you sign in to Microsoft 365 Copilot Chat with a work or school account, Microsoft says enterprise data protection applies and prompts and responses are not used to train foundation models. However, prompts, Bing queries triggered by those prompts and responses are logged. Training exclusion therefore does not mean that no record exists.

Organizations can apply policies that affect personalization, work insights, retention and access. If a workplace rule matters, ask your administrator which controls and retention schedules apply to your tenant rather than assuming the personal-app behavior.
Use caution with sensitive information
Microsoft’s general Copilot privacy guidance cautions users not to provide confidential or sensitive personal data they would not want used for the purposes described in that guidance and the Microsoft Privacy Statement. A “not used to train foundation models” statement is not permission to paste passwords, regulated records, trade secrets or someone else’s private information into a chat.

Microsoft 365 Copilot Chat supports custom instructions that tell Copilot how to respond. Microsoft’s example is asking for bullet points when summarizing a meeting. Other practical preferences include a concise style, a particular reading level, a fixed outline or a requirement to put action items first.
Good instructions are short and stable
- “Use headings and bullet points for meeting summaries.”
- “Give the answer first, then the reasoning.”
- “Write for a nontechnical reader and define acronyms.”
- “End project updates with owners and due dates.”
Keep instructions about presentation and workflow rather than trying to force factual certainty. Custom instructions can make output more usable, but they do not verify facts, prevent hallucinations or override organizational policy. Review important calculations, legal guidance, medical information and business decisions yourself.
A practical privacy-and-quality setup
For a personal user who wants minimal personalization
- In Settings > Personalization, turn off Saved memories.
- Use Manage to delete memories already saved.
- Turn off Shared experiences if you do not want cross-product personalization.
- Turn off Allow ads personalization.
- Leave browser-data import disabled unless you have a clear need for it.
- Choose web search based on the task: on for changing public facts, off when you want a self-contained conversation.
For a personal user who wants the most current answers
- Keep web search enabled for questions involving recent public information.
- Leave memory and shared-experience settings at the level you are comfortable with; they are independent of search.
- Do not enable browser-data import merely to improve a one-off answer.
- Check dates and source context in every high-stakes response.
For a work or school user
- Confirm that you are signed in with the organizational account, not a personal account.
- Use your organization’s Microsoft 365 Copilot Chat policies as the authority for retention and personalization.
- Remember that enterprise data protection and training exclusion coexist with logging of prompts, triggered Bing queries and responses.
- Use custom instructions for formatting, not for bypassing policy or treating generated text as verified.
Common problems and fixes
“I turned memory off, but Copilot still mentions something personal.”
Turning off the toggle does not delete existing memories. Open Manage, remove the relevant entry and start a new conversation. Also check whether the detail came from the current chat, an uploaded file, browser context or an organizational work insight rather than Saved memories.
“I cannot find the setting described online.”
Check the account type and app version first. The updated personal app, older personal app and work or school Copilot Chat do not expose identical controls. Rollout status, platform, geography and administrator policy can also affect visibility.
“Web search is on, but the answer is still wrong.”
Search improves access to current public information; it does not guarantee accuracy. Ask Copilot to show the dates and sources it used, open the underlying pages yourself and verify any claim that could cause financial, legal, health or operational harm.

“My work account says data is protected. Why are chats logged?”
Enterprise data protection and logging address different issues. Microsoft’s work-account description excludes prompts and responses from foundation-model training while stating that prompts, triggered Bing queries and responses are logged for the service and organization.
Recommended review order
Start with account and version, then inspect Saved memories and Shared experiences, followed by Allow ads personalization and browser-data import. Decide separately whether web search fits the task. Finally, read the training and logging statement for the exact account you use and add concise custom instructions if consistent formatting will save time. Revisit these choices after major Copilot updates because labels, rollout status and eligibility can change.
