Windows Errors? Fix Them Before They Spread
Repair common Windows errors and clear accumulated junk for a smoother, more stable PC - no reinstall needed.Free scan · no reinstallCrashes, No Sound, or Screen Glitches?
Random freezes, missing sound and display glitches usually trace back to one bad driver. Find and replace yours safely.Free scan · under a minuteChange the controls that determine where business prompts go, who can access them, whether they can improve a model, and when they are deleted—in that order. Start by moving work out of consumer accounts into an administrator-managed business workspace or API organization. Then verify training-use settings, set a retention and deletion process, repair identity permissions and sensitivity labels, and restrict integrations while enabling audit and DLP monitoring.
This sequence prevents the most damaging mistake: deploying an AI assistant with the wrong account tier or inherited permissions, then trying to clean up exposed data later. The exact labels and eligibility depend on your contract, region, product edition and vendor documentation, so record the setting and its effective date whenever you configure it.

1. Put business work in a managed account before changing individual settings
Account type is the highest-leverage privacy setting. A consumer account may be controlled by an employee, while a managed business workspace or API organization gives the company administrative authority over access, exports, audits, retention, deletion and feature availability.
OpenAI’s Help Center describes the relationship plainly: “Your administrator manages this account and the ChatGPT data associated with it.” Treat that as an ownership boundary, not merely a billing choice. If an employee leaves, the organization should be able to revoke access and handle the associated conversations without relying on the person’s cooperation.

Inventory the accounts that are already in use
- Export an identity-provider or expense report showing every AI service, account owner, domain and payment method.
- Classify each account as consumer, team, enterprise, education, healthcare or API, and note the contract entity and data-processing terms.
- Mark accounts that contain regulated data, source code, customer records, credentials, unpublished financial information or personal data.
- Identify whether sign-in uses company single sign-on, multi-factor authentication and an organization-owned email address.
Move work, not just users
Create the managed workspace or API organization, configure groups and administrators, and give employees a documented migration path. A company login alone does not transfer old chats or files; decide whether historical content must be exported, retained under a legal hold or deleted. Block or discourage consumer accounts for work through identity-provider policies, browser controls, acceptable-use rules and DLP alerts.
Set administrative boundaries
Use separate roles for workspace administration, security review, legal retention and day-to-day team management. Limit who can export conversations, create shared assistants, install connectors or change retention. Record every administrator and establish an offboarding checklist that revokes sessions, removes group membership and preserves records subject to policy.
2. Verify whether prompts and files can be used for model training
Do not infer training treatment from a product name. Confirm the exact edition, organization, project and contract, then save evidence of the setting or contractual commitment.
Current defaults that need verification
- OpenAI Academy states that ChatGPT Enterprise and Business do not use business customer content to train models by default. Verify that your tenant is actually on one of those editions and that no separate opt-in applies.
- OpenAI’s API guidance says API data has not been used to train or improve models since March 1, 2023, unless the customer explicitly opts in. The statement applies to API use, not automatically to every ChatGPT product or third-party integration.
- Eligibility for special API controls, including Zero Data Retention or Modified Abuse Monitoring, depends on approval. An organization should not assume that a control is active merely because it is documented.
A practical verification procedure
- In the vendor administration console, open the organization or workspace data-controls page rather than an individual user’s preferences.
- Check the training-use or model-improvement switch, the scope of any opt-out, and whether it covers prompts, uploaded files, generated outputs, feedback and abuse-monitoring logs.
- Read the order form, data-processing addendum and product-specific terms for exceptions, support access and abuse-prevention processing.
- Save a dated screenshot or export, the responsible administrator, and the contract clause in your control register.
- Repeat the check after a plan change, a new connector, an API project or a vendor policy update.
If a business cannot prove the setting, treat training use as unresolved and prohibit sensitive inputs until the owner confirms it. An employee promise not to paste confidential material is not a substitute for a technical or contractual control.
3. Choose retention deliberately and connect it to deletion and legal hold
Retention is a lifecycle decision, not a single number. Define how long conversations, uploaded files, audit events, abuse-monitoring records and backups remain available; who can place a legal hold; and what happens when a user or administrator deletes content.

What the published policies establish
OpenAI Academy reports that Enterprise owners can set custom retention with a 90-day minimum, with the guidance updated in 2026. OpenAI’s enterprise privacy information says deleted conversations are removed within 30 days, unless a security or legal requirement requires longer preservation. The retention help guidance likewise describes permanent deletion as scheduled within 30 days, subject to security and legal exceptions. These are product-policy statements, not a promise that every data copy disappears simultaneously.
Build a retention matrix
| Data class | Decision to make | Evidence to record |
|---|---|---|
| Conversation content | Default workspace period and whether users may delete early | Configured policy, effective date and owner |
| Uploaded files and generated artifacts | Whether they follow chat retention or a separate repository schedule | Storage location, deletion job and exception list |
| Audit and security logs | Period needed for investigations, regulatory duties and incident response | SIEM or compliance-retention rule |
| Legal holds | Who can suspend deletion and how the hold is released | Case number, custodian list and approval trail |
| Backups and provider copies | How deletion propagates and which security exceptions apply | Vendor statement and internal expectation |
Balance minimization against usability
Shorter retention reduces the window in which a stolen account or unnecessary record can expose information, but it can also remove conversation history and product context that employees rely on. OpenAI explicitly warns that shorter periods may compromise product experience. Select the shortest period that still supports support investigations, legal obligations and the workflows that genuinely need history; do not keep everything indefinitely for convenience.
Test deletion instead of trusting the label
- Create a test conversation and upload a non-sensitive file.
- Delete both items through the user and administrator paths.
- Confirm what disappears from search, shared links, exports, audit views and connected storage.
- Ask the security or legal owner to place and release a test hold, documenting which deletion actions are suspended.
- Record the observed timing and compare it with the vendor’s stated schedule.
4. Repair identity permissions and sensitivity labels before enabling a workplace copilot
An AI assistant generally inherits the access that the underlying employee already has. Microsoft says Copilot “respects your identity model and permissions, inherits your sensitivity labels, applies your retention policies, supports audit of interactions, and follows your administrative settings.” That means Copilot can surface content that a user is already allowed to read; it does not make an over-permissive SharePoint site safe.
Run an oversharing review
- List SharePoint sites, OneDrive folders, Exchange mailboxes and Teams locations that contain confidential or regulated material.
- Find links shared with everyone, the whole organization or large groups, including old guest accounts and nested groups.
- Remove inherited permissions that no longer match job duties, and separate broad reference material from restricted case files.
- Test with ordinary employee accounts, not only administrators. A clean administrator test can hide a real exposure.
Apply labels and retention before indexing
Define sensitivity labels for categories such as public, internal, confidential and restricted, then verify that the labels travel with documents and email. Ensure retention and deletion policies are active in the repositories that Copilot can search. Roll out to a pilot group only after a permission report shows that sensitive locations have an intentional audience.
Answer the common question: can Copilot see everything in SharePoint?
It can retrieve content that the requesting user is permitted to access and that the tenant makes available to the service. It should not bypass permissions, but a permission model that grants everyone access effectively makes that content broadly discoverable through natural-language queries. The remedy is least-privilege access and accurate labels, not a prompt telling employees to be careful.

Control the integration surface
- Inventory built-in connectors, browser extensions, plug-ins, file-sync tools and API applications.
- For each integration, document the scopes it requests, the data it can read or write, its sub-processors, region and deletion behavior.
- Disable unused connectors and require security approval for new ones.
- Use separate API projects for production, testing and high-sensitivity workloads so that a project cannot silently inherit broader access.
For approved OpenAI organizations, Zero Data Retention or Modified Abuse Monitoring may be selectable. Project settings can inherit organization controls or override them, so inspect both levels and prevent project owners from weakening a central policy.
Limit sharing of custom assistants
Set sharing to private or organization-only unless a public audience is justified. Review embedded instructions, uploaded knowledge files, action permissions and external endpoints. Remove secrets from prompts and configuration; use a secret manager and short-lived credentials for necessary actions.
Turn on monitoring
OpenAI governance guidance recommends considering Compliance API or SIEM/DLP integrations. Define alerts for restricted labels, unusual export volume, mass copying, new connectors and prompts containing credentials or regulated identifiers. Monitoring should route to a named response team with a documented escalation and containment step.
6. Compare the controls that matter before selecting a deployment model
Use the following questions in procurement and annual reviews. A feature marked “not stated” requires a vendor answer or contract language; do not fill the gap with an assumption.

7. Vendor-specific implementation checkpoints
ChatGPT managed workspaces
Administrators can control available services, sharing, data controls and retention policies. Create groups that reflect job functions, disable features that have no approved use case, and ensure exports and deletion are limited to authorized roles.
ChatGPT Enterprise and Business
The cited OpenAI guidance says business customer content is not used for training by default, while Enterprise owners can set retention policies. Confirm the edition in the billing and administration records, then align the workspace policy with your legal-hold and deletion procedures.
OpenAI API
Review organization-level controls first, then every project’s inherited or overriding settings. Separate production credentials, rotate keys, restrict network access where possible and request eligibility for stronger data controls when the workload requires them.
Microsoft Copilot
Enterprise data protection applies commercial data terms, and Copilot follows tenant permissions, sensitivity labels, retention, audit and administrative settings. Treat SharePoint, Exchange, OneDrive and Teams governance as a prerequisite rather than a post-launch cleanup task.

The team assumes a default covers every product
Require a product-and-tier record for each workload. An API statement does not automatically govern a consumer chat, and a workspace default may not cover an external connector.
Deletion is requested but records remain visible
Check search indexes, exports, shared links, backups and legal holds. Escalate with the vendor using the recorded deletion test and preserve only the data that an approved exception requires.
Copilot reveals an unexpected document
Capture the user, query and document, remove the excessive permission or link, verify the sensitivity label and retention rule, and retest with a least-privileged account before restoring access.
Recommended Free Tools
A new integration bypasses central policy
Disable the connector, rotate exposed credentials, review project inheritance and require security approval plus monitoring before re-enablement.
10. Keep the settings current
Recheck these controls after a contract renewal, edition change, new model, connector installation, identity-group redesign or vendor policy update. Assign an owner to review administrator access, training-use terms, retention schedules, legal holds, permissions, labels, integrations and audit coverage at least quarterly. Record the decision, evidence and next review date so privacy is an operating process rather than a one-time launch checklist.
