Instagram and Microsoft are giving different advice because these are different recovery systems. Instagram’s Help Center guidance, as quoted in a secondary report, says you can copy its backup codes, take a screenshot, or save them another way. Microsoft’s instructions for a personal-account recovery code say to print the 25-digit code, keep it in a safe place, and not store it on a device you use to sign in.

Neither instruction is a universal rule about screenshots or paper. The safe choice depends on which code you have, what devices and accounts can reach it, and whether you still have another way to recover the account.

First identify the code you are protecting

“Backup code” is used loosely for several different account-recovery tools. Before deciding where to save anything, identify the service and the code’s job.

  • Instagram backup codes: an alternative way to get into Instagram when the usual two-factor method, such as a phone or authenticator app, is unavailable. Instagram’s reported Help Center wording specifically mentions copying, screenshotting, or otherwise saving the codes so they are available during login.
  • Microsoft personal-account recovery code: a 25-digit recovery method for regaining access when you forget a password or an account is compromised. Microsoft says to print it and keep it somewhere safe, away from a device used to sign in. Creating a new recovery code disables the previous one.
  • Microsoft Authenticator backup: a backup-and-restore feature for Authenticator data. It is not the same thing as the 25-digit personal-account recovery code. Restore is limited to the same device type, and some accounts require you to sign in again.

Confusing these categories can leave you with a beautifully stored code that cannot solve the problem you actually have. A screenshot of an Instagram backup code does not replace a Microsoft recovery code, and an Authenticator backup does not automatically provide the Microsoft personal-account recovery code.

What Instagram’s screenshot advice actually means

The documented wording

A secondary report quoting the Instagram Help Center says: “You should copy the codes to your clipboard, take a screenshot of them or save them in some other way so that they’re available when you log into Instagram.” That is reported Instagram guidance, not a claim that every Instagram account currently shows identical wording. The underlying Help Center page was not directly available for independent verification here, so current code counts and exact menu labels should be checked in the Instagram app or Help Center before you rely on them.

Why a screenshot can be practical

A screenshot is fast to create and easy to find when a login challenge appears. It can help when the phone that normally receives a text message is lost, offline, or being replaced. Copying the codes into a password manager or another protected store can provide the same availability without depending on a photo gallery.

Instagram’s two-factor system adds a code requirement to a password when a login comes from a new device. Meta describes this as an additional protection layer and advises people not to share login details. A backup code therefore deserves the same treatment as a password: anyone who can read it may be able to pass an account-access step.

The exposure trade-off

The convenience of a screenshot is also its risk. The image may be visible to anyone who can unlock the phone, browse its photo library, use a shared tablet, or access a synchronized photo account. That is a practical security inference, not a measured probability of compromise. Instagram’s permission to take a screenshot does not guarantee that an exposed gallery or cloud sync is safe.

If you use a screenshot, keep the image out of shared albums, remove it from automatically shared locations, protect the phone with a strong device passcode, and review which accounts can synchronize or view photos. Do not send the image through ordinary chat, email it to yourself, or leave it on a work or family device that other people can unlock.

Why Microsoft tells you to print its recovery code

The personal-account recovery code

Microsoft describes a personal-account recovery code as a 25-digit code that can help you regain access if you forget your password or the account is compromised. Its support instruction is explicit: “Print the recovery code and keep it in a safe place.” It also warns: “For security, do not store the code on a device used to sign in to your account.”

The warning is aimed at the recovery code itself. If the computer or phone used to sign in is stolen, infected, shared, or inaccessible, a digital copy stored there may be exposed at the same time you need the code. A paper copy kept separately can remain available when that sign-in device cannot be trusted or used.

Regenerating the code changes the situation

Microsoft says that generating a new recovery code disables previous codes. Treat an old printout as invalid after you create a replacement. Destroy or securely dispose of the old copy, then store the new one in its intended safe location. Keeping multiple printouts without marking which one is current creates an avoidable recovery mistake.

What “safe place” should mean

Microsoft does not prescribe a particular container. A locked document drawer, a small lockable safe, or a fire-resistant document pouch can keep a printed code away from the phone and computer used for sign-in. The important properties are separation from the sign-in device, controlled access, and continued availability when you are locked out. A loose sheet beside the keyboard does not meet that purpose.

Microsoft Authenticator is a separate backup system

Microsoft Authenticator’s backup and restore feature often causes the screenshot-versus-paper confusion. The feature backs up Authenticator information; it does not turn that information into the 25-digit personal-account recovery code.

Restore has device and account limits

Microsoft says Authenticator backups can be restored only to the same type of device: iOS to iOS or Android to Android. The information restored varies by account type. Personal accounts, work or school accounts, and third-party accounts can behave differently, and some restored accounts require you to sign in again. A backup is therefore a continuity aid, not proof that every account will be immediately usable after a phone change.

Authenticator’s Android screenshot setting

Microsoft’s Android Authenticator FAQ says users can enable Screen Capture in the app’s Settings and restart the app so one-time passcodes can appear in screenshots. That setting concerns Authenticator-generated one-time passwords. It does not change Microsoft’s instruction to print and separately protect the personal-account recovery code.

The same FAQ cautions that App Lock is not guaranteed to stop someone from accessing Authenticator. App Lock is useful friction, but it should not be treated as a guarantee that a screenshot or code is inaccessible to another person who controls the device.

Instagram and Microsoft side by side

Question Instagram backup codes Microsoft personal-account recovery code
Purpose An alternate way to sign in when the normal Instagram two-factor method is unavailable. A recovery method for a personal Microsoft account when a password is forgotten or the account is compromised.
Storage direction documented here The reported Instagram Help Center wording permits copying, taking a screenshot, or saving the codes another way. Microsoft says to print the code, keep it in a safe place, and not store it on a device used to sign in.
Length or lifecycle fact established here The reviewed report does not establish a current code count or regeneration behavior. The code has 25 digits; generating a new code invalidates the earlier one.
Relationship to an authenticator app Instagram can use an authenticator app for ordinary login codes; backup codes are an alternate method. Authenticator backup and restore is a separate feature from the 25-digit recovery code.
Evidence qualification The screenshot instruction is attributed to Instagram Help Center through secondary reporting. The print-and-separate instruction comes from Microsoft Support.

A secure way to save each type

For Instagram backup codes

  1. Generate or display the backup codes using the recovery options offered in your Instagram account. Because menu names can change, follow the labels shown in your current app rather than an old tap-by-tap guide.
  2. Choose at least one protected storage method. A screenshot is acceptable under the reported Instagram guidance, but a password manager or another access-controlled store may reduce exposure from a shared photo library.
  3. If you keep a screenshot, lock the device, check photo-sync and album-sharing settings, and do not leave the image in a location other people can browse.
  4. Keep a second recovery route available when possible, such as the phone or authenticator method associated with two-factor authentication. Do not delete the only working method until the replacement has been tested.
  5. When Instagram presents replacement codes, update your stored copy and remove obsolete copies. The current app’s instructions determine how replacement works; the reviewed material does not establish a universal code count or lifecycle.

For the Microsoft personal-account recovery code

  1. Use Microsoft’s account-recovery settings to obtain the current 25-digit code.
  2. Print it rather than storing the only copy on the phone or computer used to sign in.
  3. Put the printout in a controlled, separate location, such as a locked document container or secure home file.
  4. Record which printout is current without writing the code on the outside of an envelope or in an exposed note.
  5. If you generate a new code, replace the old printout immediately and destroy the superseded copy. The new code disables earlier ones.

For Microsoft Authenticator backup

  1. Enable Authenticator backup according to the app’s current instructions.
  2. When changing phones, restore only between the same device families: iOS to iOS or Android to Android.
  3. Expect some accounts, especially work, school, or third-party accounts, to require sign-in again after restoration.
  4. Keep a separate recovery plan for the Microsoft personal account; Authenticator restore is not a substitute for the 25-digit code.

Common mistakes that cause lockouts

  • Applying Microsoft’s paper rule to every code: the print instruction is for the personal-account recovery code, not a blanket ban on screenshots in every Microsoft product.
  • Applying Instagram’s screenshot wording to Microsoft recovery: permission to save Instagram codes in a screenshot does not override Microsoft’s separate storage warning.
  • Keeping the only copy on the sign-in phone: a lost, broken, wiped, or compromised phone can take both the account and its recovery method out of reach.
  • Assuming a photo is private because it is in the gallery: shared devices, unlocked screens, automatic synchronization, and shared albums can all expose an image.
  • Forgetting that a new Microsoft code invalidates the old one: an older printout may look convincing but will not restore access after replacement.
  • Assuming Authenticator restore is complete: same-device-type limits and renewed sign-ins mean you may still need another recovery method.
  • Posting or sending codes for “technical support”: recovery codes are account-access secrets. Legitimate support should not require you to publish them.

What to do when the normal device is already lost

You still have an Instagram session

Use the signed-in session to review the account’s two-factor and recovery settings, replace inaccessible methods, and save newly displayed backup information in a protected location. Avoid signing out of the working session until another recovery path has been confirmed.

You have the Instagram screenshot but not the phone

Use the code only on the official Instagram login screen, keep the screenshot private, and remove it from any shared or synchronized location afterward if it is no longer needed. If the image cannot be opened because it was stored on the lost device, it is not a recovery copy; the point of separate storage is to remain available when that device is gone.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

You have Microsoft’s printed code

Follow Microsoft’s account-recovery flow and enter the current 25-digit code when requested. If you previously generated a replacement, use the newest printout and discard the old one. Do not photograph the paper onto the sign-in device merely for convenience; that would defeat Microsoft’s separation warning.

You only have an Authenticator backup

Restore it to the same device type and be prepared to sign in again for accounts that require reauthorization. If restoration does not recover the personal Microsoft account, use the separate recovery options Microsoft provides rather than treating the Authenticator backup as the 25-digit code.

The practical rule

Follow the storage instruction attached to the specific code, then add your own threat model. Instagram’s reported guidance prioritizes availability and explicitly allows a screenshot or another saved copy. Microsoft’s personal-account guidance prioritizes keeping the recovery code off the sign-in device and recommends a printed copy. In both cases, protect the code from other people, keep it available when your normal device fails, and maintain at least one recovery path you have actually checked.
