Clear out junk files and repair common Windows errorsFree Scan →Scan for outdated or missing drivers - takes under a minuteDriver Scan →Repair Windows errors before they cause bigger problemsFix Now →Replace a custom server monitor when the work and risk of operating it outweigh the cost and remaining responsibilities of a managed service—and that service meets your requirements for telemetry, security, retention, and reliability. There is no reliable team-size threshold. The decision depends on your actual operating workload, data volume, and what the provider takes over.
Look for operational burden, not a team-size threshold
Track the time your team spends patching and upgrading monitoring servers, maintaining storage, planning capacity, repairing collectors, restoring data, and troubleshooting the monitoring stack itself. Include the interruptions and incident work caused by monitoring failures, not just scheduled maintenance.

Grafana describes its cloud service as removing the need to deploy, scale, upgrade, or operate an observability stack. In its comparison, a self-hosted deployment leaves storage, scaling, upgrades, and reliability to the customer. These are vendor descriptions, not a guarantee that every task disappears when you move: instrumentation, collection, access, alert quality, and response processes can remain yours. Grafana Cloud and its OSS comparison outline the distinction.
Check whether the service covers your real monitoring needs
List the signals and integrations you use now, including host and application telemetry, and check that the candidate supports them in the way your environment needs. Grafana documents managed backends for metrics, logs, traces, and profiles, along with connections to external data sources. Its documented ingestion options include Alloy and OTLP, and it describes private network paths as well. A managed backend therefore does not necessarily remove agents, collectors, or network work from your side. Grafana’s service documentation describes these options.

Prometheus compatibility depends on the ingestion path, not just a product’s support for Prometheus. New Relic documents a Prometheus Agent option for Kubernetes, a Docker OpenMetrics path, and remote write for teams with an existing Prometheus server. The first two are presented as options that do not require customers to manage Prometheus servers; remote write leaves the existing server customer-operated. New Relic also documents limitations for its Docker OpenMetrics option, including lack of HA replica support. Check the path and its constraints against your deployment rather than treating these options as interchangeable. New Relic’s Prometheus integration documentation explains the choices.
Compare total cost at realistic data volumes
Compare the full cost of operating your current system with the candidate’s expected charges plus the work that remains with your team. Model low, typical, and peak ingest, and account for signal type, source count, cardinality, scrape cadence, retention, and any query limits that affect your use.

- TAA-Compliant for GSA Schedule Purchases and 1-Year
- Estimate monthly staff hours attributable to operating monitoring and multiply them by your fully loaded hourly cost.
- Add infrastructure, storage, networking, backups, support, and incident costs attributable to the current stack.
- Estimate the service charges at realistic low, typical, and peak volumes and the retention you need.
- Add the labor and infrastructure that remain on your side, including instrumentation, collectors, integration, alert maintenance, and response work.
- Recalculate after identifying unused metrics or adjusting scrape intervals, then compare the alternatives using the same assumptions.
Scrape cadence can materially affect ingest. New Relic’s Prometheus documentation gives a vendor-specific example in which changing a scrape interval from 30 seconds to 1 minute can reduce data volume by 50%. That is an example for its integration, not a guaranteed saving for every workload or a forecast of switching costs. New Relic recommends choosing intervals based on observability needs and targeting or filtering data to manage volume. See its Prometheus guidance.

Verify retention, governance, and reliability terms
For each signal, confirm the retention you will actually receive, data residency, network requirements, access controls, export and deletion options, and any compliance requirements your organization must meet. New Relic notes that retention can affect cost, performance, and compliance, and recommends checking effective account settings because defaults may not reflect an organization’s configuration. Do not assume that a documented default is your account’s actual setting. New Relic’s data-retention documentation explains the considerations.

Read the service-level terms and understand which part of the system they cover. Grafana’s comparison page states a 99.5% uptime SLA for its managed service; verify the current contractual scope before relying on that figure. A platform SLA alone does not establish that collection from every host, alert routing, or your end-to-end incident response will be available. Grafana’s comparison page provides its stated service terms.

| Decision area | What to verify |
|---|---|
| Signals and integrations | Coverage for the metrics, logs, traces, profiles, hosts, applications, and integrations you actually use. |
| Operating responsibility | Which storage, scaling, upgrades, collectors, instrumentation, alerting, and response tasks the provider handles—and which remain yours. |
| Cost and limits | Ingest pricing model, expected data volume, retention, cardinality implications, and query limits at your low, typical, and peak usage. |
| Compatibility | Support for your Prometheus or OpenTelemetry instrumentation, dashboards, labels, and chosen ingestion path. |
| Security and governance | Private connectivity, access controls, data handling, residency, deletion, export, and required attestations. |
| Reliability and support | What the SLA covers, support availability, and fit with your alerting and incident-response workflow. |
| Exit and portability | How to export data and migrate dashboards, rules, and integrations if you change providers or return to self-hosting. |
Do not treat a free tier as evidence of production terms. Grafana says its free plan has lower ingestion and storage limits, shorter retention, and community support without SLA-backed support; paid-plan terms may differ. Check Grafana’s plan comparison and verify the current terms for any candidate.

Move in stages and keep a rollback path
A staged evaluation limits risk and exposes migration work before the old system is retired. The exact process depends on your setup; vendor integration documentation does not prescribe one universal migration method.
- Inventory the current system. Record telemetry sources, dashboards, alert rules, retention, integrations, custom exporters, dependencies, and known failure modes.
- Check requirements and terms. Verify the candidate’s security, networking, plan limits, retention, service terms, ingestion options, and expected charges against your actual needs.
- Forward a representative subset. Compare signal coverage and freshness, labels, query results, alert behavior, and estimated cost with the current monitor.
- Migrate critical dashboards and alerts in stages. Document components that remain customer-operated, and verify that notification and escalation paths work as intended.
- Keep the old monitor through acceptance. Agree on what successful validation means, including incident handling and rollback requirements; retire the old system only after that validation.
When replacement is worth evaluating
A managed service merits a serious evaluation when the current stack consumes meaningful engineering time, struggles to scale or stay reliable, or creates upgrade and recovery work that the team would rather spend elsewhere—and a candidate can meet the team’s technical and governance requirements at an acceptable total cost. If the workload is small, the system is dependable, and maintaining it costs less than the service plus the work that remains, keeping the custom monitor may still be the better choice.
Make the decision from measured operating effort and realistic telemetry estimates, not from a vendor’s headline feature or an assumed universal savings rate. The reviewed product documentation describes individual vendors’ offerings; it does not establish neutral comparative performance or your organization’s actual total cost.
