Hire a tax accountant when your business’s tax obligations or decisions have outgrown what you can confidently handle in-house—not when you hit a particular revenue or employee-count threshold. Common triggers include choosing or changing an entity’s tax treatment, adding payroll, facing specialized filings, struggling to substantiate records or deductions, estimating tax payments, expanding into other jurisdictions, or dealing with the IRS.
This guidance focuses on U.S. federal rules. State and local requirements vary by location and business structure; businesses outside the United States need advice for their own jurisdictions.

Signs your business may need a tax accountant
There is no universal business size at which hiring becomes necessary. The practical question is whether you can identify the rules that apply, keep adequate records, file on time, and make required payments—and whether you need advice before making a decision, not just help preparing a return.

An entity’s legal form and federal tax classification affect which taxes and forms apply. For example, the IRS explains that an LLC may be treated federally as a corporation, partnership, or disregarded entity. If you are choosing an entity, considering an election, or unsure how your current setup is treated, ask a qualified professional to compare the consequences for your circumstances rather than assume one structure always saves tax. See the IRS’s Publication 583, Starting a Business and Keeping Records.

You add employees or payroll
Payroll brings recurring obligations, including income-tax withholding, Social Security and Medicare taxes, unemployment tax, deposits, and information returns. Worker classification also matters: the IRS warns that treating an employee as an independent contractor can lead to employment-tax liability and a penalty. State employment rules may add further requirements.
Your business may owe specialized taxes
Some products, industries, equipment, or services can trigger federal excise tax obligations. If your activity might fall into one of these categories, get advice on the applicable filing and payment requirements before assuming an annual income-tax return is the only tax work involved.

Your records, deductions, or credits are hard to support
A tax professional may review books and records to help report income and identify deductions or credits. That review can also reveal where the recordkeeping process needs improvement. It does not transfer the duty to maintain complete business records: keep source documents and transaction records even when a professional prepares the return.

The U.S. federal tax system generally requires tax to be paid as income is earned. The IRS’s December 2024 revision of Publication 583 says corporations generally make estimated payments if they expect to owe $500 or more when filing; sole proprietors, partners, and S corporation shareholders generally do so at $1,000 or more. These are federal estimated-tax rules described in that publication, not accountant-hiring thresholds. Check the rules for the applicable tax year and your situation. An accountant can help estimate and calendar payments.

You are considering a major transaction or have heard from the IRS
When feasible, seek advice before taking a consequential tax-related action. A qualified practitioner may also be able to represent a business before the IRS, but representation authority depends on the professional’s status and the matter. Confirm what the person is authorized to handle and whether that work is included in the engagement.
You operate in more than one state or local jurisdiction
Where a business operates and how it is structured can affect its obligations. Federal guidance is not a complete checklist for state and local income, employment, or other taxes. The U.S. Small Business Administration’s Pay taxes guidance explains that requirements vary with location and business structure; seek expertise relevant to the jurisdictions where you operate.

Should you handle taxes yourself, use software, or hire a professional?
A straightforward, stable business may be able to manage routine filing itself if it understands the applicable forms, keeps complete records, meets deadlines, and can make required payments. Paid expertise becomes more useful when obligations are unclear, payroll or specialty taxes arise, the books do not reconcile to the return, an important decision is approaching, or you need planning beyond entering figures into a return.

Tax software can support routine preparation, but it is not the same as individualized entity advice or professional representation. Choose based on the work you need done: preparation, bookkeeping review, estimated-tax planning, additional filings, help with IRS correspondence, or ongoing advice. Ask exactly which services are included.

How to choose a business tax professional
The IRS advises small-business taxpayers to check a preparer’s qualifications and history, understand the scope and fees, and review the return before signing. Use this checklist:
- Search the IRS Directory of Federal Tax Return Preparers for recognized credentials or Annual Filing Season Program completion.
- Check the preparer’s history and verify enrolled-agent status where applicable.
- Ask for fees up front and clarify what is included, including any added charges for planning, other filings, or IRS matters.
- Ask whether the preparer is an authorized e-file provider.
- Confirm whether they are available to answer questions during the year, not only at filing time.
- Review the completed business return before signing it. Make sure the paid preparer signs and includes a Preparer Tax Identification Number (PTIN).
Compare experience with the specific work you need—such as your entity type, industry, payroll, excise taxes, or multi-state activity. Credentials and representation rights are not interchangeable, so verify authority for the matter at hand. In its March 29, 2024 Tax Tip 2024-24, the IRS states: “Taxpayers are responsible for all the information on their income tax return no matter who prepares the return, so it’s important to find a reputable preparer.” Hiring help does not guarantee a refund, prevent an audit, or remove your responsibility for the return.
Keep records in a system you can maintain
A tax professional can help you improve how transactions are summarized, but the business still needs a workable recordkeeping system. The IRS’s Publication 583 describes journals and ledgers as tools for recording and totaling transactions. A paper business accounting ledger book may suit a small operation that can reliably maintain paper records, but it is optional and is not a tax-preparation service or a substitute for source documents and complete accounting records.
