WhatsApp Claims Bots for Insurers: How RapidOS Was Built in the DRC

RapidOS is an open-source WhatsApp claims-intake assistant paired with a staff dashboard—not an automated system for deciding or paying claims. Its creator, Raph Mwanza, describes a workflow that gathers customer details and photos, checks extracted information against the customer’s messages, and asks the customer to confirm a draft before creating a numbered claim. That is a useful implementation pattern, but Mwanza’s account does not independently establish insurer deployment, security-audit results, model accuracy, or production outcomes.

What problem is RapidOS designed to address?

Mwanza frames the problem around an informal intake pattern: a customer messages a known insurer contact and sends photos, then details may be lost or manually re-entered. His example of an accident in Kinshasa is an illustration, not a measured statistic about claims or WhatsApp use across the Democratic Republic of the Congo.

RapidOS aims to turn that conversation into a structured claim record for staff. The customer communicates through WhatsApp; the insurer’s team reviews the resulting record and PDF in a dashboard. The described product is an intake and handoff layer, not a claims adjudicator or payout engine.

How is the system put together?

The project account describes four main services, started with Docker Compose:

And, XBLUE’s US Based Technical Support is ready to assist for all of your new XBLUE system setup needs.
  • Go API: receives Meta webhook events, manages conversations with the configured AI provider, and sends WhatsApp replies.
  • Next.js dashboard: manages claims, customers, conversations, users, and settings, and generates claim PDFs.
  • PostgreSQL and Redis: PostgreSQL stores persistent data; Redis is used for rate limiting.
  • Migration container: a one-shot service runs database migrations before the other services.

Mwanza says one installation can serve multiple companies, each with separate WhatsApp numbers, AI providers, coverage types, teams, and roles. He also says WhatsApp tokens and AI keys are encrypted and shown masked in the interface. Those are the author’s descriptions of the design, not independently audited security findings.

What happens during a claim conversation?

  1. The insurer configures intake requirements. Staff define coverage types and the fields and documents required for each.
  2. The assistant collects details. For each conversation turn, the model receives an extraction tool shaped around those configured fields. The bot carries a partial claim draft forward and asks for missing information.
  3. The application checks extracted values. Mwanza says the application compares extracted values with the customer’s actual messages and drops unsupported values before saving or showing them. He describes this as a safeguard against invented details, not as a benchmarked guarantee of accuracy.
  4. The customer reviews the assembled draft. The assistant reads the completed draft back and waits for the customer to reply YES, NO, or CANCEL.
  5. Confirmation creates a staff record. After confirmation, the system creates a numbered claim, attaches submitted photos, generates a PDF, and displays the record to the insurer’s team.

The design principle is to leave an unknown field empty rather than have a model invent policy information to fill it. As Mwanza puts it: “In insurance, a made-up policy number is worse than a missing one.” He also describes replacing related vehicle fields together when customers provide uncertain dates or corrections. These safeguards explain the intended workflow; the account does not establish extraction accuracy in real-world use.

VTech Small Business System 80-0328-00 4-Line Cordless Phone, Silver/Black
  • Sold as 1 Each.
  • Conference phone allows for multiple participants to converse simultaneously.
  • Compatible with up to four lines for expanded calling capabilities.
  • Reliable DECT 6.0 digital technology enhances audio quality for ultra-clear, buzz-free communication.
  • Monochrome LCD display for clear viewing.

How does WhatsApp connect to the insurer’s workflow?

The described setup uses each insurer’s own WhatsApp Business number and Cloud API credentials, with a webhook registered in Meta. The API checks webhook POSTs against X-Hub-Signature-256 using HMAC-SHA256, acknowledges incoming messages quickly, and then dispatches them for processing. The author also describes preserving message order within a conversation and suppressing duplicate messages.

Meta’s WhatsApp Business Platform and Cloud API examples include webhook, media-message, and signature-validation examples. They provide integration context but do not verify RapidOS’s implementation. The project account describes Cloud API credentials; Meta’s On-Premises deployment templates identify the former On-Premises API as deprecated and direct developers to Cloud API.

Which languages does it support, and how well are they reviewed?

Mwanza lists 15 assistant and dashboard languages: English, French, Portuguese, Spanish, Arabic, Swahili, Lingala, Hausa, Yoruba, Amharic, Hindi, Bengali, Vietnamese, Indonesian, and Filipino. The account says language detection uses deterministic heuristics based on script and language-specific stopwords.

Language availability should not be mistaken for equal review quality. The author says English and French are reviewed; the other 13 languages are machine-translated and marked for community review. PDFs are translated into English, French, Spanish, Portuguese, and Swahili. PDFs for other languages currently fall back to English.

Where does human oversight fit?

Staff can view conversations, pause the bot, and reply themselves. Mwanza says automatic status updates are held while staff are actively handling a conversation. Staff can also change a claim’s status and send the customer an update with a revised PDF. This makes human review and intervention part of the described workflow rather than treating the bot as the final decision-maker.

What should an insurer verify before using this approach?

The project author’s account is a design description, not independent validation. It reports no production deployment evidence, insurer adoption figures, performance benchmarks, security audit results, or measured operational outcomes. An insurer evaluating RapidOS—or designing a similar system—should establish those points for its own deployment rather than infer them from the feature description.

  • Data control: determine where the application and database will run, who can access claims and credentials, and how retention and recovery are handled.
  • Language quality: test the actual customer vocabulary and claim scenarios in each language the insurer plans to offer, particularly for languages Mwanza says need community review.
  • Configuration and separation: confirm that coverage requirements, teams, roles, WhatsApp numbers, and AI credentials remain correctly separated for each company using an installation.
  • Human correction: exercise the pause, staff-reply, status-change, and customer-update paths, including what happens to automated messages during a handoff.
  • Webhook behavior: test signature validation, delayed and duplicate events, and message ordering under the insurer’s operating conditions.
  • Evidence of readiness: require deployment-specific security review, operational testing, and clear acceptance criteria before relying on the system for live claims.

What are the project’s license and deployment path?

Mwanza identifies RapidOS as licensed under AGPL-3.0 and says it can be started with Docker Compose. The project account points readers to its GitHub repository, documentation, and hosted version. It also says setup assistance and hosting help fund the project; current availability and terms should be confirmed directly with the project.

What the account establishes—and what it does not

RapidOS is presented as a concrete way to structure WhatsApp claims intake: insurer-configured fields, a message-grounded draft, customer confirmation, and staff review. The evidence for its features and limitations is the project creator’s first-person account, published October 3, 2026. It does not establish that insurers in the DRC have deployed it, that its security controls have passed an independent audit, that its extraction is accurate at a measured rate, or that it has improved processing time or outcomes.
