What to Put on an Invoice and How to Track Payment

Create an invoice with accurate business and customer details, a unique number, a clear description of what was supplied, dates, amounts, applicable tax, the amount due, and payment terms. Then send it, track its status, record the payment, and retain the invoice with related bookkeeping documents. Exact legal fields, tax rules, accepted formats, payment rights, and record-retention periods depend on where and how your business operates.

What to confirm before creating an invoice

Invoice rules are not universal. First establish your business jurisdiction, tax status, customer type, and whether your industry or transaction has additional requirements. Check the relevant tax authority’s current guidance before choosing a template, sending method, or e-invoicing provider.

  • Where is the business established, and which rules apply to the transaction?
  • Are you registered for VAT, GST, sales tax, or another applicable tax?
  • Is the customer a business or an individual?
  • Does the jurisdiction or customer require a structured electronic invoice rather than a document attachment?

For example, UK invoice fields vary with business type and VAT status, while French obligations depend on factors including business size, customer type, activity, and tax regime. France’s official business guidance, verified 7 August 2026, advises businesses to identify which obligations apply to their circumstances: Service Public Entreprendre: invoicing rules.

What should an invoice include?

Use the fields required by your local rules. As a practical checklist, make sure the invoice identifies the parties and explains the transaction and payment clearly.

In the UK, GOV.UK lists a unique identification number; company and customer names, addresses, and contact information; a description; supply and invoice dates; amounts; VAT where applicable; and the total owed. Additional details depend on whether the supplier is a sole trader, limited company, or VAT-registered business. These are UK rules, not a universal template: GOV.UK: what invoices must include.

How to create, send, and record an invoice

  1. Gather the required details. Confirm your own and your customer’s information, the transaction, applicable tax treatment, and any local invoice requirements.
  2. Assign a unique number. Use a consistent numbering approach that makes each invoice identifiable in your records.
  3. Describe the work or goods precisely. Include relevant quantities, rates, or line items so the customer can understand how the total was calculated.
  4. Show dates, tax, total, and payment terms. Follow local rules and make the amount due and payment instructions easy to find.
  5. Send it through an accepted channel and format. Check what your customer can receive and whether local rules require structured e-invoicing.
  6. Update the invoice’s status. Record when it was issued and whether it is unpaid, overdue, part-paid, or paid.
  7. Record the payment and retain the paperwork. Match receipts or payment records to the invoice and store it with supporting bookkeeping documents for the applicable retention period.

How to track invoices and payments

Maintain an invoice register, whether in bookkeeping software or another suitable system. At minimum, record the invoice number, customer, issue date, due date, total, amount received, remaining balance, and current status. Update it when you send an invoice, receive a partial payment, or settle the balance. This gives you a working view of what remains outstanding and helps connect the invoice to the corresponding transaction in your books.

An invoice and a receipt are not interchangeable: an invoice states what is owed and when it must be paid, while a receipt acknowledges payment. GOV.UK says an invoice is legally required for its specified case of a VAT-registered business selling to another business in the UK; do not treat that example as a rule for every transaction or country. For US businesses, the IRS says businesses may choose a recordkeeping system suited to their needs if it clearly shows income and expenses. Electronic systems may be used if they meet the same basic recordkeeping principles as paper records, and invoices can serve as supporting documents. This guidance does not establish one retention period for every record or a universal invoice template: IRS: recordkeeping.

Is a PDF an e-invoice?

Not necessarily. A PDF sent by email is a digital document, but official definitions in some e-invoicing programs require invoice data to be exchanged electronically in a structured, software-readable form. The distinction matters when a tax authority or customer requires a particular e-invoicing channel or format.

Australian government guidance describes e-invoicing as software-mediated digital exchange, commonly through the Peppol network, rather than an invoice that must be printed, posted, or emailed. It advises businesses to ask their software provider whether e-invoicing is enabled and identifies enabled accounting software, an e-invoicing add-on, or e-invoice-capable software as possible routes: business.gov.au: e-invoicing.

The UAE Ministry of Finance defines e-invoices as structured invoice data exchanged electronically and reported to the Federal Tax Authority. Under that definition, PDF, Word, image, scanned-copy, and email formats are not e-invoices. The UAE portal says the program is evolving, so check its current information for applicable requirements: UAE Ministry of Finance: e-invoicing.

How to choose an invoicing workflow or tool

Choose based on what your business must do, not simply on how polished an invoice looks. Compare the requirements that affect your transactions and day-to-day administration.

  • Compliance: Does the workflow support the fields, tax treatment, format, reporting, and retention rules that apply to your business?
  • Structured e-invoicing: If required, does the provider support the applicable network and format, and is any necessary accreditation or registration in place?
  • Payment tracking: Can you distinguish issued, overdue, part-paid, and paid invoices and reconcile payments with your records?
  • Bookkeeping: Does the workflow help you organize invoices and supporting documents alongside income and expenses?
  • Scale and complexity: Is it manageable for your invoice volume, customer mix, and transaction types?
  • Capability and cost: Confirm current features, compatibility, and charges directly with providers; availability can change.

Australian guidance describes several software routes, including using an e-invoicing-enabled accounting provider, adding an e-invoicing product, or adopting software that can e-invoice. The right option depends on local rules and the provider’s current capabilities: business.gov.au: e-invoicing.

Check for changing requirements

E-invoicing programs and implementation schedules can change. France’s tax authority describes the generalization of B2B e-invoicing from 1 September 2026; businesses should check the latest official information for their category and circumstances: French tax authority: electronic invoicing. For UAE businesses, the Ministry of Finance identifies its e-invoicing portal as the official information source and advises checking it as the program evolves: UAE Ministry of Finance: e-invoicing.
