What to Look for When Choosing an Accounting Firm for a Growing Business

When choosing an accounting firm for a growing U.S. business, define the work you need before comparing providers. Bookkeeping, payroll, tax preparation, tax planning, cash-flow support and management reporting are different services; a tax return alone does not necessarily include ongoing financial guidance. Give each candidate the same description of your business and compare scope, experience, credentials, access, fees and data practices against it.

Define what you need the provider to do

Start with the recurring work and separate it from one-time projects. The U.S. Small Business Administration lists functions such as accounts receivable, accounts payable, available cash, bank reconciliation and payroll among the financial tasks a business may need help managing. AICPA & CIMA likewise recommends asking what services a CPA performs and whether they fit your needs.

  • Day-to-day bookkeeping: transaction coding, reconciliations, receivables and payables.
  • Payroll: processing, related filings and clarity about what remains your responsibility.
  • Tax work: return preparation, tax planning, or both. Confirm which federal, state and local filings are included.
  • Management support: regular financial reports, cash-flow visibility, budgeting or help interpreting business performance.
  • Special projects: financing support, cleanup of past records, or other nonrecurring work, with a separate description and fee.

Do not assume that tax-return preparation includes bookkeeping, forecasts or regular management reports. Ask what records the firm expects from you and what deliverables it will provide, and at what cadence.

Compare provider types and credentials

A CPA firm, bookkeeper and online accounting service may each suit different tasks and budgets. The SBA describes bookkeepers as able to handle basic day-to-day functions, while CPAs typically have more formal accounting education and may offer more tailored service at a higher cost than online services. These are general distinctions, not a guarantee of any provider’s price, quality or fit. Choose based on the work, its complexity and the level of professional judgment or tax representation you may need.

Provider or credential What to understand What to verify
Bookkeeper May handle routine bookkeeping and related day-to-day functions. Do not assume tax representation authority or that tax work is included. Services, relevant experience, review process and which tasks require another professional.
Online accounting service May provide a lower-cost or more standardized option, but scope and access to individualized advice vary. Named person responsible, included deliverables, support availability and escalation route.
Certified public accountant (CPA) Licensed by a state board. CPAs have unlimited representation rights before the IRS. Active license with the relevant state board, assigned professional and experience with your needs.
Enrolled agent (EA) or attorney Along with CPAs, these professionals have unlimited representation rights before the IRS; enrolled agents are federally licensed by the IRS. Current credential, assigned person’s relevant experience and whether representation is included in the engagement.
Paid federal return preparer with a PTIN A preparer tax identification number is required for paid federal return preparation, but a PTIN alone does not grant unlimited IRS representation rights. Credentials beyond the PTIN, relevant experience and who can represent you if the IRS contacts the business.

The IRS explains these U.S. credential distinctions in its guide to tax return preparer credentials and qualifications. As the IRS puts it, “Any tax professional with an IRS preparer tax identification number (PTIN) is authorized to prepare federal tax returns.” Preparation authority is not the same as broad representation authority or proof of expertise. For paid federal tax preparation, ask who will do the work and verify that person’s credentials and, for a CPA, active state license.

Assess relevant experience and continuity

Broad claims such as “we work with small businesses” do not establish that a provider understands your company’s needs. Ask about experience with comparable entity types, industries, transaction complexity, growth stages, multi-state operations or financing requirements. Request references from clients with similar needs or in your industry, as AICPA & CIMA recommends.

Find out how the work is staffed: who prepares it, who reviews it, who will be your regular contact and who covers when that person is unavailable. Ask what response norms to expect and whether you can get help throughout the year. The IRS advises taxpayers to check a preparer’s availability after filing season; a firm that is hard to reach when a question arises may not match a business that needs year-round support.

Compare written proposals and engagement terms

There is no universal accounting-firm price established for this work. Fees depend on the services and provider, so request proposals using the same description of your entity, transaction volume, locations, payroll needs, reporting cadence and tax or advisory requirements. Compare deliverables and assumptions alongside the total fee, not a monthly price in isolation.

Ask each candidate to put these points in the proposal or engagement letter:

  • Which recurring services and reports are included, and which are excluded.
  • Whether billing is fixed, hourly or based on another method; the rates or assumptions that apply.
  • What triggers extra work, how it will be priced and whether you must approve it before it begins.
  • Which records you must provide, who reconciles accounts, who approves payments or filings, and how deadlines are managed.
  • Whether software or other charges are separate, how questions and advisory work are billed, and what filing responsibilities remain yours.
  • How to end the engagement and transfer records or work to another provider.

The IRS recommends asking about fees up front and cautions against tax-preparation fees based on a percentage of a refund. A low or high quote by itself does not establish quality or fit.

Check systems, reporting and data security

Confirm that the provider’s accounting systems fit your workflow and that you understand who can access your records. Ask how the firm grants and removes staff access, exchanges documents, retains files, makes backups and responds to a suspected security incident. Find out who is responsible for security questions inside the firm. Treat explanations as claims to evaluate, not proof of a particular control.

AICPA & CIMA’s September 2026 summary of a survey of CPA firms lists cybersecurity risk and exposure of client data among leading issues for small firms, alongside technology and capacity concerns. It is a professional association’s survey summary, not an independent assessment of any firm you are considering. Use it as a reason to ask direct questions, not as evidence that a particular candidate is secure or insecure.

Also ask which accounting basis the firm recommends and why. SBA guidance contrasts cash accounting, which is easier to understand and shows cash flow clearly, with accrual accounting, which provides a more immediate snapshot but is more complex and can mislead if read without care. SBA also states that private companies are not required to follow GAAP. The appropriate basis depends on your management needs, tax situation and requirements from lenders or investors; ask candidates to explain the trade-offs for your business.

Review tax work before it is filed

Hiring a preparer does not transfer responsibility for the information on a return. The IRS says taxpayers remain responsible for all information on their income tax return, no matter who prepares it. Review completed filings, ask about anything you do not understand and confirm the filing responsibilities and deadlines in the engagement terms. The IRS’s small-business guidance on selecting a tax professional also recommends checking fees and availability.
