It should connect that view to the general ledger, purchasing, subcontracts, change orders, field time, billing and, where applicable, work-in-progress (WIP), retainage and service operations. Evaluate those workflows with a realistic project rather than choosing from a feature list.
Start with the decisions the software must support
A useful system answers, for every project and phase, how much has been spent, how much is already committed, what remains to complete the work and whether the expected margin is changing. The answer must be available while the job is active, not only after invoices are paid and payroll is posted.

Set the required level of detail before viewing products. An M&E contractor may need cost codes for rough-in, equipment setting, controls, commissioning and closeout, with separate cost types for labor, materials, subcontractors and equipment. If the codes do not match the way project managers control work, a polished dashboard will still produce weak decisions.

Use cost categories that reflect the work
| Cost area | What the system should record | Questions for the demonstration |
|---|---|---|
| Labor | Employee or crew time, wage rate, payroll burden and the job, phase and cost code receiving the time | Can a supervisor enter time daily? When does it reach the job ledger? Can the system show unposted labor and apply the correct burden? |
| Materials | Purchase orders, receipts, invoices, transfers and material usage assigned to the correct job and code | Can a receipt be split across phases? Is a vendor invoice matched to its purchase order before it affects actual cost? |
| Subcontractors | Subcontract commitments, payment applications, invoices and approved changes | Does the committed amount reserve budget before payment? Can retention, amendments and disputed amounts be identified? |
| Equipment | Owned or rented equipment usage and its assigned cost | Can equipment be charged by job, date and activity, with a rate that accounting can audit? |
| Other direct costs | Permits, freight, testing, travel and other costs that belong to a specific job | Can users add controlled cost types without creating inconsistent codes? |
Ask to see budget-versus-actual and forecast reports while the sample job is still open. Useful views include cost-to-date, estimate at completion, cost to complete, gross margin, labor hours and variance by project, phase, cost code, date and status. A system that only reports paid bills will make an expensive commitment look invisible until it is too late.

Daily field time is particularly important. Sage’s construction materials emphasize daily rather than weekly time entry, while a guide from Jonas describes labor tracking that includes unposted labor and burden percentages. These are vendor descriptions, so confirm the exact workflow, approval rules and product edition rather than treating them as independent performance evidence.
Make commitments and change orders visible before they become overruns
Track obligations, not just cash disbursements
Purchase orders and subcontracts should reduce the available budget when they are authorized. The software should show the original commitment, amendments, invoices received, payments, remaining commitment and any amount still awaiting approval. Ask whether accounts payable can be filtered by job and whether an invoice that exceeds its commitment is flagged or routed for approval.
CrewCost’s selection guidance calls for committed-cost tracking for purchase orders and subcontracts. WIP describes accounts payable by job and change-order tracking as available, while identifying commitment management as forthcoming. That contrast is a reminder to distinguish a live function from a roadmap item during procurement.
Preserve the original contract while forecasting approved scope
Change control should show a request from initiation through approval, rejection or withdrawal. Confirm that the forecast can include pending and approved changes without rewriting the original contract or budget. Ask how the system labels unsigned, internal, estimated and approved changes, and whether field staff can see authorization status before performing extra work.

FOUNDATION describes status-based change-order tracking in which approved changes update budget detail while retaining the original contract and budget; it also describes toggles for pending, internal and estimated changes. Procore’s construction guidance similarly treats change status as a control point. Validate the exact statuses and permissions in the edition you would buy.
Test the accounting integration as a control, not a checkbox
Agree on the source of truth for the general ledger and the job-cost subledger. Then document which objects move between systems: jobs, cost codes, purchase orders, bills, payroll, invoices, payments and change orders. Establish whether synchronization is direct or scheduled, one-way or bidirectional, and how failed syncs, duplicates, corrections and late postings are reconciled.
CrewCost recommends a job-cost ledger tied directly to the general ledger. WIP describes synchronization of jobs, invoices, bills and payments with QuickBooks Online and says QuickBooks remains the book of record. Those are vendor or guide statements, not a guarantee that every accounting configuration behaves the same way.
Run a test with a late vendor bill, a corrected labor entry, a partially paid invoice and a change to a cost-code mapping. The demonstration should show the audit trail in both systems and identify who can reverse or approve each correction. For contractors with several entities, branches or service divisions, test intercompany rules, consolidated reporting and role-based access rather than assuming a single-company integration will scale.

Separate WIP, progress billing and revenue recognition requirements
Long mechanical and electrical projects often require more than a cost report. Ask the vendor to produce, for one job and for the company, contract value, cost to date, earned revenue, billed to date, gross profit, estimate at completion and over- or under-billing. Confirm the accounting method behind each number and the source records that drive it.
WIP reporting is not interchangeable with progress billing. CrewCost lists WIP, retainage billing and percentage-complete or AIA-style billing among the capabilities to evaluate. FOUNDATION lists WIP and over/under-billing reports. Require a sample output that your accountant, surety, lender and owner would accept, rather than relying on a label such as “WIP dashboard.”
Check limitations that can disqualify a product
WIPKeep states that it uses completed-contract recognition, does not calculate percentage of completion, does not produce a bonding-grade WIP schedule with over-billings and under-billings, has no retainage feature and has no AIA G702 progress billing. Those are the vendor’s stated limitations. If a contract, lender or surety requires percentage-of-completion reporting, retainage or AIA forms, obtain written confirmation that the proposed system and accounting configuration meet that requirement before signing.

If the business performs call-outs, preventive maintenance or service agreements as well as installation projects, evaluate one connected workflow: dispatch, work order, technician time, truck or warehouse stock, material usage, job cost and invoice. Separate systems can work, but only if the hand-off preserves the job, customer, asset and cost-code information.

Crestwood’s electrical-contractor materials identify technician scheduling and dispatch, mobile field access, service work orders, maintenance agreements, field-to-office communication, warehouse inventory, truck stock and material usage as relevant capabilities. Treat those as capabilities to demonstrate, not proof that every edition includes them.
Use the technicians’ actual phones or tablets at a site with weak connectivity. The available material establishes references to mobile access but does not establish offline behavior, supported devices or independent usability results. Ask what happens when a technician works offline, edits a submitted time card or consumes stock that has not yet synchronized.
Demand reporting, security and implementation evidence
Reports should be reproducible from controlled data
Bring a realistic sample containing labor burden, committed purchase orders, subcontract changes, approved and pending change orders, retainage and billing transactions. Ask the vendor to filter it by project, phase, cost code, date and status, then export the result. Check whether the report can be reproduced later and whether every adjustment has an audit history.
Free tools Windows power users keep installed
One-click scans. No signup required.
Check access and data protection claims
Request documentation for role permissions, organization isolation, encryption, audit logs, retention, exports and migration. WIP describes role-based access, organization-level isolation, encryption and audit logs on its site; it identifies SSO/SAML and SOC 2 as roadmap items. Do not describe roadmap items as current features or certifications, and require evidence that aligns with your security policy.
Best Value
Price implementation risk even when a subscription price is clear
The available material does not establish independent deployment times, total cost of ownership or customer outcomes. Ask for a scoped implementation plan covering chart and cost-code mapping, historical data, payroll and accounting integration, permissions, training, testing, go-live support and future migrations. Request references from contractors with a comparable mix of electrical, mechanical, service and project work.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Run a scenario-based vendor demonstration
- Load one representative job. Include the estimate, contract value, phases, cost codes, labor rates and expected burden.
- Enter daily field time. Approve some entries, leave one unposted and verify when each appears in labor cost and forecast reports.
- Create commitments. Add a purchase order and subcontract, receive part of the material, post an invoice and compare committed, received, invoiced and paid amounts.
- Process a change order. Create an unsigned request, approve another change and reject a third. Confirm how each affects budget, forecast, contract value and field visibility.
- Post corrections. Change a cost code, reverse a bill and enter a late labor transaction. Follow the audit trail and reconciliation process.
- Run financial outputs. Produce estimate-to-actual, cost-to-complete, WIP, over/under-billing, retainage and progress-billing reports required by your contracts.
- Test service work if applicable. Dispatch a technician, record travel and labor, issue stock, complete the work order and invoice it while checking profitability.
- Test permissions and export. Repeat key actions as a project manager, field user, accountant and executive; export the data and verify that restricted information stays restricted.

Use one sample job and record the result of each demonstration. A feature that exists only in a higher edition, requires a separate module or is marked “coming soon” should be scored as unavailable for the current purchase decision.
What current vendor examples do—and do not—establish
- WIP presents itself as serving specialty-trade subcontractors, including electrical and mechanical firms. It lists WIP/CVR, contract-versus-cost-to-date, earned revenue, gross-profit percentage, AR/AP aging, invoice tracking, job-level AP, change orders and QuickBooks Online integration as available. It labels AIA billing, lien waivers, preliminary notices, commitment management, budget management, cash management, Procore integration and a mobile app as coming soon. Reconfirm every status before purchase.
- Sage emphasizes change-order status and daily time reporting on its construction job-costing page. Confirm edition-specific functions and approval workflows.
- FOUNDATION describes WIP and over/under-billing, project cash-flow and overhead reports, job histories, estimated-versus-actual reporting, alerts and change-order tracking. Ask which modules and permissions are required.
- Jonas describes labor tracking, change orders, subcontractor allocation, purchasing and project reporting for construction and service contractors. Test the configuration used by your divisions.
- ProjectPro positions a Microsoft-based construction accounting and job-cost ERP for mechanical contractors and names phase-driven progress billing, retainage, WIP and change orders. Validate the exact product configuration and implementation scope.
- Crestwood emphasizes integrated project visibility, field service, cash flow, inventory, labor and multi-location reporting for electrical contractors. Confirm module availability for the product edition under consideration.
These descriptions are not an independent ranking, benchmark or proof of implementation success. Dashboard figures, sample project values and subscription prices shown on vendor pages should not be presented as market-wide statistics.
Common selection mistakes and how to avoid them
- Choosing on the dashboard alone: trace every figure back to a source transaction and verify correction and approval paths.
- Ignoring commitments: require purchase orders and subcontracts to appear in forecasts before payment.
- Assuming “WIP” means your WIP: specify completed-contract or percentage-of-completion treatment, over/under-billing, retainage and required forms in writing.
- Accepting a roadmap as a feature: separate available, add-on, configured and forthcoming functions in the comparison record.
- Under-testing field conditions: use actual devices, connectivity and technician workflows, including edits after submission.
- Overlooking accounting ownership: document the ledger of record, synchronization failures, timing differences and reconciliation responsibility.
- Using vendor onboarding claims as a schedule: obtain a scoped plan and comparable references instead of assuming a standard deployment time.
Build the procurement checklist before requesting proposals
Write down the minimum acceptable behavior for cost capture, commitments, change orders, accounting, WIP, billing, service, inventory, reporting, security and implementation. Include the required cost-code structure, labor-burden method, contract forms, entities, field devices and approval roles. Give every vendor the same scenario and require written answers for any unavailable or future capability.
No single platform is established as best for every M&E contractor. The defensible choice is the one that reproduces your real estimate-to-cash workflow, exposes commitments and scope changes early, produces the financial reports your counterparties require and remains usable for the people entering data in the field.
