The exact combination depends on the organizer, venue and ticket type, so your best preparation is to choose one main objective, study the current agenda, confirm what your ticket includes and leave space for unplanned conversations. Comfortable shoes, a charged phone and a simple way to record contacts will make a long day much easier.
What actually happens at a startup conference?
There is no standard startup-conference schedule. One event may emphasize investor presentations and founder meetings; another may center on product demonstrations, workshops, hiring or technology talks. Many programs combine several formats:

- Main-stage keynotes, panels and fireside conversations
- Startup pitches, product demos or a showcase area
- One-to-one meetings, matchmaking and office hours
- Workshops, roundtables and smaller breakout sessions
- Lunches, coffee breaks, receptions and evening events
- Registration, sponsor areas and informal hallway conversations
Check the official agenda rather than assuming that a conference will include a pitch competition, expo, investor access, an attendee app or a first-timer orientation. Those features are common enough to appear in event marketing, but none is universal. Also check your ticket: a general pass may not include a workshop, private meeting program, dinner or invitation-only reception.

A realistic first-day sequence
You may begin with badge pickup or a self-service kiosk, then find the main hall, download or open the event platform and locate your first session. During the day, you will move between rooms, talks, booths and meeting areas. A typical schedule has gaps that look empty on paper but are where many useful introductions happen. The day may end with a reception, a sponsor gathering or a separate dinner that requires its own registration.

Set a goal before you choose sessions
A crowded agenda becomes manageable when you decide what a successful day would produce. Pick one primary outcome and, if useful, one secondary outcome. Possible goals include learning a specific subject, meeting prospective customers, finding a co-founder or collaborator, hiring, fundraising, exploring career options or understanding a local startup ecosystem.

Use your goal to rank sessions, not to schedule every minute. Compare competing options by relevance to your objective, fit with your role or company stage, opportunity to ask questions, access or registration requirements and the time needed to reach the room. Leave transition time for a venue that is larger or more crowded than the map suggests.
Prepare in the week before the event
- Read the current agenda and ticket terms. Look for eligibility rules, add-on sessions, registration deadlines, room assignments and capacity limits. Some workshops, meetups and roundtables require advance sign-up, as Gartner notes in its first-time-attendee guidance.
- Check the event platform. If the organizer provides an app or web portal, log in before arrival. Depending on the event, it may contain the schedule, venue maps, attendee directory, direct messaging, meeting requests and last-minute announcements. Features vary, so do not assume every tool will be available.
- Complete a useful profile. State what you do, what you are looking for and the subjects you can discuss. A specific profile makes a relevant invitation easier than a generic job title.
- Arrange only a few priority meetings. Request conversations with people who fit your goal, but do not fill the entire day. A delayed session, an unexpected introduction or a valuable lunch conversation can be more useful than a rigid sequence of appointments.
- Write a short introduction. Prepare a sentence covering your role, your current focus and what brought you to the conference. A founder seeking customers needs a different emphasis from a student investigating career paths.
- Confirm logistics. Recheck the venue, transportation, check-in instructions, badge or QR-code requirements, weather, accessibility information and any policy in the organizer’s latest message. Event communications may provide transit directions and maps only shortly before opening day.
How to network when you are new
Networking is not a sequence of sales pitches. It is a series of short conversations in which both people decide whether a second conversation would be useful. Breaks, lunch tables, workshops, receptions and smaller side events often offer more time than a crowded session entrance.

Start with the shared setting
Approach someone who is waiting for a session, looking at the same display or sitting at an open lunch table. Ask what brought them to the event, which session they plan to attend or what they thought of a talk. These questions are easy to answer and give the other person room to steer the discussion.
Listen before you pitch
Ask about the other person’s work, customers, role or reason for attending. Share your own context when it helps the conversation, but avoid turning the first minute into a product monologue. End conversations gracefully
When the exchange reaches a natural pause, thank the person, suggest a specific next step if one exists and let them return to the event. You can say that you would like to send a short note, compare calendars or connect through the event platform. Do not treat a polite conversation as a commitment to buy, invest, hire or partner.

After a conversation, note the person’s name, organization, topic discussed and any promised action. Use the event app, a notes app or a small notebook. A contact without context is difficult to recognize after several sessions and dozens of introductions.

How to handle the agenda during the day
Follow your plan lightly. Attend the sessions most closely tied to your goal, but keep gaps between them. A five-minute room change can become fifteen minutes when elevators, security checks or queues are involved.
When two sessions overlap
Choose the session with the stronger fit to your primary goal unless the other offers a rare interaction, limited-seat access or a person you specifically need to meet. If recordings or slides are promised, confirm when and how they will be delivered rather than assuming every session will be available later.
During talks and panels
Take notes on decisions, examples and questions you can apply, not just quotations. If questions are invited, keep yours concise and relevant to the discussion. A useful question can also become a natural conversation starter afterward.

Ask what problem the product solves, who uses it and what stage the company is in. If you are not a potential customer, say so and explain the perspective you can offer. This prevents a founder from spending time on a conversation that cannot lead anywhere.

What to bring
Pack for a long day on your feet and adjust the list to the venue, weather, travel arrangements and your role. A practical baseline is:
- Comfortable shoes suitable for walking and standing
- A light layer for cold meeting rooms or changing weather
- A charged phone with the event app or web login ready
- Charging cable and, if you expect heavy phone use, an optional portable power bank
- A notebook and pen or a notes app
- A reusable water bottle if the venue permits one
- A lightweight bag that leaves your hands free
- Medication, identification, glasses or an umbrella as needed
- A digital business card, LinkedIn QR code or a small number of printed cards if that suits your role
You do not need every item. A digital contact method is sufficient if you can exchange details reliably. Check venue rules before bringing liquids, large bags, recording equipment or promotional materials.

There is no universal startup-conference dress code. Venture Atlanta describes a mix of smart casual, business casual and business-professional clothing, while FIRSTCON25 said casual clothing was acceptable for that event. The organizer’s guidance, the schedule and any dinner or reception invitation are more reliable than stereotypes about startup culture.
A safe decision rule
- For a general conference day, choose neat clothing that allows comfortable walking and sitting.
- For investor, customer or hiring meetings, match the level of formality expected in that industry and organization.
- For an evening reception, check whether the invitation specifies business, cocktail or casual attire.
- Wear shoes you can tolerate for the full day; discomfort can shorten conversations and reduce concentration.
If no guidance is available, polished smart casual is a reasonable middle ground. You can add a jacket or change for a formal dinner, but you cannot easily recover from shoes that become painful after the first hour.

Different attendees should use different tactics
Founders
State your company’s stage and the problem you are solving before describing features. Decide in advance whether you are primarily seeking customers, hires, partners or financing. Ask for permission before sending a deck or product information, and do not imply that a brief introduction guarantees investor access.
Students and career changers
Prepare a concise explanation of what you are learning and the kinds of roles you are exploring. Ask practitioners how they entered their field, which skills they use and what a beginner should understand. A thoughtful question is often more memorable than an attempt to sound experienced.
Job seekers
Research the roles and companies represented at the event. Bring a way to share your profile or portfolio, but focus the conversation on the organization’s needs and your relevant work. Follow the employer’s stated application process rather than treating a conference conversation as a substitute for it.

Investors and ecosystem professionals
Explain what kinds of companies, stages or communities you work with. Be clear about whether you are available for introductions, advice or formal meetings. Respect that many attendees are still learning how the ecosystem works.
Common first-time problems and fixes

Follow up while the conversation is still fresh
Send a short, personal message that refers to something you actually discussed. Include a clear next step only when it makes sense: a proposed call, an introduction, a requested document or a useful resource. Venture Atlanta recommends following up within 48 hours; that is the organizer’s advice, not a universal deadline. If there is no genuine next action, a brief thank-you is enough.
Before sending, check your notes so the message does not look copied to every contact. Mention the session, problem or idea that connected you, and make it easy for the recipient to decline or defer.
A simple first-timer checklist
- Choose one main outcome and rank sessions against it.
- Read the latest agenda, ticket terms and capacity notes.
- Register for limited-seat workshops or meetings before the deadline.
- Complete the event-app profile and arrange only priority conversations.
- Prepare a brief introduction and two or three questions.
- Confirm venue, transit, check-in, weather and event policies.
- Pack comfortable shoes, a light layer, phone, charging gear, water and a note-taking method.
- Leave gaps for travel, meals and unscheduled conversations.
- Record context after each useful conversation.
- Send relevant follow-ups promptly, ideally within the organizer’s suggested window.
Your first startup conference is most productive when you treat the agenda as a guide rather than a test to complete. Go in with a clear purpose, verify what this particular event provides and make room for conversations that were not on your calendar.
