A reliable computer can be kept for a secondary job, donated, sold or traded in when an eligible program accepts it. A broken, unsafe or genuinely obsolete machine should go through a responsible electronics-recycling route. Before any handoff, back up wanted files and remove personal data; Windows’ consumer reset tool improves privacy but is not certified for high-assurance erasure.
Start with the computer’s real condition
Do not decide based only on age. Turn the PC on, check whether it operates reliably, and identify what it can still do. A slow but stable laptop may be useful for writing, local media, a print server or a family member’s basic tasks. A machine that overheats, has a damaged battery, exposed wiring, liquid damage or repeated crashes should not be passed to another person as a working computer.

Also check whether its operating system and essential applications remain supported. Software support affects security and usefulness more than the calendar age alone. A recipient may have no use for a computer that cannot run the applications, accessibility tools or browser versions they need.

Use the decision factors that actually matter
Remaining utility
List the jobs the computer can perform today, not the jobs it performed when new. Test charging, the display, keyboard, trackpad, ports, Wi-Fi, storage and any included operating-system license. For a desktop, check the power supply, fans and monitor separately. Be honest about defects so a recipient can decide safely.

Security and operating-system support
Confirm whether the installed system still receives security fixes and whether the hardware can run a supported replacement. A computer that is useful offline may be unsuitable for everyday web banking, email or work if it cannot receive security updates.
Value versus effort
Private sale can produce more money but requires listing the model accurately, answering questions, arranging payment and protecting yourself during the handoff. A trade-in is simpler when available, but the valuation may be lower and eligibility is conditional. Donation avoids a sale but still requires preparation and a recipient that can use the equipment.
Recipient, program and geography
Ask an organization before transporting the PC. Confirm the age or model it accepts, working-condition requirements, accessories, licensing expectations and whether it has a current need. Programs differ by country, state and municipality; acceptance at one location does not establish acceptance elsewhere.

Required data-sanitization assurance
Personal photos and browser sessions need sensible consumer protection. Business records, regulated information, client data or credentials may require your organization’s formal sanitization procedure or a qualified service. Choose the method before you choose the recipient or disposal route.

Back up and prepare files before transfer
Make a backup on a different device or storage location, then open several files from that backup to verify that it worked. Include documents, photos, browser bookmarks, password-manager exports where appropriate, license information and any files stored in a second internal drive or removable card. A reset is not a backup.
- Copy only the data you are entitled to retain or transfer.
- Check the desktop, Downloads folder, cloud-sync folders and application-specific storage.
- Remove USB drives, memory cards and discs that you do not intend to give away.
- Sign out of accounts and deactivate the computer in services that limit the number of registered devices.
- Record the model and serial number for your records before the machine leaves your possession.
If the recipient needs a power adapter, dock, monitor or other accessory, agree on that list first. An incompatible charger can make an otherwise useful laptop unsafe or unusable.
Erase a Windows PC for an ordinary consumer handoff
Microsoft’s current Reset instructions for Windows 10 and Windows 11 say to back up important files first. In the reset options, choose Remove everything; this removes personal files, applications and settings. For a PC being given away, sold or recycled, enable Clean data when that option is offered. Microsoft says this makes removed files harder for another person to recover.
- Open Settings and go to System > Recovery on current Windows 11 builds, or the equivalent Recovery page in Windows 10.
- Select Reset this PC and choose Remove everything.
- Review the additional settings and turn on Clean data for a device leaving your control.
- Confirm the reset only after checking that your backup opens on another device.
- When setup restarts, stop at the initial setup screen rather than creating an account for the next owner.
Microsoft’s limitation is important: “The data erasure functionality is targeted at consumers and does not meet government and industry data erasure standards.” Treat the feature as a consumer privacy measure, not a certified or high-assurance sanitization process. If the computer held sensitive business, regulated or high-risk information, follow the organization’s written policy or use an appropriately qualified provider. If the drive is failing and the information is especially sensitive, do not rely on a reset that may not complete reliably.

What Windows 10’s end of support changes
Microsoft ended Windows 10 support on October 14, 2025. A Windows 10 computer does not stop working on that date, and the end of support does not automatically mean it must be thrown away. It does mean Microsoft no longer supplies normal software updates, security updates and fixes, or technical support for the ended release.
Check whether the specific hardware meets Windows 11 requirements before deciding to keep it for connected use. If it does, an upgrade may extend its supported life, subject to Microsoft’s current requirements and licensing path. If it does not, Microsoft also identifies Consumer Extended Security Updates for eligible devices; enrollment terms, dates and eligibility can change, so verify the current conditions before relying on that option.
An unsupported Windows 10 PC may still be reasonable for a tightly limited offline task, but using it for unrestricted browsing, email, financial accounts or work data increases exposure to vulnerabilities that no longer receive Microsoft fixes. Do not present an unsupported machine as a safe general-purpose donation without explaining that limitation to the recipient.
Keep the PC for a second life
Good secondary uses
- Offline writing, photo viewing or music playback.
- A dedicated machine for a printer, scanner or older peripheral that newer systems cannot support.
- A local media library or backup target when the storage and network hardware are reliable.
- A practice computer for learning an operating system, coding or electronics without risking your primary device.
- A device for a child’s supervised, mostly offline schoolwork when the software remains supported.
Keep it only if you can maintain it safely. Remove unnecessary software, use a standard account for routine work, keep supported applications patched and avoid storing irreplaceable files only on this older drive. A secondary role should reduce risk, not become an unmaintained entry point into your network.

Donate or give it directly
Contact a potential recipient before you wipe or transport the computer. Explain the exact model, processor or memory information you know, operating-system version, battery condition, included accessories and known faults. Ask whether the organization can install or license the software it needs.
Older U.S. Environmental Protection Agency-hosted federal reuse guidance lists operational condition and future utility among donation considerations. It also includes “less than five years old” as one factor in a 2012 federal context. That age reference is not a current universal consumer cutoff. The durable lesson is to donate equipment that is safe, functional and useful to a confirmed recipient.
Do not donate a machine with a swollen battery, electrical damage, missing safety parts or a drive that you cannot responsibly sanitize. A recycler is the better route when repair, testing or data handling exceeds the recipient’s capacity.

Sell or trade in the computer
Private sale
Describe the condition precisely: working ports, battery health if known, cosmetic damage, storage size, included charger and whether the operating system has been reset. Photograph the model label and accessories without exposing your personal information. Complete the reset before the handoff and use a payment and meeting method that protects you.
Manufacturer or retailer trade-in
Trade-in programs are conditional. Microsoft describes offers for eligible devices in qualifying markets, with valuation and acceptance determined by the current program. Check the live terms for your country, the accepted brand and model, condition rules, shipping or drop-off instructions and the data-removal requirement. Do not assume every PC qualifies or that an offer guarantees payment; a quoted value can depend on inspection.
Compare the net convenience, not just the headline amount. A lower-effort trade-in may be sensible when private-sale work exceeds the likely difference, while an older machine with a clear market may justify a direct sale.
Recycle a broken or unusable PC responsibly
Use a current manufacturer, retailer, municipal or other responsible electronics-recycling route. Ask what device types the site accepts, whether laptops, towers, monitors and batteries must be separated, and whether there are fees or appointment rules. Microsoft’s consumer recycling information notes that programs vary by region and that acceptance of other-brand devices is limited to certain U.S. jurisdictions; verify the local rule rather than assuming a universal collection service.
Do not put a computer, lithium battery or monitor in ordinary household trash unless your local authority explicitly says it is allowed. Do not leave electronics beside a full collection bin. Follow the location’s packaging, drop-off and battery instructions, and remove personal media before delivery.
If a machine is repairable but no longer worth your time, ask a reuse organization whether it wants it as a repair project. If it is unsafe or contaminated, disclose that condition and use a route equipped to handle it instead of presenting it as a donation.
A final handoff checklist
- Decide: keep, donate, sell, trade in or recycle.
- Confirm the recipient or program accepts the exact device and location.
- Back up files and verify the backup on another device.
- Remove removable media and sign out of accounts.
- For a normal consumer transfer, use Windows Remove everything and, when available, Clean data.
- For sensitive information, follow a formal sanitization policy instead of relying on the consumer reset.
- Include only requested, compatible accessories.
- Record the handoff, trade-in confirmation or recycling receipt when one is provided.
The right destination is the one that matches the computer’s safety, usefulness, support status and data risk. A working PC can continue helping someone; a machine that cannot do so belongs in a verified electronics-recycling stream.
