First, see what is actually using the space
A full-storage warning can be caused by one very large video library, a handful of downloads, old device backups, application data, or a broad category such as System Data. The safest fix depends on the cause, so diagnose before deleting.

Check an iPad
- Open Settings > General > iPad Storage.
- Wait for the colored storage bar and app list to finish calculating.
- Read any recommendations at the top, then sort your attention toward the largest apps and categories.
- Open an app’s entry to distinguish the app itself from its documents, downloads, and other data.
The list is more useful than the home-screen icon: an app may be small while its offline movies, podcasts, maps, or project files consume many gigabytes. Do not remove an app until you know whether its local data is synced or backed up.

Allow the panel time to calculate. If the Mac is nearly full, indexing can be slow and the displayed totals may change as macOS finishes measuring. Inspect the category that is genuinely large instead of assuming that the first recommendation is the only solution.
Free space on an iPad without losing important data
Use offload for rarely used apps
Offload App removes the application package but keeps the app’s documents and data on the iPad. Its icon remains, usually with a download symbol, and tapping it reinstalls the app when you need it again. Offloading is appropriate when the app is rarely used, can be downloaded again, and its stored data should remain available.
Offloading is not a guarantee that every app behaves identically after reinstalling. An app may require a sign-in, download its content again, or depend on a service that has changed. Treat the retained data as valuable and verify that the app supports restoration before relying on this as a backup.
Delete only after checking the app’s data
Delete App removes the application and its related local data. Before using it, check whether documents, downloads, recordings, game saves, or creative projects are stored only on the iPad. Confirm a cloud sync or a separate backup, and check whether the developer provides an export option.
If an app has accumulated an unusually large cache, its own settings may offer a way to clear downloads without deleting projects. Use that in-app control when available; it is more selective than removing the entire app.

Remove replaceable downloads first
- Downloaded films and television episodes in streaming apps.
- Offline music, podcasts, audiobooks, maps, and language packs.
- Files in the Downloads folder that can be obtained again.
- Large attachments or documents that already exist in a verified cloud or computer backup.
Open the relevant app and remove its offline copies where possible. A download may not appear in the Files app, so deleting a visible document does not necessarily remove the copy held by a streaming or podcast app.
Review photos before deleting them
Photos and videos are normally stored on an iPad in their original, high-resolution form. If you delete them while iCloud Photos is enabled, the deletion propagates to the synced library and other devices after synchronization. Make a separate copy on a computer or another storage device first if preservation matters.

iCloud storage and the iPad’s internal storage are separate capacities. Apple accounts include 5 GB of free iCloud storage, shared by photos, backups, files, and other iCloud data. A full iPad can therefore remain full if the iCloud account also lacks room or if the photo library has not finished uploading.
Turn on Optimize Storage
- Check the available iCloud capacity in your Apple Account settings and make sure it can hold the photo library and other data.
- Enable iCloud Photos on the iPad.
- Choose Optimize iPad Storage in the Photos settings.
- Leave the iPad connected to power and reliable Wi-Fi while the library uploads and optimization occurs.
With optimization enabled, full-resolution originals remain in iCloud while space-saving versions stay on the iPad as needed. The device may keep originals temporarily, and it may need a network connection to download an original for editing or sharing. This is an ongoing cloud-storage arrangement, not unlimited capacity: if the iCloud plan fills, synchronization and backups can stop until you free cloud space or change plans.
Apple’s US support information lists iCloud storage starting at 50 GB for $0.99 (USD) per month; that figure is region- and date-dependent, so verify the current offer for your Apple Account before subscribing. The recurring charge buys cloud capacity, not additional physical storage inside the iPad.

Transfer photos instead of syncing them
If you do not want a recurring cloud plan, transfer photos and videos to a Mac, Windows PC, or suitable external workflow, verify that the copy opens, and then remove the originals from the iPad. Keep at least one separate backup before deleting the device copies. An external accessory is not universally compatible with every iPad: the model’s connector, supported filesystem, power requirements, and the app used to import or export files all matter.
Free space on a MacBook safely
Start with the largest, replaceable categories
In System Settings > General > Storage, open the categories that are large and actionable. Common targets include Downloads, unused applications, video and music libraries, old iPhone or iPad backups, Mail’s junk and deleted folders, and files left by former user accounts.
- Downloads: sort by size and date, then remove installers, archives, and duplicate files you no longer need.
- Applications: uninstall software you do not use, but retain its documents if they are needed by another application.
- Device backups: remove old iPhone or iPad backups only after confirming a newer backup exists or the older one is no longer required.
- Mail: empty junk and deleted-mail folders after checking that no message or attachment must be retained.
- Other users: review old accounts and their home folders before removing an account or its data.
Moving a file to Trash does not reclaim its space. Review Trash, then choose Finder > Empty Trash (or Control-click the Trash icon and choose Empty Trash) only after confirming that nothing there is needed. Emptying Trash is immediate for most files.
Move large libraries to another drive
Apple identifies another storage device as an option for moving large files or media libraries away from the internal disk. This works well for a Photos library, video projects, music libraries, virtual machines, and archived material that does not need to be available when the drive is disconnected.
Choose a drive with enough capacity for the library plus future growth, and match its connector to the MacBook or use a reliable adapter. Format and permissions can affect whether an application can use a library in its new location. After copying, open the library from the external drive and verify several files before deleting the internal copy. The external drive is not a backup by itself; maintain another copy of irreplaceable data.

Understand System Data before touching it
System Data is a general macOS category for Apple and third-party files that do not fit a more specific category. It can include caches, logs, temporary files, support files, and other system-managed material. The label alone does not identify a particular folder that is safe to delete.
Avoid deleting system directories or using a cleaner solely because System Data appears large. Instead, remove known large files through the Storage panel, delete old backups and downloads, and restart after completing ordinary cleanup. The reported size can change as macOS recalculates it.
Use Safe Mode only as a short-term measure
Apple notes that starting a Mac in Safe Mode can temporarily clear certain caches and may create enough room for a task such as installing an update. Caches are recreated as macOS and applications run, so Safe Mode is not a durable way to add capacity.
Use it when a small, temporary shortage blocks a system operation, then return to normal startup and address the underlying files or move data to another disk. Do not treat a temporary cache reduction as proof that a cleaner or manual cache deletion is required.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsChoose the right storage-saving route
| Route | Useful when | What changes | Main trade-off |
|---|---|---|---|
| Offload an iPad app | The app is rarely used but its documents should remain | The app package is removed; its icon, documents, and data remain | You must reinstall it before use, and app-specific restoration behavior can vary |
| Delete an app or files | Content is disposable or a verified backup exists | The app and related local data, or selected files, are removed | Unbacked documents, downloads, and projects may be lost |
| iCloud Photos with Optimize Storage | You want a photo library across devices and have adequate iCloud capacity | Originals are kept in iCloud; smaller versions remain locally as needed | It requires time, network access for originals, and recurring cloud capacity |
| External drive | Large Mac files or media libraries can live outside the internal disk | Data is moved to another storage device | You must carry and connect the drive, match capacity and connector, and keep a separate backup |
| Safe Mode | A temporary shortage blocks a system task | Certain caches may be cleared during startup | Caches return as needed; it does not provide lasting additional storage |
When the warning remains after cleanup
The storage bar has not updated
Restart the device, reconnect to power and Wi-Fi, and reopen the storage screen. Indexing and cloud synchronization can delay the totals. On a Mac, empty Trash after reviewing it; on an iPad, wait for an app’s removal or offload to complete before judging the result.

An update or download still will not start
Free more space than the download’s displayed size because the system may need room to unpack an installer and create temporary files. Remove a known large, replaceable item, empty Mac Trash, and retry. If the shortage is caused by a photo library, allow iCloud Photos optimization to finish or transfer photos to a computer instead of repeatedly deleting random files.
System Data keeps growing
Look for a specific activity that is generating files, such as repeated downloads, local device backups, large Mail attachments, or video editing. Remove those identifiable items and restart. Because System Data combines many file types, a single label cannot tell you which folder is responsible or which deletion is safe.
You deleted something and need it back
Stop writing new data to the device where possible. Check Mac Trash, the app’s Recently Deleted area, iCloud’s recovery options, and your computer or external-drive backups. If no backup or recovery area contains the item, further deletion and repeated downloads can reduce the chance of recovery; seek professional data-recovery advice rather than installing more utilities on a nearly full disk.

A safe decision checklist
- Record the storage category and the largest individual items.
- Confirm whether each candidate item is replaceable, synced, or backed up independently.
- Prefer offloading an iPad app when its data must remain, and delete only when the data is disposable or verified elsewhere.
- Remove offline media, old downloads, obsolete installers, and redundant backups before touching personal originals.
- For photos, check iCloud capacity and synchronization status before enabling optimization or deleting anything.
- On a Mac, empty Trash only after reviewing it, and test an external-drive copy before removing the internal original.
- Recheck the storage panel after the device has finished indexing and syncing.
The durable solution is to match the remedy to the cause: remove replaceable local content, preserve or relocate irreplaceable files, and treat cloud capacity and external drives as storage systems that also require backup planning.
