If an e-way bill expires while the consignment is still moving, contact the transporter currently assigned to the bill and use the official extension facility immediately if the request is still within the permitted window. The E-Way Bill System FAQ says the extension facility is available from eight hours before until eight hours after the existing expiry time. Prepare the actual delay reason, current location, distance remaining and the transport details required for the mode being used.
The same FAQ states: “If validity of the e-way bill expires, the goods are not supposed to be moved.” If the eight-hour window has passed or the portal rejects the request, pause movement and obtain case-specific GST guidance instead of assuming that the vehicle may continue.

First response when an e-way bill expired during transit
- Check the bill itself. Sign in to the e-way bill portal and verify the validity shown for that e-way bill number. Do not recalculate an expiry time from a generic distance formula; official materials currently display conflicting distance-based rules.
- Call the current transporter. The transporter recorded as carrying the consignment when validity expires is normally the party permitted to request an extension.
- Check the extension window. The official FAQ and GSTN API documentation describe the facility as available from eight hours before through eight hours after the existing expiry time.
- Gather the required facts. Have the e-way bill number, an accurate reason and explanation, the vehicle or other transport details, the current location and the approximate distance still to travel.
- Stop if the request cannot be made. If the window has closed or the portal refuses the submission, hold the goods and seek advice from a GST professional or the relevant tax authority before resuming transit.
Record the time you discovered the problem, the bill status, calls or messages exchanged with the transporter, and any portal error. Those records help explain why an extension was sought and what happened next.
Who can extend the e-way bill?
The E-Way Bill System FAQ states: “The transporter, who is carrying the consignment as per the e-way bill system at the time of expiry of validity period, can extend the validity period.” In practice, that means the transporter currently associated with the consignment should submit the request, even where a different transporter physically handled an earlier leg.

GSTN API documentation adds an important exception: when no transporter is assigned to the e-way bill, the generator may update or extend it. Check the assignment shown in the portal before deciding who should file. A consignor should not assume that it can override an assigned transporter, and a transporter should not file against a bill that is not assigned to it.
When e-way bill extension after expiry is available
The operational window runs from eight hours before the existing expiry time to eight hours after it. You can therefore submit before the deadline when a delay is already evident, or shortly after expiry when the delay could not be resolved in time. Do not rely on the portal accepting a request outside that period.
The eight-hour period is measured against the expiry recorded on the particular bill, not against the time a driver notices the problem. Open the bill and note its displayed expiry date and time. If the portal shows a different status from the driver’s paperwork, use the portal record as the starting point and preserve a screenshot or downloaded copy.

The extension request requires a reason and a detailed explanation rather than a vague statement such as “delay in transit.” It also requires the current location and an estimate of the remaining distance. Enter information that matches the actual movement and supporting records.

- Reason: Select the applicable delay category and explain what happened, when it happened and how it affected the journey.
- Current location: Identify where the vehicle or consignment is being held when the request is filed.
- Distance remaining: Give a realistic approximate distance to the delivery point, based on the route still to be covered.
- Part-B transport information: Supply the details appropriate to the current mode of transport.
- Bill identity: Confirm the e-way bill number and review the displayed parties and consignment before submitting.
The extension process does not allow Part-A details to be changed. If the underlying invoice, supplier, recipient or goods information is wrong, treat that as a separate compliance issue; do not try to correct it through the validity-extension screen.
Transport details required by mode

GSTN validation rules require transport information suited to the selected mode. For road movement, check that the vehicle number corresponds to the vehicle actually carrying the goods. For rail, air or ship movement, use the applicable transport document number. Correct a data-entry error before submitting; do not substitute a number merely to pass validation.
How to submit the extension in the portal
- Open the official e-way bill portal using the account authorized for the assigned transporter or, where no transporter is assigned, the generator.
- Locate the specific e-way bill and read its current validity, transporter assignment and transport mode.
- Open the validity-extension function for that bill. Use the portal’s current label for extending validity; labels can change as the system is updated.
- Enter the delay reason and detailed explanation. Describe the event in plain, factual language and include the point at which the delay occurred.
- Enter the current location and remaining distance. Use the location at the time of filing, not the planned location or the original dispatch point.
- Update the mode-specific Part-B details and check the vehicle or transport document number carefully.
- Submit within the eight-hour window and save the acknowledgement, revised validity and any reference number displayed by the system.
Review the revised expiry immediately after submission. An acknowledgement that the request was received is not a reason to ignore the new validity shown by the portal.

The official FAQ gives examples of circumstances that can delay a journey. Use the example that actually describes the event and explain the facts; never manufacture an exceptional circumstance to keep a shipment moving.

Vehicle breakdown
Describe the breakdown, the time and place it occurred, and whether the vehicle was repaired or replaced. Update the vehicle information required for the current movement when the transport mode is road.
Accident
State where and when the accident happened and explain the resulting delay. Keep available any incident, police, insurer or workshop record that supports the account.
Natural calamity
Flooding, severe weather or another natural event may make the route unusable. Identify the affected route or location and the resulting stoppage rather than simply writing “natural delay.”
Law-and-order issue
Explain the restriction, closure or security situation that prevented movement and identify the place and period affected.

Trans-shipment delay
Where goods are transferred between vehicles or other modes, state why the transfer took longer than planned and provide the transport details for the movement now in progress.
Warehouse stop
The FAQ also addresses a consignment held in a warehouse. Record the warehouse location, the reason for the hold and when the goods are expected to resume transit.

The official material reviewed here does not establish one universal remedy for every request made after the window. Do not create a replacement bill, backdate an explanation or continue moving solely because the goods are already on the road.

- Pause the movement at a safe location, subject to applicable safety and custody requirements.
- Save the expired bill, vehicle records, invoices, delivery documents and evidence of the delay.
- Contact a GST practitioner or tax counsel for the specific facts and jurisdiction involved.
- Ask the transporter and consignor to coordinate one consistent factual account before any further filing.
- Resume only after the responsible adviser confirms the compliant next step and the portal reflects the required document or validity.
If the portal rejects an otherwise timely request, capture the exact error message, date and time, and the data entered. A rejection may result from transporter assignment, mode-specific transport data, or another validation rule; changing facts merely to obtain acceptance can create a larger compliance problem.
Do not use a generic distance calculation
Official sources are not consistent about the distance formula used to calculate regular e-way bill validity. The FAQ text displayed in one official source describes one day for every 100 kilometres or part of that distance, while official portal material says the validity changed from 100 kilometres per day to 200 kilometres per day effective 2021. A CBIC rules page displays a different distance table.
Because those official displays do not align, this article does not provide a universal days-per-distance calculation. Use the expiry shown for the actual e-way bill and verify the current rule applicable to the movement, vehicle category and date. The displayed bill controls the immediate extension decision.
Checks before the vehicle leaves
- Confirm that the e-way bill number is the one carried with the consignment.
- Confirm the revised validity date and time after any successful extension.
- Ensure the transporter shown in the system is the party actually carrying the goods.
- Check that the vehicle number or transport document number matches the current leg.
- Keep the invoice, e-way bill and extension acknowledgement available for inspection.
- Make sure the stated reason, location and remaining distance can be supported by ordinary business records.
Older bills and system limits
GSTN API documentation states a 360-day restriction from generation for the relevant operation. If a very old bill produces an age-related validation message, do not infer that the bill can be extended manually or that movement is automatically lawful. Confirm the live portal response and obtain case-specific GST guidance.

The key compliance distinction is not whether the vehicle has travelled far or whether the delay seems reasonable. It is whether the bill’s recorded validity can still be extended through the authorized account and whether the portal accepts a truthful, complete request.
