Start by identifying which Gemini feature failed: a scheduled action in Gemini Apps, a task schedule in Gemini Spark, a Workspace Connected App, or Android screen automation. They use different limits, permissions, and recovery controls. Then classify the problem as a missing run, a delay, an inaccessible app, an incorrect answer, or an incorrect real-world action. The checklists below match each case and explain when you should stop trusting the automation and verify the result yourself.
First, identify the Gemini automation you are troubleshooting
“Gemini automation” is not one system. A scheduled action created in a Gemini conversation is separate from a schedule in Gemini Spark. Connected Apps let Gemini work with services such as Gmail, Drive, Calendar, Tasks, or Keep, while Android screen automation operates controls inside supported apps. Applying the wrong troubleshooting steps can make a working feature look broken.

When a Gemini Apps scheduled action did not arrive
Use this section for a recurring or one-time action set up in Gemini chat, not for a Gemini Spark schedule.

- Confirm the account and activity setting. Make sure you are signed in to the intended Google account and that Keep Activity is on. Scheduled actions require an eligible personal account or a qualifying work or school account. Google is rolling the feature out, so an eligible personal account may still lack access.
- Check every app the action needs. If the instruction depends on another service, that app must be connected. An action that summarizes Gmail, reads Calendar, or uses another connected service cannot complete that part without the connection.
- Open the action controls. In Gemini settings, open Scheduled actions, or return to the conversation that created the action. Check whether it is paused, then edit the schedule or instructions and resume it. Google says an action can also be turned off automatically after a period of inactivity.
- Check the active-action limit. Google currently documents a maximum of 10 active scheduled actions for Gemini Apps. Deactivate an action you no longer need before creating another.
- Allow for preparation and delivery timing. Gemini prepares scheduled content before the stated delivery time. A delivered response can therefore reflect information that was true when it was prepared rather than when you read it. This matters for rapidly changing subjects such as prices, availability, or breaking news.
If the action is still missing after these checks, create a small test action that does not depend on another app. A successful test points to an app connection or permission issue; a missing test points to account eligibility, rollout, activity settings, or the action being paused.
When a Gemini Spark schedule is late or never runs
Spark schedules have their own execution model and must not be judged by the 10-action limit for Gemini chat.
Check whether Spark has reached an execution limit
Google documents a compute-based usage limit for Spark. When that limit is reached, a scheduled task may not run until capacity becomes available. Spark also limits the number of tasks running at the same time to 15 and allows up to 50 active schedules. These are Spark limits; they do not replace the separate Gemini Apps scheduled-action limit.

A Spark schedule is not necessarily executed at the exact minute shown. Google describes schedule times as approximate, and high traffic can delay execution. Before treating a late run as a failure, check whether it eventually starts and whether another task is already consuming the concurrent-task allowance.

Reduce contention
- Review active schedules and disable obsolete ones if you are near the 50-schedule ceiling.
- Look for long-running tasks that could be occupying one of the 15 concurrent slots.
- If a task repeatedly collides with other work, move it to a less busy time and test again.
- Record the scheduled time and actual start time so you can distinguish normal variation from a persistent failure.
When Gemini gives an incorrect or outdated answer
An answer can be wrong even when the automation technically ran. Google warns that Gemini can hallucinate or provide outdated information, including an older email when a newer one exists.
Inspect the sources attached to the response
Open the sources Gemini displays with the answer. Check whether the cited message, document, or page is the one you intended, and compare the key claim with the source itself. Do not rely on a confident summary when the underlying source is missing, old, or unrelated.
Account for scheduled-content staleness
Scheduled responses are prepared in advance. For information that changes quickly, compare the delivered result with the current source at the time you act. A stale result is a timing limitation, not proof that the schedule failed.

Make the request testable
Refine the instruction with a named source, a date range, and a required output format. For example, specify which Drive file, which email label, or which calendar range to use, and ask Gemini to identify the date of the information it relied on. These changes make an error easier to detect, but they do not guarantee accuracy; verify the revised answer against the source.

Check every app in a multi-app request
If one prompt requires several Connected Apps and one or more are not enabled, Google says none of the requested actions may be completed. Confirm each required connection rather than assuming that a partial result means the remaining services were accessed.
When Gemini cannot access Gmail, Calendar, Drive, or another Connected App
For a work or school account
Access depends on more than the Gemini app itself. Check that the Workspace edition qualifies, Keep Activity is enabled, and the administrator has allowed app connections. Availability can also vary by location, language, and device. If the administrator has blocked the connection, only that administrator can change the policy.
Reconnect Workspace features correctly
- Verify that you are signed in to the same Google account used for the Workspace service.
- Check the Connected Apps controls and confirm the specific service is enabled.
- For Workspace connection problems, enable Gmail Smart features in other Google products if your organization permits the setting.
- Reload Gemini after changing the setting.
- Start a new conversation and explicitly name the service, such as Gmail, Drive, Calendar, Tasks, or Keep.
Google maintains a current list of operations that Connected Apps cannot perform. Check that list before treating an unsupported request as a malfunction. A connection can be healthy while a particular action remains unavailable.

Screen automation is the highest-risk case because Gemini is acting on a visible interface rather than only producing text. Google acknowledges that it can follow instructions incorrectly, tap the wrong button or item, or claim that a task finished when it did not.

Monitor the task while it runs
Google’s guidance states: “Monitoring your tasks is the most important way to protect against risk while Gemini uses screen automation.” Keep the relevant screen visible for important tasks. Use the controls to view progress, stop the task, or take control yourself. Treat confirmation requests and clarifying questions as decision points, not as routine prompts to approve automatically.
Verify both the target and the outcome
- Before approval, confirm the account, recipient, amount, item, or setting shown on screen.
- After completion, check the destination app itself rather than trusting Gemini’s confirmation.
- For an irreversible or consequential action, stop and perform the final step manually if anything looks different from the request.
Watch for prompt injection
Instructions embedded in a website, email, document, app, or other content that Gemini reads can attempt to redirect the agent. These instructions may look authoritative but are not your request. If the task departs from the intended target, stop it and take control. Google cautions that safeguards do not guarantee protection against every risk.

If the Gemini mobile app shows an access error for a work or school account, install the latest Gemini app version first. If the app is current, ask the Workspace administrator to confirm that the account is allowed to use Gemini. This is an account-access problem, not necessarily a failure of the automation you were trying to run.

Calendar changes require Keep Activity and a connected calendar. If Gemini creates or edits an event incorrectly, use the undo option in the confirmation notification when it is available, or edit the linked event directly. Confirm the calendar, time zone, attendees, and recurrence before leaving the change in place.
A consequence-based decision rule
Use four questions to select the safest troubleshooting path:
- Which feature? Scheduled action, Spark schedule, Connected App, or Android screen automation.
- Which account? Personal, work, or school.
- What failed? No run, late run, inaccessible app, wrong information, or wrong action.
- What is the consequence? A read-only summary is lower risk than changing a calendar, sending a message, purchasing something, or altering account data.
The higher the consequence, the less you should rely on an unverified completion message. Confirm the source for informational output and confirm the visible final state for actions that change data.
What to record before asking for help
- The exact Gemini feature and device you used.
- Whether the account is personal or managed by work or school.
- Keep Activity status and the connected app involved.
- The scheduled time, actual run time, and any displayed error.
- Whether the task was paused, stopped, or awaiting confirmation.
- The source Gemini cited and the specific claim that was wrong.
- For screen automation, the last correct screen and the first incorrect tap.
This information separates rollout or policy restrictions from capacity delays, stale source data, unsupported operations, and genuine execution errors.
